SUBJECT: AUTHORIZE AND DIRECT THE CITY MANAGER TO EXECUTE A ONE
YEAR CONTRACT EXTENSION WITH ERNIE'S AUTO PARTS FOR
THE PURCHASE OF AUTOMOBILE REPAIR PARTS FOR CITY
VEHICLES IN THE AMOUNT OF $31,877
Recommendation: Approve
SUMMARY
On November 2, 2010, the City Council approved a one year contract to Ernie's Auto
Parts for the purchase of automobile repair parts for City vehicles. Ernie's Auto Parts
has reached the end of their contract and has submitted a written offer to extend the
existing contract for an additional year with no increase in prices. This is the last
extension of the current contract. All other conditions of the agreement are to remain in
effect.
Based on the excellent service provided during the past year, it is recommended that
the City Council authorize and direct the City Manager to approve a one year contract
extension to Ernie's Auto Parts for the purchase of automobile repair parts for City
vehicles in the amount of $31,877.
DISCUSSION
The Public Works Services Department's Fleet Section is responsible for the
maintenance of all City vehicles and for the purchase of automotive parts and
accessories. As part of the City's ongoing vehicle maintenance program, the Public
Works Services Department purchases automobile parts, accessories, and brake
services for safety and non - safety equipment. To minimize unnecessary vehicle down
time, it is necessary to order items from local part suppliers who are able to provide
needed parts in a very short time frame.

Ernie's Auto Parts is the City's current provider for the purchase of automobile repair
parts for City vehicles. The City Council awarded a contract to Ernie's Auto Parts on
November 2, 2010. Ernie's Auto Parts has reached the end of their contract and has
submitted a written offer to extend the existing contract for an additional year with no
increase in prices. The contract language allows for extensions subject to the approval
of the City Council. This will be the third and final contract extension for Ernie's Auto
Parts. The contract extension includes no increase in prices or services, and all other
conditions of the contract remain the same.
FISCAL IMPACT
Funds are budgeted in each Department's Fiscal Year 2013 -14 Vehicle Maintenance
Accounts for the purchase of automobile repair parts.
RECOMMENDATION
It is recommended that the City Council authorize and direct the City Manager to
execute a one year contract extension with Ernie's Auto Parts for the purchase of
automobile repair parts for City vehicles in the amount of $31,877.
