HomeMy WebLinkAboutLB Minutes: 06/15/17REGULAR MEETING MINUTES THURSDAY, JUNE 157 2017 CALL TO ORDER — Chair Janet HasBrouck called the meeting to order at 4-30 p.m. in the Library Conference room. PLEDGE OF ALLEGIANCE — Trustee Barbara Delphey ROLL CALL.-- Trustees Janet HasBrouck, Barbara Delphey, Elizabeth Renfrew, and Joanna Liang; Councilmember Tom Beck (City Council Liaison); Director of Library & Museum Services Darlene Bradley (Secretary); Library Services Manager Roger Hiles; Acting Library Services Manager David Dolim. ABSENT: Trustee Alice Wang Trustee Delphey moved to excuse the absence of Trustee Wang. The motion was seconded by Trustee Renfrew and carried on a voice vote. AYES: Chair HasBrouck, NOES: None ABSENT: Trustee Wang PRESENTATIONS — None PUBLIC COMMENTS — None Trustees Delphey, Liang, and Renfrew REPORTS FROM LIBRARY TRUSTEES / LIAISONS Trustee Delphey reported that she had attended the Serving with a Purpose conference with Director Bradley and Acting Manager Dolim. She also reported that Anne Joseph will be the new president of the board of the Friends of the Arcadia Public Library. Chair HasBrouck reminded everyone that the Arcadia Unified School District is now out for summer. Councilmember Beck stated that he attended the Field of Honor dedication, as well as the Lucky Baldwin poker tournament that benefits historical structures at the Arboretum. Councilmember Beck also discussed crime issues, historical preservation, marijuana legalization, and the Parks Master Plan. REPORTS FROM THE DIRECTOR Announcements/Statements/Reports a. Adult/Teen Summer Reading Program Presentation: Librarian 11 Danielle Guerrero provided an overview of the adult and teen summer reading programs. b. Update on the Library Budget for FY 2017-18: Director Bradley reminded the Board that the Library is an official cooling center. Director Bradley reported that the Library's budget passed. c. Update on the Library's Community Needs Assessment Projects: Director Bradley detailed the current status of various building projects. She reported that new carpeting was currently being installed, painting projects had been completed for the fiscal year, under -carpet electrical had been installed in the middle school area, 12 new computers had been purchased, VOIP phones had been installed, and new shelving would be delivered shortly. d. Staff Update: Director Bradley reported that the open Library Services Manager position had been filled. Patricia Smith, a librarian at Pasadena Public Library, accepted the position and will be starting on Monday, July 3rd. She also reported that Acting Manager Dolim had moved up his final day at the Library to Friday, September 29th. She stated that due to challenges in Human Resources open positions might take longer to fill, including the new Clerk 1 positions approved for the passport service. e. Monthly Report Statistics: May 2017: Director Bradley reported that the gate count may be lower due to school getting out one week earlier than last year. She also stated that in-house collection use statistics will begin to be reported starting July 1st. Manager Hiles stated that the Jech Aides are receiving more questions as a result of their new more prominent location; hence the other -service -point questions statistic was higher. f. Monthly Report Narrative: May 2017: Chair HasBrouck stated that she was pleased that the Library was able to save $15,000 on Internet security. Trustee HasBrouck asked about electronic resources. Acting Manager Dolim stated that electronic resources are evaluated on a regular basis, with the result that some older resources are sometimes dropped in order to add new resources. He also described the re -allocation of funds between the electronic resources and library materials line items in the City budget. Trustee Delphey asked about Security Patrol Services and why the contract for that service is being reviewed. Director Bradley stated that it is a contract service that periodically comes up for re -bidding. g. Expenditure Status Report: May 2017: Trustee Delphey asked who creates the expenditure status report. Directly Bradley responded that the City's finance department prepares that report and that it usually runs a little behind actual expenditures. Chair HasB,rOLAck asked if unspent monies in the budget roll over to the next fiscal year. Director Bradley answered that unspent monies go back into the general fund at the end of the fiscal year. h. Gillb Museum of Arcadia Heritage: Director Bradley reported that she had attended the Museum's Spring Soiree on May 20th. She also stated that she and Museum staff are looking at the STEPS program. L— m. Calendars and Flyers: Chair HasBrouck asked what carpet is being cleaned. Director Bradley responded that the carpet in the auditorium is being cleaned as it is not being replaced. Chair HasBrouck commented that she was excited that the Amazing Race SRP kick-off event and the Harry Potter Trivia Night had received so many pre- registrations. CONSENT CALENDAR a. Approve the Regular Meeting Minutes of May 18, 2017 Recommended action: Approve The motion was moved by Trustee Liang, seconded by Trustee Delphey, and carried on a voice vote.
