As part of the City of Arcadia’s COVID-19 transmission mitigation efforts, this meeting of the
Arcadia Museum Commission will be conducted virtually and the public is discouraged from
attending. Per the Brown Act, the public will still be provided the ability to make public comments.
For members of the public who would like to participate virtually, the meeting will be held via
teleconference.

HIGHLIGHTS
The Museum continues to be closed due to the COVID-19 pandemic, but it is still very active
virtually with the community. New Community and Preschool Kits will be available for 2021.
EXHIBITS
The Museum staff continues to update the majority of permanent exhibits in the main gallery. For
items that are more fragile, staff has made printed copies for display. Items such as the postcards
from the Adolf Frank collection from the Arcadia Ross Balloon School have been digitized and
copies of the originals will be included in the exhibit. The Museum has also recently acquired a
World War I bugle to include inside the Ross Balloon School display case.
The first exhibit for 2021 will be the Community Collections Virtual Exhibit. The community is
encouraged to share their own personal collections that they collect for fun with the Gilb Museum.
Submissions will be accepted from January 11 to February 19, 2021 and is open to all ages.
Submissions will be collected using a Google Form. The virtual exhibit will open March 1, 2021

COLLECTIONS
Staff continues to upload and accession items from the Museum’s collection onto CatalogIt.
Volunteer Rebecca Andersen is currently working on uploading all the photographs of the Arcadia
Woman’s Club Collection. Intern Brendon Chen recently finished digitizing and curating the Pony
Express Museum Collection, which consisted of photographs and newspaper clippings found in
the collection. He is now working on digitizing the Anthony W. Wilkinson collection, which consists
of historic Arcadia letters from the late 1800s to the mid-1900’s.
Curator Acevedo continues to digitize the VHS tapes in the collection. Volunteer Jonathan
Ornelas has begun to assist with this project. Curator Acevedo purchased a separate hard drive
to save these videos and to have multiple backups of the files.
An inventory of all items donated during this time period:
Mr. Mark Hull donated his father’s autographed book “Hullabaloo” by Dave Hull.
The City Manager’s Office donated two framed photographs of past events in the City.
Ms. Kathryn M. Taylor donated approximately 700 postcards and letters from Arcadia from
1882 to 1961. She has donated the collection in memory of her father, Anthony W. Wilkinson,
who collected them and lived in Arcadia from the 1960's to 2000.
Ms. Carol Cramer donated some books on World War II.

EDUCATION and PROGRAMMING
The Museum distributed over 900 kits in 2020. With the popularity of these free
educational kits, Museum Staff developed a new series of kits that will be
available in 2021. These upcoming kits are intended for students ages 5 to 12,
will be distributed every other month, and will focus on different topics,
including horses, planting, and recording one’s family history. The first kit,
History from Home, will be offered starting January 4. This kit will teach how to
be a Historian at home and will help you record your family's personal history.
Since the Preschool Program was canceled due to the pandemic, Museum
Staff is also working on a Preschool Program Kit for 2021. These kits will be offered in months
alternate to the community kits for older children and are available for ages 2-5 years old and for
children with special needs. The first kit, the Wild West, will be offered starting February 1 and
will explore Arcadia’s Wild West days and the history of William Parker Lyons. No Speakers
Bureau requests were made for the month of November.
ADMINISTRATION
The Friends of the Arcadia Museum conducted their board meeting virtually on November 5 using
Google Meet. The meeting for December was postponed until January 2021. Museum staff was
in attendance and updated the Board with current projects being conducted at the Museum. The
Friends Board has requested that Curator Acevedo write a letter about the Museum for their
membership drive in January 2021.
Curator Acevedo submitted the final narrative and financial report for the 2020 Getty Marrow
Undergraduate Internship grant to wrap up the grant. The Getty has informed the Curator that the
application for the 2021 Getty Internship grant is now live and due on February 1st. This time
around, applicant organizations must submit proposals and work plans for remote internships,
and work plans must demonstrate the ability to support a fully online work experience; positions
based solely on hands-on, onsite work will not be deemed competitive for the 2021 cycle.
MARKETING
The Museum has been marketing various programs, exhibits, and weekly tidbits through their
social media platforms, including Facebook, Twitter, Instagram and YouTube, for the community
to stay engaged with the Museum.
The Museum continues posting #Whatisit Wednesday and #FeatureFriday
posts weekly, and they have been gaining in popularity with the community.
#WhereIsIt Wednesday engages the community to guess where historical
pictures were taken. This has led to a large increase in people interacting with
Museum social media posts. #TriviaTuesday has also been very popular. Such
posts have led to an increase in engagement on all social media platforms.
Museum staff have continued to record the Curator’s Corner video series, which
is posted on social media platforms. The Curator made a video highlighting Tony
Antista’s accordion to celebrate Tony Antista Day.
Museum staff submitted a video to the Tournament of Roses television broadcast. In celebration
of the New Year, the Pasadena Tournament of Roses wants to feature messages and wishes
from around the world. Submissions will form a montage that will be paired with a moving musical
performance – creating a powerful, collective wish for the New Year.
VOLUNTEERS and INTERNS
Volunteer and former intern Rebecca Anderson continues to assist the Museum on Fridays with
the collection. Ms. Andersen is working on updating CatalogIt, while also photographing and
scanning items. Ms. Andersen continues to assist the Curator with the organization of the
collection space and is the first volunteer at the Gilb Museum to complete over 200 volunteer
hours in a single year.

Intern Brendon Chen has been very helpful in assisting the Curator with collection projects
including the Parker Lyons Pony Express Museum and the accession and inventory of historic
newspapers. He is dedicated to staying with the Museum through the duration of these projects.
Volunteer Jonathan Ornelas has begun to volunteer at the Museum, assisting Staff with
collections and the assembly of Kits. Mr. Ornelas is also another volunteer that should reach over
200 hours by the end of the year. Volunteer Neil Thakkar began helping with the transcriptions of
the Anthony W. Wilkinson collection.
Teen Volunteer meetings continue to be held one and two times a month. This is a time where
Ms. Alberto can assign projects and the volunteers can meet with each other and collaborate.
Eleven teen volunteers are currently in the process of applying to college.
To help them in this time, the Gilb Museum hosted a College Panel on Saturday, November 21.
The Gilb Museum had previous and current teen and adult volunteers who are in college or have
recently graduated college, participate in the panel. The adult volunteers spoke on their personal
college experiences, the applications process, and the differences between high school and
college. They also talked about their experience volunteering for the Gilb Museum and how it has
helped them. The Gilb Museum is thankful for all the work that the volunteers do and would like
to offer this program in return for all that they have done. Museum Staff also reached out to the
Arcadia Public Library and extended the invitation to their teen volunteers to attend as well.
Since the volunteers are not meeting in person this year, the Gilb
Museum has decided to hold fun family-friendly virtual game night
where volunteers can meet, talk, and have fun. On November 25 the
Museum held their first Trivia Night with the volunteers where they
discussed the history of Arcadia. Questions came from the
#TriviaTuesday posts.
Volunteer hours:
October 27 - November 30: 114.92 hours
Despite the quarantine, volunteers have completed over 1,550 volunteer hours in the year 2020.
Approximately 800 of those hours were completed virtually during the quarantine.
COMMUNITY ENGAGEMENT
In order to become more connected to the community, the Museum opened a postcard drive
asking Arcadia residents to send the Gilb Museum postcards detailing their experiences with the
Bobcat Fire, the election season, the quarantine and more. The Museum encourages citizens of
all ages to participate.
FACILITIES
Staff continues to monitor the climate in the collections room, as well as the exhibit space.

REGULAR MEETING MINUTES
WEDNESDAY, November 4, 2020
As part of the City of Arcadia’s COVID-19 transmission mitigation efforts, and in accordance with
California Executive Order N-25-20, suspending some terms of the Brown Act, this meeting was
conducted virtually via teleconference.
CALL TO ORDER – Chair Jeanne Roy called the meeting to order at 5:04 p.m. in a
teleconference call.

REPORTS FROM MUSEUM COMMISSION MEMBERS / LIAISONS
Councilmember Verlato reported that the City is currently working to pay down pension liability.
There are seven strategies to address this issue. There is currently $150 million in unfunded
pension liability. City buildings are still closed, and City Council is still meeting virtually, not in
person. Friends of the Museum liaison Ginny Blitz had nothing to report as the FAM did not meet
in October and their next meeting was scheduled for tomorrow.
REPORT FROM THE DIRECTOR
Director Bradley reported the County of Los Angeles is still in the purple tier. At the October City
Council Meeting, Council approved a memorial garden in memory of Carol Libby. It will be in the
courtyard between the Museum and the Museum Education Center.
REPORT FROM THE CURATOR
Curator Acevedo reported that she is updating the permanent exhibits in the Museum and adding
a section on the 1984 Olympics as well as a ‘Women of Arcadia’ exhibit. She also organized the
oversized artwork in the Museum collections section and has trained volunteers and interns in
some museum-related skills, including caring for leather. Ms. Acevedo also returned Charles
Gilb’s hat to the Gilb family. In the past few months, the Gilb Museum has received many
donations. At the September City Council Meeting, Councilmember Verlato presented a $5,000
check from the Hakka Foundation for the Museum to use for programing. City Council approved
the donation. Curator Acevedo also updated and created a more comprehensive Museum
Emergency Preparedness Plan, based on the previous summer’s Los Angeles County Disaster
Preparedness Workshops. She also mentioned that a new intern, Brenden Chen, is currently
working on the Pony Express Museum collection. Two television panels have been installed for
digital exhibits and the Museum staff is working on tackling the Museum’s humidity problem.
REPORT FROM THE MUSEUM EDUCATION CORDINATOR
Education Coordinator Alberto updated the Commission on the work of the volunteers. Since the
start of the quarantine, volunteers have been asked to work remotely. Currently, volunteers have
completed over 625 hours remotely for the Museum, and over 1,400 since the start of 2020. Since
the Gilb Museum has 11 teen volunteers who are in the process of applying to college, the
Museum Education Coordinator has arranged for a College Panel, where Museum volunteers
and past interns, who are currently students or have recently graduated, can speak on their
college experiences. Also, since volunteers are not meeting in-person this year, the Museum
Education Coordinator has been having fun Volunteer Game Nights where volunteers can meet
each other and do some team building, virtually, of course. The Gilb Museum has also begun to
offer learning. In 2021, the Museum will provide topic specific kits every other month, focusing on
themes such as horses/Santa Anita Park and oral history. Ms. Alberto also held a virtual Animal
Mascot election to help children understand the importance of voting and elections. Community
members voted for Beeatrice as the Museum’s representative. Ms. Alberto has also been working
on virtual “classes” offered through Google Classroom. The Gilb Museum has been very active
on social media, posting #WhatIsIt Wednesday posts, #FeatureFriday, and #TriviaTuesday.
