SUBJECT: AUTHORIZE THE CITY MANAGER TO EXECUTE A ONE (1) YEAR
CONTRACT EXTENSION WITH B&P PAINTING FOR PAINTING AND
WOOD REFINISHING SERVICES AT VARIOUS CITY FACILITIES IN
THE AMOUNT OF $43,720
Recommendation: Approve
SUMMARY
On February 8, 2011 the City Council approved a one (1) year contract Agreement with
optional contract extensions to B&P Painting Inc. for painting and wood refinishing
services at various City facilities. B&P Painting Inc. is reaching the end of their first year
of contract and has submitted a written offer to extend the existing contract for an
additional year with no increase in pricing and all other terms and conditions of the
Agreement are to remain in effect. As part of ongoing facility maintenance activities, the
Public Works Services Department schedules various painting improvement projects for
City facilities, through the Capital Improvement Program and Operating Budgets.
Based on the excellent service provided by B&P Painting Inc. during the past year, staff
recommends that the City Council award a one (1) year contract extension to B&P
Painting for painting and wood refinishing services at various City facilities in the
amount of$43,720.
DISCUSSION
The Public Works Services Department is responsible for the maintenance of all City
facilities. Annual painting and preventative maintenance programs have been
implemented at the Library, City Hall, Community Center, Fire Stations, Police
Department and Public Works Services Department. These are small projects, ranging
from $350 to $7,500 and are funded through the Capital Improvement Program and the
various departments' Operations and Maintenance Budgets.

The Public Works Services Department determined it would be advantageous to award
a contract (with annual extensions, pending the City Council's approval) for all facility
painting and wood refinishing work to one qualified contractor to eliminate unnecessary
down time and ensure projects are started or completed in a timely manner and the
quality of work completed are performed in a professional manner. The contract also
provides for extraordinary maintenance, on a time and materials basis, whenever
painting services are required as well as provide services for refinishing wood floors,
cabinets, molding and exterior power washing of facilities. The contract amount is
based on the lowest bid provided by B&P Painting Inc. and it does not necessarily mean
that this amount will be fully expended during this contact extension.
B & P Painting Inc. is the current contractor with the City for this work and has provided
excellent and affordable service. Staff is recommending that the City Council approve a
contract extension in the amount of $43,720 to B&P Painting Inc. for painting, wood
refinishing and extraordinary maintenance of various City facilities.
FISCAL IMPACT
Sufficient funds have been budgeted in the departments' operating budgets and in the
Capital Improvement Program for this contract
RECOMMENDATION
1. Award a one (1) year contract extension to B&P Painting for painting
and wood refinishing services at various City Facilities in the amount
of $43,720.
2. Authorize the City Manager and City Clerk to execute a contract
extension in a form approved by the City Attorney.
