On December 6, 2011, the City Council approved a contract with Empire Cleaning Company for the purchase of janitorial supplies for various City facilities. The contract includes language for annual extensions, subject to City Council approval. Empire Cleaning Company is reaching the end of their first contract extension and has submitted a written offer to extend the contract for one year with no increase in prices for janitorial supplies. All terms and conditions of the contract will remain the same. Based on the excellent service provided by Empire Cleaning Company during previous years, it is recommended that the City Council authorize and direct the City Manager to execute a one year contract extension with Empire Cleaning Company for the purchase of janitorial supplies for various City facilities in the amount of $69,560. DISCUSSION: The Public Works Services Department is responsible for purchasing and distributing janitorial supplies for City facilities. It is essential that the City's warehouse maintains an adequate supply of cleaning supplies and paper goods in inventory to prevent interruption of janitorial and cleaning services. Most items used in conjunction with janitorial services and facilities maintenance are considered a revolving inventory item and must be replenished to continue daily operations at City facilities. Some examples of purchased items include toilet paper, toilet seat covers, waterless urinal cartridges, paper towels, liquid hand soap, shovels, brooms, trash bags, disinfectants, batteries, Extension of Janitorial Supplies Contract November 19, 2013 Page 2 of 2 chalk paint, gloves, and paper cups. Last Fiscal Year, approximately $65,000 was expended in janitorial supplies and paper goods for City facilities. Empire Cleaning Company is the current vendor for these goods and has reached the end of their first contract extension. The contract language allows for annual contract extensions, subject to City Council approval. Empire Cleaning Company has submitted a written offer to extend the contract for one year in accordance with the contract agreement with no price increase to the items in the original bid. FISCAL IMPACT: Sufficient funds are available in each Department's Fiscal Year 2013 -14 Operating Budgets for the purchase janitorial supplies. RECOMMENDATION: It is recommended that the City Council authorize and direct the City Manager to execute a one year contract extension with Empire Cleaning Company for the purchase of janitorial supplies for various City facilities in the amount of $69,560.
