REGULAR MEETING MINUTES
THURSDAY, JUNE 20,2019
CALL TO ORDER — Chair Elizabeth Renfrew called the meeting to order at 4:30 p.m. in the
Library Conference room.
PLEDGE OF ALLEGIANCE — Trustee Miriam Carter
ROLL CALL: Trustees Miriam Carter, Barbara Delphey, Janet HasBrouck, Elizabeth Renfrew,
and Alice Wang; Councilmember Peter Amundson (City Council Liaison); Director
of Library & Museum Services Darlene Bradley (Secretary); Library Services
Managers Roger Hiles and Pat Smith.
CLOSED SESSION
A closed session, pursuant to Government Code Section 54957, was held to conduct a
performance evaluation of the Director of Library and Museum Services.
REPORTS FROM LIBRARY TRUSTEES I LIAISONS
Trustee Carter stated that she had attended the "Serving with a Purpose" workshop and found it
outstanding. Trustee HasBrouck reported that she has visited one of the Anythink Libraries in
Colorado and found it interesting. Chair Renfrew stated that she attended the Random Acts of
Music program and that people had enjoyed it. Chair Renfrew and Trustee Carter both reported
that they had attended the Library's interactive movie event and enjoyed it, noting that it was very
well done. Chair Renfrew also thanked staff for the well -organized volunteer brunch on June 1.
Councilmember Amundson reported that Measure A had been approved by voters on June 4,
and the City Council had approved the City's fiscal 2019-2020 budget on June 18. He added that
the City Council had also approved a Farmer's Market program for the Library parking lot on
Sundays, beginning on July 28, and the Downtown Arcadia Patriotic Festival & Fireworks Display
for 2019 would be held on Saturday, June 29.
REPORTS FROM THE DIRECTOR
Announcements/Statements/Reports
Director's Update: Director Bradley reported that so far this summer, 182 adults, 40 teens, 235
middle schoolers, and 735 children had signed up for the Summer at Your Library reading
program. She also recommended to trustees a June 13 editorial in the Los Angeles Times
entitled, "An Ode to the Library". Director Bradley reported that on June 7, the Pasadena Star -
News had published an interview with Arcadia High School's 2019 valedictorian, Kevin Tan, who
was awarded a full scholarship to Harvard. Mr. Tan specifically credited the library's science
collection as helping him excel in science. She also reported that Librarian Yvonne Ng had
received a written compliment for her help to a student researching Arcadia history.
Monthly Statistical Report: May 2019: Director Bradley noted that both I Gate count and
circulation were up for the month.
Monthly Report Narrative: May 2019: Trustee Delphey reported that she had found the Paws
to De -Stress therapy dog program for teens to be impressive. She also noted that the children's
marketplace programs are a good way to teach children about money.
Financial Report: April 2019: Director Bradley noted that again that the vehicle maintenance
fund looks overspent because it is being used for diesel fuel and parts for the building's new
generator, which does not have a fund of its own. She also reported that the buildi.ng's 1972 chiller
continues to be expensive to operate in its last full year of operation. Money for a replacement
has been budgeted for the 2019/2020 fiscal year.
Staff Reports: Director Bradley noted that Library staff had prepared staff reports for $2,000
received from the Jackie Faust -Moreno Trust Fund, $1,000 from the Arcadia Lion's Club
Foundation, and $3,100 from the Arcadia Chinese Association for the purchase of another AWE
early literacy workstation, all have been approved by the City Council. She also noted that the
Council had approved the purchase of 28 replacement chairs for public areas in the Library.
Staff Update: Director Bradley reported that part-time Librarian Meghan Shea has resigned and
the position has been offered to a new candidate; and aclerk position in Passport Services has
opened up, and that a recruitment is underway. Minki Kim has been hired as a new library aide
in shelving management. A volunteer intern will be assisting with marketing during the summer,
and she will start soon. Manager Smith thanked Chair Renfrew for finding the intern.
Building Facilities: Director Bradley reported there was no news about the roof replacement
project, but the after-hours pilot project planned for Sunday, June 30 seemed to be moving
forwards slowly. The outdoor STEAM event has also not been set yet. She added that the
Farmer's Market had been approved and was scheduled to begin on Sunday, July 28.
Gilb Museum of Arcadia Heritage: Director Bradley announced the Museum was finally fully
staffed, and she is now focused on training the new staff. Curator Stevy Acevedo secured a
$10,000 grant for paid interns, which she will use to help digitize the scrapbooks donated by the
Arcadia Woman's Club.
Calendars, Flyers/Articles/Attachments
Trustee Wang asked if the flyer for the Museum's Faces of Arcadia fundraiser could be emailed
to her so she could help distribute it. Director Bradley responded that it could be, then personally
invited the trustees for attend the event. Trustee Wang also asked if the flyer for the Early Chinese
in Arcadia history lecture could be translated into Chinese, and Director Bradley stated that she
would look into it.
CONSENT CALENDAR
a. Approve the Regular Meeting Minutes of Mav 16, 2019
Recommended action: Approve
Chair Renfrew noted that her name had been misspelled in the Consent Calendar vote results on
the May 16 meeting minutes, and asked that it be corrected. The motion to approve the minutes
as corrected was* moved by Trustee Carter, seconded by Trustee HasBrouck, and carried on a
voice vote.
AYES: Chair Renfrew, Trustees Carter, Delphey, HasBrouck, and Wang
NOES: None
b. Approve the Pilot Proiect of Auditorium Rentals After -Hours
Recommended action: Approve
The motion to approve item "b" was moved by Trustee HasBrouck, seconded by Trustee Delphey,
and carried on a voice vote.

ADJOURNMENT
Chair Renfrew adjourned this meeting at 6:21 p.m. to Thursday, July 18, 2019 at 4:30 p.m. in the
Conference Room of the Library, 20 W. Duarte Road, Arcadia.
