SUBJECT: CONTRACT EXTENSION WITH B &P PAINTING, INC. FOR PAINTING
AND WOOD REFINISHING SERVICES AT VARIOUS CITY FACILIITES
IN AN AMOUNT NOT TO EXCEED $43,720
Recommendation: Approve
SUMMARY
On March 1, 2011, the City Council approved a contract with optional contract
extensions to B &P Painting, Inc. for painting and wood refinishing services at various
City facilities. B &P Painting, Inc. is reaching the end of their second contract extension
and has submitted a written offer to extend the existing contract for an additional year
with no increase in pricing. All other terms and conditions of the agreement will remain
the same.
Based on the excellent services provided by B &P Painting, Inc., it is recommended that
the City Council authorize and direct the City Manager to approve a one year contract
extension with B &P Painting, Inc. for painting and wood refinishing services at various
City facilities in an amount not to exceed $43,720.
DISCUSSION
The Public Works Services Department is responsible for the maintenance of all City
facilities. Annual painting and preventative maintenance programs have been
implemented at the Library, City Hall, Community Center, Public Works Services
Department, and Police and Fire Stations. The annual painting and preventative
maintenance programs consist of various projects that range from $350 to $12,000.
Funding is provided from the Capital Improvement Program and the various
departments' Operations and Maintenance budgets.

The Public Works Services Department determined that it would be beneficial to award
a contract for all annual facility painting and wood refinishing work to one qualified
contractor. This eliminates unnecessary down time, ensures projects are started and
completed on time, and guarantees that work is performed in a professional manner.
On March 1, 2011, the City Council approved a contract with optional contract
extensions to B &P Painting, Inc. B &P Painting, Inc. services are based on Capital
Improvement Projects and extraordinary repair work needed throughout the year.
Services include painting interior and exterior, power washing the exterior of City
facilities, and refinishing wood floors, cabinets, and molding.
B &P Painting, Inc. is reaching the end of their second contract extension and has
submitted a written offer to extend the existing agreement for an additional year with no
increase in pricing. All other terms and conditions of the agreement are to remain the
same. The contract language allows for annual contract extensions, subject to City
Council approval. B &P Painting, Inc. has provided excellent services to the City during
the term of the contract.
FISCAL IMPACT
Sufficient funds have been budgeted in the 2013 -14 and 2014 -15 Capital Improvement
Programs. Funds are also are budgeted in each department's Operating and
Maintenance budget accounts for facility maintenance.
RECOMMENDATION
It is recommended that the City Council authorize and direct the City Manager to
approve a one year contract extension with B &P Painting, Inc. for painting and wood
refinishing services at various City facilities in an amount not to exceed $43,720.
