NOW° k• Oil e.... va s r0 74 o P\ j` Y STAFF REPORT Public Works Services Department DATE: November 15, 2011 TO: Mayor and City Council FROM: Tom Tait, Public Works Services Director Prepared by: Dave McVey, General Services Superintendent SUBJECT: AUTHORIZE THE CITY MANAGER TO EXECUTE A ONE (1) YEAR CONTRACT EXTENSION WITH J & S STRIPING FOR STREET STRIPING AND PAVEMENT MARKING SERVICES IN THE AMOUNT OF $85,092 Recommendation: Approve SUMMARY On December 7, 2010 the City Council approved a one (1) year contract agreement with J & S Striping to perform citywide street striping and pavement marking services. J & S Striping is reaching the end of their first (1) contract period and has submitted a written offer to extend the existing contract for an additional one (1) year. The contractor's written offer does not include any increases to the contract prices. All terms and conditions of the agreement will remain the same. Based on the excellent services provided by J & S Striping during the past year, staff recommends that the City Council award a one (1) year contract extension to J & S Striping for street striping and pavement marking services in the amount of $85,092. DISCUSSION The existing street striping and pavement marking program includes annual striping on all major arterial streets. Collector streets are painted once every two (2) years and commercial streets once every three (3) years. Residential streets are scheduled once every three (3) years. Additionally, all yellow school markings will continue to be painted annually in August before school begins. Miscellaneous striping, service requests, and Traffic Advisory Committee (TAC) striping requests will be handled on an as-needed basis. J & S Striping is the current contractor with the City for this work and has reached the end of their contract term. The contract language allows for annual contract extensions, subject to City Council approval. J & S Striping has submitted a written offer to extend the existing contract agreement for an additional one (1) year. The contractor's offer of Page 1 of 2 Mayor and City Council November 15, 2011 extension does not reflect a change in price and all other conditions of the Agreement are to remain in effect. Therefore, staff recommends that the City Council award a one (1) year contract extension to J & S Striping for street striping and pavement marking services in the amount of$85,092. FISCAL IMPACT Sufficient funds are budgeted in the 2011-12 operating budget. All work is performed on a time and material basis and the contractor is only paid for work performed. RECOMMENDATION 1. Award a one (1) year contract extension to J & S Striping for street striping and pavement marking services in the amount of$85,092 2.
