SUBJECT: AUTHORIZE AND DIRECT THE CITY MANAGER TO EXECUTE A ONE
YEAR CONTRACT EXTENSION WITH HD SUPPLY WATERWORKS
FOR THE PURCHASE OF WATER PIPELINE FITTINGS, BRASS
VALVES, AND OTHER RELATED ACCESSORIES FOR THE CITY'S
WATER DISTRIBUTION SYSTEM IN THE AMOUNT OF $113,252

SUMMARY
On October 5, 2010, the City Council approved a contract with optional annual
extensions to HD Supply Waterworks for the purchase of water pipeline fittings, brass
valves, and related accessories to supply the Water Utilities Section with needed repair
parts. HD Supply Waterworks has reached the end of their second contract extension
and has submitted a written offer to extend the existing contract for an additional year
with no increase in prices.
Based on the excellent service provided by HD Supply Waterworks, it is recommended
that the City Council authorize and direct the City Manager to execute a one year
contract extension with HD Supply Waterworks for the purchase of water pipeline
fittings, brass valves, and other related accessories for the City's water distribution
system in the amount of $113,252.
DISCUSSION
The City's warehouse is responsible for the purchase and allocation of water pipeline
fittings, brass valves, and other related accessories used on a daily basis by City
maintenance crews to repair and maintain the City's water distribution system. It is
critical that the warehouse retain the proper on -hand inventory levels to prevent an
interruption to the City's water system.

HD Supply Waterworks is the City's current provider for the purchase of water pipeline
fittings and other related accessories and has reached the end of their second contract
extension and has submitted a written offer to extend the existing contract for an
additional year in accordance with the existing Agreement. The contractor's offer of
extension does not reflect a change in price and all other conditions of the Agreement
are to remain in effect.
The City provides and maintains water services to nearly 55,000 residents through
approximately 14,000 meter service connections. HD Supply Waterworks has proven
capable of responding to the City's requests in a timely manner. This will be the last
contract extension for these services and staff will rebid the acquisition of pipeline
fittings and related accessories next year.
FISCAL IMPACT
Sufficient funds have been budgeted in the Fiscal Year 2013 -14 Water Services
Operating Budgets for the purchase of water pipeline fittings, brass valves, and other
related accessories for the City's water distribution system.
RECOMMENDATIONS
It is recommended that the City Council authorize and direct the City Manager to
execute a one year contract extension with HD Supply Waterworks for the purchase of
water pipeline fittings, brass valves, and other related accessories for the City's Water
Distribution System in the amount of $113,252.
