SUBJECT: PURCHASE ORDER WITH WESTERN WATER WORKS SUPPLY
COMPANY FOR THE PURCHASE OF WATER PIPELINE FITTINGS,
BRASS VALVES, AND OTHER RELATED ACCESSORIES FOR THE
CITY'S WATER DISTRIBUTION SYSTEM
Recommendation: Approve
SUMMARY
The City's warehouse maintains an inventory of brass valves and fittings to supply the
Water Services Section with needed repair parts. To ensure that the City is receiving
the most competitive prices for the purchase of brass valves, fittings, and related
materials, a formal bid process was conducted and Western Water Works Supply
Company submitted the lowest responsive bid.
It is recommended that the City Council approve a purchase order with Western Water
Works Supply Company for the purchase of water pipeline fittings, brass valves, and
other related accessories for the City's Water Distribution System in the amount of
$107,000.
DISCUSSION
The City provides and maintains water services to nearly 56,000 residents through
approximately 14,000 meter service connections. The City's warehouse is responsible
for the purchase and allocation of water pipeline fittings, brass valves, and other related
accessories used by City maintenance crews, to repair and maintain the City's water
distribution system. It is critical that the warehouse maintains the proper on -hand
inventory levels to prevent an interruption to the City's water system.
A Notice Inviting Bids was published in the City's adjudicated newspaper and bid
packages were distributed to contractors that provide essential water distribution
materials. On June 2, 2015, the City Clerk opened five sealed bids with the following
results:

All bid documents were reviewed for content and the supplier's ability to best meet the
City's needs as specified in the bid specifications. Based on the evaluation of the bids,
Western Water Works Supply Company was determined to be the lowest responsive
bidder capable of supplying water pipeline fittings, brass valves and other related
accessories for the City's Water Distribution System. Western Water Works Supply
Company has successfully provided water pipeline fittings, brass valves, and other
related accessories for the City of Arcadia.
The quantities provided in the bid specifications are based on estimates. Bid documents
state that the City may purchase an amount above the estimate given according to the
needs and requirements of the City at the unit prices quoted in the bid. In order to
ensure that there are acceptable quantities of water related parts and fittings available
in the City's warehouse, the purchase order amount will be for $107,000, which is the
total amount budgeted for pipeline fittings, brass valves, and other related accessories.
FISCAL IMPACT
Funds in the amount of $107,000 have been budgeted in the Fiscal Year 2015 -16 Water
Fund Operating Budget for the purchase of water pipeline fittings, brass valves, and
other related accessories for the City's water distribution system.
RECOMMENDATION
It is recommended that the City Council approve a purchase order with Western Water
Works Supply Company for the purchase of water pipeline fittings, brass valves, and
other related accessories for the City's Water Distribution System in the amount of
$107,000.
