Trabbie, Fire Chief TT- By: Kurt Norwood, Deputy Fire Chief / Operations SUBJECT: AUTHORIZE THE CITY MANAGER TO AWARD A CONTRACT TO DAY WIRELESS SYSTEMS FOR FIRE DEPARTMENT RADIOS, INSTALLATION, SERVICE, AND PARTS IN THE AMOUNT NOT TO EXCEED $45,000.00 FOR FISCAL YEAR 2012 -13 AND TWO (2) ADDITIONAL ONE -YEAR PERIODS THROUGH JUNE 30, 2015. Recommendation: Approve SUMMARY In May 2011, a contract was awarded to Day Wireless Systems for the purchase of Fire Department portable and mobile radios, installation, miscellaneous repairs, service, parts, and related equipment for Fiscal Year 2011 -12 with the option to renew the contract on a year -by -year basis through June 30, 2015. It is recommended that the City Council authorize the City Manager to award a contract to Day Wireless Systems in the amount not to exceed $45,000.00 for Fiscal Year 2012- 13 and two (2) additional one -year periods through June 30, 2015. This request will not increase the City Council approved budget for any of the Fire Department accounts or the Fire Department's total budget. DISCUSSION The Fire Department strives to maintain excellent communications equipment and infrastructure to ensure safety of fire ground operations, compliance with government mandates, communications interoperability among all other fire and law enforcement agencies, and ultimately the protection the life and property. The Fire Department solicited bids in May 2011 for the purchase of radios and related services including installation, repairs, and parts. Three (3) bids were returned, of which Day Wireless Systems Contract August 7, 2012 Page 2 of 2 one (1) was "no bid." Day Wireless Systems was the lowest bid that met the specifications outlined in the contract. The Fire Department reserved the option to renew the contract on a year -by -year basis through June 30, 2015. The Fire Department utilizes Day Wireless Systems for the purchase of radios, repairs, services of radios, and related equipment on all emergency apparatus, equipment, and facilities. Considering all of the Fire Department's communications needs, the contract with Day Wireless Systems will not to exceed $45,000.00 for Fiscal Year 2012 -13 and two (2) additional one -year periods through June 30, 2015. FISCAL IMPACT Sufficient funds have been budgeted for this request in the Fiscal Year 2012 -13 Fire Department budget. RECOMMENDATION It is recommended the City Council authorize the City Manager to award a contract with Day Wireless Systems for the purchase of Fire Department radios, installation, service, and parts in the amount not to exceed $45,000.00 for Fiscal Year 2012 -13 and authorize two (2) additional one -year periods through June 30, 2015.
