SUBJECT: ONE YEAR EXTENSION TO THE PROFESSIONAL SERVICES
AGREEMENT WITH THE ARCADIA UNIFIED SCHOOL DISTRICT FOR
BUS TRANSPORTATION SERVICES FOR RECREATION ACTIVITIES
FROM JUNE 1, 2014, THROUGH MAY 31, 2015, IN AN AMOUNT NOT
TO EXCEED $45,000
Recommendation: Approve
SUMMARY
Each year, the Recreation and Community Services Department provides a number of
activities requiring transportation services. Transportation is needed on a yearly basis
for day camp, sports camp, intramural leagues, and excursions. On May 1, 2013, the
City executed a Professional Services Agreement ( "Agreement ") with the Arcadia
Unified School District to provide bus transportation services for recreation activities for
one year. This Agreement was executed with an amount not to exceed $45,000, and
included an option for two (2) one -year renewal periods thereafter, at the City's
discretion. Approval of this agenda item would extend the Agreement for one year
through May 31, 2015.
DISCUSSION
The Arcadia Unified School District has been providing satisfactory bus transportation
services for the Recreation and Community Services Department for approximately the
last 12 years. The current Agreement with the Arcadia Unified School District expires
on June 1, 2014. An extension to the agreement was submitted to the Arcadia Unified
School District for the upcoming year and the cost proposal for bus transportation
services has not increased. The City has the option to extend this contract for (2) one
year renewal periods. This is the first (1) of the two (2) potential extensions for the
agreement.

FISCAL IMPACT
The proposed budget for bus transportation services for Fiscal Year 2014 -15 is
$45,000, which is sufficient to cover the transportation costs for the programs, based on
the bid provided by Arcadia Unified School District.
RECOMMENDATION
It is recommended that the City Council authorize and direct the City Manager to
execute a one year extension to the Professional Services Agreement with the Arcadia
Unified School District for Bus Transportation Services for recreation activities from
June 1, 2014, through May 31, 2015, in an amount not to exceed $45,000.
