HomeMy WebLinkAboutItem 2h: Award a one year purchase order contract extension to Hd Supply Waterworks for the purchase of water related accessories for the City's water distribution system.LIM r STAFF REPORT Public Works Services Department DATE: October 2, 2012 TO: Honorable Mayor and City Council FROM: Tom Tait, Public Works Services Director By: Craig Clark, Utilities Superintendent SUBJECT: AWARD A ONE YEAR PURCHASE ORDER CONTRACT EXTENSION TO HD SUPPLY WATERWORKS FOR THE PURCHASE OF WATER PIPELINE FITTINGS, BRASS VALVES, AND OTHER RELATED ACCESSORIES FOR THE CITY'S WATER DISTRIBUTION SYSTEM IN THE AMOUNT OF $113,252 Recommendation: Approve SUMMARY On October 5, 2010, the City Council approved a one year purchase order contract to HD Supply Waterworks for the purchase of water pipeline fittings, brass valves, and related accessories to supply the Water Utilities Section with needed repair parts. HD Supply Waterworks has reached the end of their contract and has submitted a written offer to extend the existing contract for an additional one year with no increase in prices. Based on the excellent service provided by HD Supply Waterworks during the previous year, it is recommended that the City Council award a one year purchase order contract extension to HD Supply Waterworks for the purchase of water pipeline fittings, brass valves, and other related accessories for the City's water distribution system in the amount of $113,252. DISCUSSION The City's warehouse is responsible for the purchase and allocation of water pipeline fittings, brass valves, and other related accessories used on a daily basis by City maintenance crews to repair and maintain the City's water distribution system. It is critical that the warehouse retain the proper on -hand inventory levels to prevent an interruption to the City's water system. Honorable Mayor and City Council October 2, 2012 Page 2 of 2 HD Supply Waterworks is the City's current provider for the purchase of water pipeline fittings, brass valves, and other related accessories and has reached the end of their first contract extension and has submitted a written offer to extend the existing contract for an additional one year in accordance with the existing Agreement. The contractor's offer of extension does not reflect a change in price and all other conditions of the Agreement are to remain in effect. HD Supply Waterworks has provided excellent service during the previous year. Therefore, it is recommended that the City Council award a one year purchase order contract extension to HD Supply Waterworks for the purchase of water pipeline fittings, brass valves, and other related accessories for the City's water distribution system in the amount of $113,252. FISCAL IMPACT Sufficient funds have been budgeted in the Fiscal Year 2012 -13 Water Services Operating Budget for the purchase of water pipeline fittings, brass valves, and other related accessories for the City's water distribution system. RECOMMENDATIONS Award a one year purchase order contract extension to HD Supply Waterworks for the purchase of water pipeline fittings, brass valves, and other related accessories for the City's water distribution system in the amount of $113,252.
