SUBJECT: ACCEPT ALL WORK PERFORMED BY GENTRY BROTHERS, INC.
FOR THE SEWER MAIN STRUCTURAL REPAIR PROJECT AND
AUTHORIZE THE FINAL PAYMENT TO BE MADE IN ACCORDANCE
WITH THE CONTRACT DOCUMENTS, SUBJECT TO THE RETENTION
OF $1,703.50
Recommendation: Approve
SUMMARY
On February 18, 2014, the City Council awarded a contract to Gentry Brothers, Inc. in
the amount of $34,570 for the Sewer Main Structural Repair Project. The terms and
conditions of this project have been complied with and the work has been satisfactorily
performed for a total project cost of $34,570. It is recommended that the City Council
accept all work performed by Gentry Brothers, Inc. as complete and authorize the final
payment to be made in accordance with the contract documents, subject to retention of
$1,703.50.
DISCUSSION
Cracks or broken sections of sewer pipe can lead to more serious problems if left
unrepaired. Debris and trees roots can easily get through broken pipes and deteriorate
manhole structures, resulting in sewer blockages or backups. Additionally, these
problems require more frequent cleaning of the sewer pipes, which takes away from
routine cleaning of sewer pipes by Public Works Services maintenance crews.
Each year the Public Works Services Department performs visual and closed circuit TV
inspections of manhole structures and sewer pipes to check the condition of the pipes
and to identify any cracked or broken sections that would need to be repaired. The
result of these inspections identified sections of sewer pipe on Oakwood Avenue, Oak
View Lane, and Fifth Avenue and manhole structures on Arbolada Drive, Eighth
Avenue, Forest Avenue, and Santa Maria Road as areas to be repaired as part of the
Sewer Main Structural Repair Project (see attached Location Map of the project area).

Plans, specifications, and bid documents were prepared to perform this work and formal
bids were received for this project. Gentry Brothers, Inc. submitted the lowest, most
responsive bid and, on February 18, 2014, and the City Council awarded a contract to
Gentry Brothers to complete the Sewer Main Structural Repair Project.
Gentry Brothers Inc. has performed all the work required under the contract to the
satisfaction of City staff. As a result, all terms and conditions of this project have been
complied with and the work has been completed for a total project cost of $34,570. No
change orders were issued for this contract.
FISCAL IMPACT
Funds in the amount of $50,000 were budgeted in the Fiscal Year 2012 -13 Sewer Fund
Capital Improvement Program for the Sewer Main Structural Repair Project. The total
cost for this project is $34,570, which is within the approved budget.
RECOMMENDATION
It is recommended that the City Council accept all work performed by Gentry Brothers,
Inc. for the Sewer Main Structural Repair Project as complete and authorize the final
payment to be made in accordance with the contract documents, subject to the
retention of $1,703.50.
