FOR THE CATEGORY 6 CABLE INSTALLATION AT VARIOUS CITY FACILITIES PROJECT Recommendation: Approve SUMMARY On April 7, 2015, the City Council approved a contract with X -Act Technology Solutions, Inc. in the amount of $74,000 to furnish, deliver, and install Category 6 cable at various City facilities. The terms and conditions of this project have been complied with and the work has been performed to the satisfaction of the Project Manager. It is recommended that the City Council accept all work performed by X -Act Technology Solutions, Inc. for the Category 6 Cable Installations at Various City Facilities Project as complete and authorize the final payment to be made in accordance with the contract documents, subject to the retention of $3,700. DISCUSSION As part of the budget process in Fiscal Year 2012 -13, the City Council approved a multi- phase telecommunication upgrade project to replace the existing antiquated phone system with a more advanced digital system. The City's current phone system is over a decade old and requires replacement as it cannot be supported after December 2015. This multi -phase project will provide for the upgrade of the City's current phone system with a more technologically advanced system known as Voice over Internet Protocol (VoIP). Accept CAT 6 Cabling to Various City Facilities July 7, 2015 Page 2 of 2 The work during this phase of the system upgrade included X -Act Technologies, Inc. furnishing, delivering, and installing Category 6 cable service at the Public Works Services Center, Community Center, City Hall, Police Department, and all three Fire Stations. It also included the replacement of all existing cable and related infrastructure at the Library in order to support an upgrade to a VoIP telecommunications system. All terms and conditions of this contract have been complied with and the work has been performed to the satisfaction of the Project Manager. X -Act Technology Solutions, Inc. completed the work as defined in the project plans and specifications in an efficient and timely manner. ENVIRONMENTAL ANALYSIS This project is considered a Class 1 exemption as defined in Section 15301(b) of the California Environmental Quality Act since the project consists of the maintenance of existing public facilities and does not expand the existing use of the facilities. FISCAL IMPACT Sufficient funds have been budgeted in the Fiscal Year 2014 -15 CIP budget. The total cost for this project is $74,000. RECOMMENDATION It is recommended that the City Council accept all work performed by X -Act Technology Solutions, Inc. for the Category 6 Cable Installations at Various City Facilities Project as complete and authorize the final payment to be made in accordance with the contract documents, subject to the retention of $3,700.
