Recommendation: Approve SUMMARY The City of Arcadia's Community Center, located at 365 Campus Drive, serves youth, adults, and seniors roughly 14 hours per day, seven days per week. The facility's furniture is an important feature of the facility. Based on the heavy wear and tear to existing tables, chairs, couches, and benches, new furniture for the main lobby and seating areas has been selected for replacement. The items include: 16 lobby style chairs, a 10 piece sectional sofa for the television room, nine end tables, four coffee tables, four lounge chairs, one reception desk, three bench style seats, as well as two reupholstered bench seats and the construction of two additional bench seats. It is recommended that the City Council award a contract for Community Center furniture replacement with Corporate Business Interiors. Corporate Business Interiors provides expertise and assistance for organizations as they create furniture layouts, upholstery recommendations, and competitive cost estimates. In order to ensure organizations receive the lowest available price, Corporate Business Interiors works closely with vendors participating in national cooperative contracts with guaranteed pricing. Two companies manufacture the requested furniture for the Arcadia Community Center, National IPA and Hon. Both companies have national cooperative contracts for the guaranteed lowest bid price. National IPA works with the United States General Services Administration, while Hon works in partnership with The Cooperative Purchasing Network. 1 DISCUSSION The Community Center serves as a versatile facility serving thousands of residents and community members throughout the year. This furniture is utilized by seniors through most weekday hours, followed by children and parents during weeknight classes, as well as weekend rentals hosting several hundred guests at a time. Over the years, the cloth chairs and couches have visible stains and noticeable wear and tear. City staff has worked closely with Corporate Business Interiors to design a facility layout and determine the best options to meet the constant and dynamic use of the facility. The need to maximize available space and utilize upholsteries which are easy to clean and resist stains is of utmost importance. The selected designer will match existing architectural design and colors of the Community Center. FISCAL IMPACT If approved, a contract would be awarded to Corporate Business Interiors in an amount not to exceed $48,000. The funds have been budgeted in the Fiscal Year 2011/12 Budget. RECOMMENDATION It is recommended the City Council authorize the City Manager to enter into a contract with Corporate Business Interiors in an amount not to exceed $48,000 for Arcadia Community Center furniture replacement and installation.
