FOR THE LIBRARY TECHNOLOGY CENTER IMPROVEMENT PROJECT AS COMPLETE. Recommendation: Approve SUMMARY On August 1, 2017, the City Council approved a contract with Vincor Construction, Inc. in the amount of $79,710.66 for the Library Technology Center Improvement Project. The terms and conditions of this project have been complied with and the work has been performed to the satisfaction of the Project Manager for a total project cost of $79,710.66. It is recommended that the City Council accept all work performed by Vincor Construction, Inc. for the Library Technology Center Improvement Project as complete, and authorize the final payment to be made in accordance with the contract documents, subject to retention of $3,985.53. BACKGROUND The Arcadia Public Library was constructed in 1961 and renovated in 1996. In the 1996 renovation, a room was created to house the Library’s electric typewriters and CD-ROM databases, and an adjoining space was created for microfilm storage. Furniture was custom-built for the space, and included built-in electrical cabling so that it could not be moved without disassembly. In the years since, the typewriter room had been equipped with computers and additional network cables. Copy machines and printers filled much of the microfilm room. The limitations of the furniture and cabling greatly limited the usefulness of the space, which functioned only as a public computing space and could not be used for the Library’s training programs. Accept Library Technology Center Improvements April 3, 2018 Page 2 of 2 In the Fiscal Year 2016-17 Equipment Acquisition budget, $88,500 was approved to upgrade the two rooms’ electrical and data cabling systems, replace flooring and repaint walls, and add partitions and furniture to create two flexible learning spaces that could be used for programs and training as well as continued public computing access. New furniture was purchased by the Library staff and the improvements were completed by a contractor. DISCUSSION On August 1, 2017, the City Council approved a contract with Vincor Construction, Inc. for the Library Technology Center Improvement Project. The work performed included repainting the interior walls, replacing the existing vinyl tile with carpet tiles, installing partitions, upgrading electrical and data cables, and installing new doors as shown on Exhibit “A”. The terms and conditions of this contract have been complied with and the work has been performed to the satisfaction of the Project Manager. Vincor Construction, Inc. has completed the work as defined by the City’s specifications in an efficient and timely manner. FISCAL IMPACT The total cost for the Library Technology Center Improvement Project is $79,710.66. Funds in the amount of $81,976 were budgeted in the Fiscal Year 2016-17 Equipment Acquisition Budget for this project. RECOMMENDATION It is recommended that the City Council accept all work performed by Vincor Construction, Inc. for the Library Technology Center Improvement Project as complete, and authorize the final payment to be made in accordance with the contract documents, subject to the retention of $3,985.53.
