SUBJECT: PURCHASE OF TWO PICKUP TRUCKS WITH UTILITY BODIES AND
ONE STANDARD PICKUP TRUCK FROM FAIRVIEW FORD SALES,
INC. IN THE AMOUNT OF $87,107
Recommendation: Approve
SUMMARY
The Fiscal Year 2013 -14 Equipment Acquisition Budget provides for the replacement of
three pickup trucks for the Public Works Services Department. It is recommended that
the City Council authorize and direct the City Manager to approve the purchase of two
pickup trucks with utility bodies and one standard pickup truck from Fairview Ford
Sales, Inc. in the amount of $87,107.
DISCUSSION
The Fiscal Year 2013 -14 Equipment Acquisition Budget provides for the replacement of
three pickup trucks in the Public Works Services Department (PWSD). The vehicles that
will be replaced are currently used by the Water Section, Street Section, and Sewer
Section of the PWSD and all meet the mileage and /or age requirements of the City's
Vehicle Replacement Program. The Water vehicle is a 2000 Ford pickup truck with
127,000 miles. The Street vehicle is a 2004 Ford pickup truck with 107,000 miles. The
Sewer vehicle is a 1998 Chevy pickup truck with 110,000 miles. These vehicles will be
replaced by two new 2014 F -250 Ford 3/4 ton pickup trucks equipped with utility bodies
and one Ford F -150 1/2 ton standard pickup truck. The three existing units will go to
auction once replaced.
A notice inviting bids was published in the City's adjudicated newspaper and bid
packages were distributed to local area dealerships. The City Clerk publicly opened the
sealed bids on April 23, 2014, with the following result:

Upon reviewing the bid documents, Fairview Ford Sales, Inc. was determined to be the
lowest responsible bidder that met the City's specifications.
FISCAL IMPACT
Funds in the amount of $123,600 have been budgeted in the Fiscal Year 2013 -14
Equipment Acquisition Budget for the vehicle acquisition, lighting, and
telecommunication equipment.
RECOMMENDATION
It is recommended that the City Council authorize and direct the City Manager to
approve the purchase of two pickup trucks with utility bodies and one standard pickup
truck from Fairview Ford Sales, Inc. in the amount of $87,107.
