HomeMy WebLinkAboutLB Minutes: 01/17/19A CALL TO ORDER — Chair Elizabeth Renfrew called the meeting to order at 4:32 p.m. in the Library Conference room. PLEDGE OF ALLEGIANCE — Trustee Miriam Carter ROLL CALL: Chair Elizabeth Renfrew, Trustees Miriam Carter, Barbara Delphey, Janet HasBrouck, Alice Wang; Director of Library & Museum Services Darlene Bradley (Secretary); Library Services Managers Roger Hiles and Pat Smith. REPORTS FROM LIBRARY TRUSTEES / LIAISONS Trustee Delphey, as the Liaison to the Friends, reported that the Bookstore was closed two weeks for the holidays. The Bookstore also has new signage thanks to Library staff. The Treasurer's Report showed $6,700 (in excess of expenses). Discussion of increasing membership, including adding a student membership, followed. Trustee Wang reported on the Arcadia Chinese Association's annual Gala Dinner, which netted $40,000. She urged the Library to submit a wish list of projects costing $3,000 to $5,000. REPORTS FROM THE DIRECTOR Announcements/Statements/Reports Director's Update: Director Bradley thanked the Board for the annual holiday cookies. She reported on the leaking roof and informed the Board that major repairs are slated for later this year; she also reported on the chiller replacement. The budget process is beginning and the mid- year review was submitted. She also discussed the City Financial Advisory Committee's report to City Council. Staff Reports to Council: Fines and Fees: The City Council approved the Library's fines and fees. The Library had not reviewed these in ten years. The Auditorium rental fee has been increased and a security fee added; the Interlibrary Loan fee was increased as well. English Conversation Class will charge a $20 fee per student, per semester to cover the cost of paper and other materials. The City may bring in a consultant to review fines and fees citywide. Monthly Statistical Reports: November and December 2018: Trustee Renfrew observed that holds keep increasing; Director Bradley explained the new holds procedure. Director Bradley explained that the fluctuations in monthly statistics are due to holidays. She also reported on recent donations, including the $5,000 Seaver Trust Fund donation. Passport Services' hours and recruitment were discussed. Monthly Report Narrative: November/December 2018: Director Bradley responded to questions regarding the recent Mental Health grant for training and developing community partnerships to better serve those in need. Discussion about the Library's relationship with Arcadia schools and the basement -shelving project followed. Financial Report: December 2018: Director Bradley discussed overruns on building repair costs, which have included unforeseen repairs and in general are hard to predict. Generally, Library spending is on track. Staff Day: Director Bradley outlined the upcoming day's events. Library staff introduced Harwood Institute's public -innovator training. Staff Update: Passport Services Clerk position opens tomorrow. The aide position has been filled: the new aide will help with ECC. A Shelving Aid will be leaving. The part-time Librarian has left for a full-time position with Los Angeles County. Gilb Museum of Arcadia Heritage: The Museum Education Coordinator interviews have been completed and a conditional offer has been made. There will be a Coffee Talk on February 2 on Taiwanese and Taiwan in the San Gabriel Valley. Calendars, Flyers, Historical Photo: Director Bradley highlighted the upcoming Library Chinese New Year program, which will be attended by State Senator Rubio; Library Services Manager Hiles will represent the Library. The Library will be represented at the Performing Arts Foundation's Chinese New Year event and will staff a story -telling corner. Computer Tutoring will be replaced by Teen Tech volunteers. She also presented the reformatted Standards of Behavior. CONSENT CALENDAR a.
