HomeMy WebLinkAboutItem 1d: Accept All Work by D & J Foothill Electrical Contractors for Installation of Lighting at First Avenue Middle School as CompleteSUMMARY DISCUSSION Page 1 of 2 STAFF REPORT Public Works Services Department DATE: May 4, 2010 TO: Mayor and City Council FROM: Tom Tait, Public Works Services Director 9 Prepared by: Dave McVey, General Services Superintendent SUBJECT: ACCEPT ALL WORK PERFORMED BY D &J FOOTHILL ELECTRICAL CONTRACTORS, INC FOR THE INSTALLATION OF ELECTRICAL LIGHTING AND EQUIPMENT AT FIRST AVENUE MIDDLE SCHOOL AS COMPLETE AND AUTHORIZE THE FINAL PAYMENT TO BE MADE IN ACCORDANCE WITH THE CONTRACT DOCUMENTS Recommendation: Approve On March 16, 2010, the City Council awarded a contract to D &J Foothill Electrical Contractors, Inc. in the amount of $79,945 for the installation of electrical lighting and equipment at First Avenue Middle School. The terms and conditions of this project have been complied with and the work has been performed to staff's satisfaction for a total project cost of $79,945. Therefore, staff recommends that the City Council accept all work performed by D &J Foothill Electrical Contractors, Inc. for the installation of electrical lighting and equipment as complete and authorize the final payment to be made in accordance with the contract documents. The athletic field lighting at First Avenue Middle School was inadequate and did not allow for the full use of the field surface without the risk of children being hurt because they could not see. As a result, the Recreation Commission recommended that the City add new lights to better illuminate the field. As part of the renovation work being done at school facilities, the turf at First Avenue Middle School was recently replaced and a new track was put in. To ensure that the turf stays in good condition, the School District had told the City that it would close the field periodically allowing recovery from the wear and tear brought on by activity. With the installation of additional lights, this would allow more teams to use the field at one time. The Public Works Services Department has a project in the Capital Improvement Program which includes the installation of one (1) new light pole with lights; and the installation of additional lights on an existing light pole at First Avenue Middle School's Mayor and City Council May 4, 2010 athletic field. The new electrical lighting and equipment system would be controlled by a Musco energy efficient system through a smart controller which could reduce the existing energy costs for the field by 40% or approximately $700 per year. The terms and conditions of this contract had been complied with and the work had been performed to staff's satisfaction with no contract change orders. Therefore, staff recommends that the City Council accept all work performed by D &J Foothill Electrical Contractors, Inc. as complete and authorize the final payment to be made in accordance with the contract documents, subject to retention of $7,994.50. FISCAL IMPACT Funds in the amount of $100,000 have been budgeted in the 2009 -10 Capital Improvement Plan for this project. RECOMMENDATION 1. Accept all work performed by D &J Foothill Contractors, Inc. for the installation of electrical lighting and equipment at First Avenue Middle as complete. 2.
