REGULAR MEETING MINUTES
THURSDAY, MAY 177 2018
CALL TO ORDER — Chair Elizabeth Renfrew called the meeting to order at 4:30 p.m. in the
Library Conference room.
ROLL CALL: Trustees Barbara Delphey, Janet HasBrouck, Joanna Liang, Elizabeth Renfrew,
and Alice Wang; Councilmember Tom Beck (City Council Liaison); Director of
Library & Museum Services Darlene Bradley (Secretary); Library Services
Manager Roger Hiles, Library Services Manager Pat Smith.

REPORTS FROM LIBRARY TRUSTEES / LIAISONS
Trustee Delphey reported that the Friends of the Library held a successful book sale in April that
raised about $100 per day. She also announced the Friends had presented the Library with a
check for $40,000 to support the Summer Reading Program and the Library's half of the Brainfuse
online tutoring subscription. Trustee Delphey noted the Friends would be presenting a jazz
concert on June 9. Trustee Wang stated she would be attending a ribbon -cutting ceremony at
Foothill Unity later that evening, and asked that she be excused at that time. Chair Renfrew
reported that she had attended the Serving with a Purpose seminar and came away with much to
share with the Friends of the Library. She also noted that she enjoyed the Spring Soiree program
at the Museum. Trustee Liang announced that she would be vacationing on the dates of the June
and July Board meetings and would be unable to attend.
Councilmember Beck reported that the City Council will be holding a goal -setting meeting on June
1. He noted that the City budget will be voted on in June.
REPORTS FROM THE DIRECTOR
Announcements/Statements/Reports
a. Summer Reading Program Presentation: Director Bradley introduced Petra Morris,
Principal Librarian, who described the upcoming children's Summer Reading Program,
Summer at Your Library. Ms. Morris noted that the program depended on the generosity
of the Friends as well as strong volunteer support from the community. Trustee HasBrouck
asked if the recent donation from the Friends included funds transferred from the old
Library Foundation, and Director Bradley said that they were drawing down the old
Foundation funds as their own fund-raising was not able to raise the traditional $40,000
level of annual support. Trustee Wang said that she would look into the status of the
Arcadia Chinese Association's traditional $500 gift to the Library.
b. Director's Update: Director Bradley announced the Library would no longer be charging
patrons for placing holds, and also that 3D printing services would now be available to
Arcadia cardholders. She also noted that the Library Board would be touring the newly
renovated Glendale Downtown Central Library on May 25. Director Bradley also reported
that the recruitment for the vacant Library Technician position in Account Services had
closed on May 14; and the "Community Conversations about the Arts and Culture in
Arcadia event will be held on June 15.
c. Budget- Director Bradley stated that the City Council held a budget study session on May
15, and there had been no questions about Library or Museum items. She added that a

project to repair the Library's roof was included in the proposed budget, as well as some
additional funds to repair landscaping damaged due to the drought.
Monthly Report Statistics: April 2018: Chair Renfrew noted that the numbers seemed
typical for this time of year.
Monthly Report Narrative: April 2018: Chair Renfrew commented on the effective use
of photos in the narrative report. Trustee HasBrouck stated that it was good to see
representatives from many other City departments come out to support the Library at the
ribbon -cutting ceremony for the new Community Learning and Technology Center.
Financial Report: March 2018: Director Bradley reported that spending was on track for
this time of year. She noted that spending on substitutes continues to be high, but that is
due to continuing vacancies, which should balance out at the end of the year.
Gilb Museum of Arcadia Heritage: Director Bradley reported that there was good
attendance at the Balloon School program. She also noted that Eugene Moy would be
presenting a Saturday morning talk on June 2 on the Chinese American heritage of the
San Gabriel Valley. Director Bradley announced that the Hakka Foundation was
sponsoring the grand prizes for the juried photography contest at the Museum.
Calendars, Flyers, Historical Picture
Trustee HasBrouck asked how Library participation at the Firefighter Association's annual
Pancake Breakfast had gone, and Director Bradley reported that a number of the staff had
attended to divide up shifts at the Library's table, and that Children's Services had passed
out information about the upcoming Summer at Your Library Program, and that Adult
Services staff passed out tickets that could be redeemed at the Library for Star Wars
keychains (promoting their Star Wars program) that were printed on the Library's 3D
printer.

Recommended action: Approve
The motion to approve the minutes as corrected was moved by Trustee Delphey,
seconded by Trustee HasBrouck, and carried on a voice vote.

ABSENT: Trustee Wang
ADJOURNMENT
Chair Renfrew adjourned this meeting at 6:04 p.m. to Friday, May 25 at 9:00 a.m. in the
Conference Room of the Library, 20 W. Duarte Road, Arcadia.
