SUBJECT: AWARD A PURCHASE ORDER TO FAIRVIEW FORD SALES FOR
THREE (3) FORD PICKUP TRUCKS IN THE AMOUNT OF $71,135.47
Recommendation: Approve
Staff is recommending that the City Council award a purchase order contract to Fairview
Ford Sales for the purchase of three (3) pickup trucks with utility bodies for the Public
Works Services Department in the amount of $ 71,135.47. Funds in the amount of
$114,330 are budgeted for this acquisition in the 2010 -11 Equipment Replacement
Budget.
The 2010 -11 Equipment Replacement Budget provides for the replacement of three (3)
vehicles for the Public Works Services Department. Two (2) of these vehicles are used
by the Water Division and the funding for their replacement is out of the Water
Equipment Replacement Fund. Funding for the third (3) vehicle is from the Equipment
Replacement Fund which is where all other General Fund vehicles are funded from.
These vehicles are used in the daily activities for water service maintenance and bus
stop maintenance. The new vehicles will replace two (2) Ford trucks, 1999 and 2002,
with utility bodies and one (1) Chevy 2003 standard pickup truck. These vehicles meet
the mileage, age and /or maintenance requirements of the City's vehicle replacement
policy and have been included in the 2010 -11 Equipment Replacement Program.
Notice inviting bids was published in the adjudicated paper. As advertised, the City
Clerk publicly opened the sealed bids on October 19, 2010 with the following results:

Staff has reviewed the bid documents for content. It has been concluded that Fairview
Ford Sales is the lowest responsible bidder to provide these vehicles. Therefore, staff
recommends that the City Council award a purchase order to Fairview Ford Sales for
the purchase of three (3) pickup trucks for the Public Works Services Department in the
amount of $71,135.47.
FISCAL IMPACT
Funds in the amount of $84,220 have been budgeted in the 2010 -11 Water Equipment
Replacement Fund and $38,110 have been budgeted in the 2010 -11 Equipment
Replacement Fund. Sufficient funds are available to equip each pickup truck with
emergency lighting, mobile radios and installation of an automated fueling system.
RECOMMENDATION
1. Authorize the City Council to award a purchase order contract to Fairview
Ford Sales for the purchase of three (3) pickup trucks for the Public Works
Services Department in the amount of $71,135.47.
2. Waive any informality in the bid or bidding process
