SUBJECT: PURCHASE NEW CHAIRS AND CHAIR CARTS FOR THE ARCADIA
COMMUNITY CENTER IN AN AMOUNT NOT TO EXCEED $35,000
Recommendation: Approve
SUMMARY
The Arcadia Community Center serves hundreds of individuals daily in a variety of
programs and activities. Wear and tear to the furniture, fixtures, and equipment is
normal with the amount of use in the facility. Each year, staff evaluates the furniture,
fixtures, and equipment as part of the maintenance management plan and determines
what items need to be fixed or replaced. It has been budgeted this fiscal year to replace
the chairs at the Community Center.
DISCUSSION
The Community Center is typically open up to 15 hours per day for classes, meetings,
seminars, lunches, card games, and other activities. With the daily usage, the furniture,
fixtures, and equipment need to be replaced periodically. It is time to replace the chairs
in the Community Center. Two types of chairs plan to be purchased: fabric banquet
style arm chairs that will be used in the majority of areas in the Community Center and
less formal mesh and plastic arm chairs that will be used in the craft and pool rooms.
The banquet style chairs will be the same as what was recently purchased for the
Museum Education Center, with the exception of the coloring as it will match the decor
of the Community Center. Four hundred of the banquet style chairs are needed for the
Community Center functions. The less formal chairs will clean up much better than the
fabric chair and is suitable for the usage patterns in these rooms. Fifty mesh chairs are
needed. In addition to the chairs, a total of five chair carts are also needed to transport
the chairs about the facility.

FISCAL IMPACT
Mity Lite, has a federal GSA contract guaranteeing the lowest price for the products.
Therefore, the City will "piggyback" on this contract price. The chairs and chair carts
have been budgeted as part of the Equipment Replacement Budget for the 2014 -15
Fiscal Year at $35,000. These funds will be sufficient to purchase the items being
requested.
RECOMMENDATION
It is recommended the City Council approve the purchase of 450 chairs and five chair
carts for use at the Arcadia Community Center in an amount not to exceed $35,000.
