HomeMy WebLinkAboutLB Minutes: 02/16/17 LIBRARY BOARD OF TRUSTEES REGULAR MEETING MINUTES THURSDAY, FEBRUARY 16, 2017 CALL TO ORDER — Chair Janet HasBrouck called the meeting to order at 4:30 p.m. in the Library Conference room. PLEDGE OF ALLEGIANCE —Acting Library Services Manager David Dolim ROLL CALL: Trustees Janet HasBrouck, Elizabeth Renfrew, Joanna Liang, and Alice Wang; Councilmember Peter Amundson (City Council Liaison); Director of Library & Museum Services Darlene Bradley (Secretary); Library Services Manager Roger Hiles; Acting Library Services Manager David Dolim. ABSENT: Trustee Barbara Delphey Chair HasBrouck noted that Trustee Delphey had called to report that she would be unable to attend due to a last-minute family issue. PUBLIC COMMENTS — None REPORTS FROM LIBRARY TRUSTEES / LIAISONS Chair HasBrouck welcomed new Acting Library Services Manager David Dolim. Director Bradley stated that he would be combining elements of his regular position as Principal Adult Services Librarian with certain of her former duties on an interim basis until the vacant Library Services Manager position can be filled. Chair HasBrouck also reported that Arcadia Schools would be out on March 20. Trustee Renfrew reported that she liked being able to receive Library notices via text message. Manager Hiles added that several hundred patrons have signed up for the new text service so far. Councilmember Amundson stated that prominent concerns of the City Council include the spike in robberies and coyote sightings. He reported that the Mayor's Breakfast will be on February 24, and the annual Chamber of Commerce "State of the City" program will be on March 2. REPORTS FROM THE DIRECTOR Announcements/Statements/Reports a. Directors Report: Director Bradley introduced San Jose State University student intern Jaime Cortes, who will be working alongside Library staff for 90 hours as part of his studies towards a graduate Library and Information Science degree. Directory Bradley also reminded trustees that mandatory ethics training was to be completed by December 31, and the annual Form 700 financial interest paperwork is due. Director Bradley reported that the Library had received an "Honorary Service Award" from the Arcadia PTSA at their annual Founder's Day event. Director Bradley announced that 19 of the new Windows 7 PCs are now available to the public. These computers are replacing the ten and eleven year-old computers that library patrons have been using. Library Information Systems Specialist Peter Mercado created a profile for the new computers and is imaging and deploying them himself after the City's IT support and maintenance vendor, SigmaNet, decided that such work was outside the scope of their contract with the City. In the absence of Trustee Delphey, Director Bradley reported on the activities of the Friends of the Library group. She stated that a new issue of the Friends newsletter has been released, as well as a new membership brochure (in English and Chinese). The Friends will be presenting a program of"upbeat" Chinese music on February 25. b. Facilities projects update: Director Bradley stated that she had met with Public Works to discuss several ongoing facilities projects, including repairing the water- and insect- damaged sections of the Library's wooden trellis. Since the wisteria vines have been cut back, about 70% of the trellis beams can be seen to be damaged, much more than expected. She also noted that replacement of the 20 year-old carpeting in the Library's public areas has gone out to bid, and that new shelving has been installed that will permit both paperback and hardbound Children's fiction titles to be combined, making titles easier to find. Director Bradley also reported that a paint color consultant had identified a series of color combinations that could be used to gradually replace the twenty year-old paint in the library. c. Staff update: Director Bradley announced that three shelvers, one aide in Circulation, and one Tech Aide have been hired. The Library's only current opening is the vacant Library Services Manager position, which has been advertised and will close on March 16. d. Monthly Statistical Report: January 2017: Chair HasBrouck noted that digital circulation was up sharply, and Director Bradley explained that Tumblebooks ebooks for kids circulation has about doubled. e. Monthly Narrative Report: January 2017: Chair HasBrouck again stated that the narrative is her favorite part of the monthly Board packet. Trustee Renfrew commented on the influence of storytime techniques on helping children to bring a story to life. f. Monthly Financial Report: December 2016: Chair•HasBrouck noted that six months into the year, the money is about half spent. g. Gilb Museum of Arcadia Heritage: Director Bradley reported that the Museum would host a "Coffee with the Curator" event that would focus on Arcadia's historic Peach Blossom festivals. h.— I. Calendars, Flyers and Historical Photo: Trustee Renfrew asked about the after-hours. "Friend Me" program (originally planned for January), and Director Bradley reported that it had not met the minimum sign-up goal, and had been cancelled. Manager Dolim added that an after-hours Harry Potter event is being planned for this summer, and it is hoped that this will be more successful. CONSENT CALENDAR a. Approve the Regular Meeting Minutes of January 19, 2017 Recommended action: Approve The motion was moved by Trustee Renfrew, seconded by Trustee Liang, and carried on a voice vote.
