HomeMy WebLinkAboutItem 2g: Contract to SirsiDynix for Support of Library's Integrated Library SystemSUMMARY BACKGROUND STAFF REPORT Library and Museum Services Department July 20, 2010 TO: Mayor and City Council FROM: Carolyn Garner - Reagan, Director of Library and Museum Services CA6P---- Prepared by Jackie Faust - Moreno, Library Services Manager , SUBJECT: Authorize the City Manager to award a purchase order contract to SirsiDynix for maintenance and support for the Library's integrated library system in the amount of $30, 529.45. Recommendation: Approve Staff is recommending the City Council waive the formal bidding process and award a sole source purchase order contract to SirsiDynix, for online support and maintenance of the Library's integrated library system, and subscription for catalog enriched content. Sufficient funds are available in the City's General Fund. The Library proposes to renew the software and hardware maintenance for its integrated library system along with a third party subscription for enriched content for our catalog. This enriched content includes pictures of book covers, content synopsis, reviews, and best selling titles. The integrated library system is used both by the public and the staff. All patron circulation records and material data are included in this system. For the public, this system includes the total online catalog of the Library's material. Patrons are able to access the Library's holdings in the Library and from their homes and offices. The catalog allows patrons to access their own accounts, place holds on materials that they want, and renew their checked -out material. Through this system, the Library is able to notify patrons by email three days before their items are due. Holds, overdue notices, and invoices are coordinated with the system. This system is available to our patrons at least twenty hours of the day and night, seven days a week. Without such a system, the Library would not know what is available at the Library. Our current system is sole source since SirsiDynix is the only vendor that offers this product. FISCAL IMPACT A total of $30,530.00 has been budgeted from the City of Arcadia Budget of 2010 -2011 for the purchase of this maintenance and support for the integrated library system. RECOMMENDATION Authorize the City Manager to waive the formal bidding process and award a purchase order contract to SirsiDynix for the purchase for online support and maintenance of the Library's integrated library system.
