HomeMy WebLinkAboutItem 2b - Purchase Order for One ForkliftDATE: February 17, 2015 STAFF REPORT Public Works Services Department TO: Honorable Mayor and City Council FROM: Tom Tait, Public Works Services Director By: Dave McVey, General Services Superintendent SUBJECT: PURCHASE ORDER WITH NATIONAL AUTO FLEET GROUP FOR ONE ELECTRIC FORKLIFT IN THE AMOUNT OF $36,287.74 Recommendation: Approve SUMMARY The Fiscal Year 2014 -15 Equipment Acquisition Budget provides for the replacement of one all- electric forklift in the Public Works Services Department ( "PWSD "). PWSD researched various vendors that offered electric forklifts that would best fit the needs of the Department and found that utilizing the National Joint Powers Alliance ( "NJPA ") cooperative purchasing program enables the City to streamline the procurement process and receive the best price possible. It is recommended that the City Council approve a purchase order with National Auto Fleet Group for one electric forklift in the amount of $36,287.74. DISCUSSION The Fiscal Year 2014 -15 Equipment Acquisition Budget provides for the replacement of one all- electric forklift in the Public Works Services Department. The forklift that will be replaced is currently used by the Fleet Services Section and meets the age requirement of the City's Replacement Program. The forklift is 46 years old and is used daily to reach inventory items from the second floor of the garage and /or to transport large tires, rims, and oil drums. The current forklift has a significantly narrower wheel base than most new models, which could lead to the possibility of the forklift tipping over when maneuvering heavy loads. The new electric forklift will have a wider wheel base for better stability and improved operational safety. The California Government Code authorizes public agencies to participate in cooperative purchasing agreements such as those established by the NJPA while still remaining within the City's adopted rules and procedures for purchasing. By utilizing a cooperative purchasing program, the City is able to streamline the procurement process Purchase Order with National Auto Fleet Group February 17, 2015 Page 2 of 2 and purchase this equipment at a lower cost than traditional competitive bidding. The NJPA awarded a contract to National Auto Fleet Group for their full line of cars, trucks, and equipment. The bidding process and the contract with National Auto Fleet Group have been reviewed and meet the City's procurement requirements and specifications. FISCAL IMPACT Funds in the amount of $40,000 have been budgeted in the Fiscal Year 2014 -15 Equipment Replacement Fund for the purchase of an electric forklift. The NJPA price of the unit will be $36,287.74. RECOMMENDATION It is recommended that the City Council approve a purchase order with National Auto Fleet Group for one electric forklift in the amount of $36,287.74.
