HomeMy WebLinkAboutLibrary Minutes: 02/20/20CALL TO ORDER — Chair Barbara Delphey called the meeting to order at 4:32 p.m. in the Library Conference • ROLL CALL: Chair Barbara Delphey; Trustees Miriam Carter, Janet HasBrouck, Elizabeth Renfrew; Councilmember Peter Amundson (City Council Liaison); Director of Library & Museum Services Darlene Bradley (Secretary); Library Services Manager Roger Hiles, Library Services Manager Pat Smith. Trustee Renfrew moved to excuse Trustee Wang from meeting. Seconded by Trustee HasBrouck and approved on a voice vote. I AYES: Chair Delphey; Trustees Carter, HasBrouck, and Renfrew NOES: None ABSENT: Trustee Wang REPORTS FROM LIBRARY TRUSTEES / LIAISONS: City Council Liaison Amundson reported on the upcoming elections for the Board of Education and for City Council, as well as on the new Voting Centers in Arcadia. He also touched on the new homeless count results and the City Council's response to the City's unfunded liability situation, which will be based on the recommendations of the CFAC. Trustee Renfrew reported that the Friends' Bookstore sales are down, perhaps due to flu and Corona -virus concerns. Trustee Carter visited the Newport Beach Public Library and shared how their Friends group sells books. Arcadia Friends of the Library annual spring book sale is scheduled for April 20. REPORTS FROM THE DIRECTOR Announcements/Statements/Reports Director's Update: The Silver Circle annual volunteer recognition dinner is scheduled for March 12, at the Community Center. The Serving with a Purpose conference is scheduled for May 20: please let Shelly know before April 1, if you are interested in attending. Children's Services is hosting Read across America on February 26, from 10-11 am. The annual celebration features special visits by members of the Fire and Police Departments. Monthly Statistical Report: Overall, numbers are down, likely due to seasonal illness and Corona Virus fears. Usage of the auditorium has doubled due to switching responsibility for booking to Account Services, which offers longer hours and better access to reservations. Under "Gifts and Grants," the Library received $1,700 from the Friends for the Classical Kaleidoscope Concert. Website statistics are currently unavailable, but should be soon. Monthly Report Narrative: Director Bradley expressed her appreciation for being able to take the time to train staff on the annual Staff Day. Chair Delphey applauded Library's willingness to solicit public opinion. Discussion covered microfilm readers, the budget for foreign language materials, and the new outreach worker. The outreach worker is only at the Library two days every week and focuses on adults experiencing homelessness; the mentally ill pose the greatest problem for the Library. Financial Report: December 2019: The Library is currently on track for annual spending. Library Video Clip Presentation: Adult Services Principal Librarian Danielle Guerrero presented a short video clip promoting the Library she produced for the Leadership Academy. She used Lumin 5, a software program which makes creating videos easy for non-professionals. The Board discussed possible applications, especially for the Friends. Comment Card: A revised version of the card adding contact information was provided for the Board's Policy Manuals. Voting Center: The Library will serve as a Voting Center from February 29 through March 3. Centennial Celebration: Library Services Manager Hiles presented the design for the new commemorative card and Library Services Manager Smith discussed the current plans for celebrating the Library's 100th birthday. Library Budget FY 2020-21: Director Bradley reported that the process has been started. Library Board Field Trip: This year's trip—a tour of the Altadena Public Library --is scheduled for May 15 at 10 am. The Board discussed meeting for breakfast prior to the tour. Staff Update: The recruitment has begun for the Technician position. Passport Clerk Darren Manley's last day is February 22; Dyani Yanez is the new Passport Clerk. Staff Reports.- All three staff reports were approved by City Council. The Board discussed the costs of memorial benches and agreed the issue should be taken to the Friends. Gilb Museum: Director Bradley handed out packets of Museum information, including flyers for upcoming programs and a quarterly list of events and services. She highlighted the March 14 ribbon -cutting for the new Veteran's Touch Screen Kiosk, which will be held with assistance from the Arcadia Chamber of Commerce. The Library and Museum server was discussed as well. Calendars, Flyers, Historical Photo: Upcoming Library events were reviewed. CONSENT CALENDAR a. Approve the Regular Meeting Minutes of January 16, 2020 Recommended action: Approve The motion was moved by Trustee Renfrew, seconded by Trustee HasBrouck, and carried on a voice vote. AYES: Chair Delphey, Trustees Carter, HasBrouck, Renfrew.
