HomeMy WebLinkAboutItem 2j - Purchase Order with Daniels Tire ServiceGPVt�! 9 9D STAFF REPORT Public Works Services Department DATE: August 5, 2014 TO: Honorable Mayor and City Council FROM: Tom Tait, Public Works Services Director By: Dave McVey, General Services Superintendent SUBJECT: EXTENSION TO THE PURCHASE ORDER WITH DANIELS TIRE SERVICE FOR THE PURCHASE OF TIRES AND TIRE RELATED SERVICES FOR CITY VEHICLES IN THE AMOUNT OF $86,616 Recommendation: Approve SUMMARY On September 4, 2012, the City Council approved a purchase order with Daniels Tire Service for the purchase of tires and tire related services for City vehicles. Daniels Tire Service is reaching the end of their first extension and has agreed to hold their prices for another year. All remaining terms and conditions of the original purchase order will remain in effect. It is recommended that the City Council approve a one year extension to the purchase order with Daniels Tire Service for the purchase of tires and tire related services for City vehicles in the amount of $86,616. DISCUSSION The Public Works Services Department's Fleet Section is responsible for purchasing and maintaining tires and accessories for all City vehicles. In order to prevent an interruption in daily operations, the Public Works Services Department maintains a contract with a vendor who provides tires and tire related services on an as- needed basis. Tire related services would include the things such as the replacement of a flat tire on a fire engine or heavy duty equipment. They also carry specific tire sizes and brands that the City uses. The City expends approximately $60,000 annually for new tires and tire related services. On September 4, 2012, the City Council approved a purchase order with Daniels Tire Service for the purchase of tires and tire related services for City vehicles. Daniels Tire Service is reaching the end of their first extension and has agreed to hold their prices for Purchase Order Extension with Daniels Tire Service August 5, 2014 Page 2 of 2 another year. Daniels Tire Service has provided excellent service to the City during the term of the purchase order. The purchase order agreement allows for three, one -year contract extensions subject to City Council approval. This will be the second contract extension for Daniels Tire Service. FISCAL IMPACT Sufficient funds have been budgeted in each City Department's Fiscal Year 2014 -15 Vehicle Maintenance Accounts for the purchase of tires and tire related services. RECOMMENDATION It is recommended that the City Council approve a one year extension to the purchase order with Daniels Tire Service for the purchase of tires and tire related services for City vehicles in the amount of $86,616.
