Staff reviewed the revenues and expenditures of the Library and Museum for the current fiscal year (2020-2021) and began researching costs for the coming year. Revenues are significantly down this fiscal year due to the extended closure of the Passport Office and because fines were not collected between March and June 2020 due to COVID-19, also because no room rentals were realized. Passport Services have resumed, but the projections were reduced to reflect the actual and future revenues for the rest of this fiscal year. The only savings realized this fiscal year will be from staff vacancies because significant cuts were made prior to the budgets for the Library and Museum before the final budget was approved. The costs associated with providing PPE and increasing the amount spent on cleaning supplies have had a noticeable effect as well. As part of a project to assess the Library’s current staffing needs and plan for future ones, staff are reviewing the Library’s job classifications and duties, as well as the organizational chart. Staff specifically looked at various tasks and mapped them to various positions within the organization. Adult Programs, Classes, Technology Literacy, and Events: Arcadia Public Library partnered with UCLA consumer health librarian, Nora Franco, to present a virtual program sharing tips and tricks for finding quality health information online. Virtual Adult Recess aired in early January and taught watercolor painting. Craft kits were provided, and viewers were encouraged to visit Creativebug for more lessons. The Winter Learning Lab quarter started with “Productivity Apps and Hacks”. Students discovered productivity techniques as well as the applications, Chrome extensions, and books that can be used to support them. To help our students start the year on the right foot, “Google Apps for Organization” was taught at the end of the month. Students learned how to get organized using advanced features of common Google apps. A microlesson regarding using “Flora” to enhance productivity was created and shared on social media in support and promotion of the Library’s Learning Lab program. The online edition of the International Film Program aired on January 20. Patrons were encouraged to watch How About Adolf using Kanopy. The experience was rounded out with thought- provoking questions that viewers might discuss with their friends and family. A “Potpourri of Books” was rebranded in 2021 as “Bookish: A book discussion group.” Staff kicked off the new year with West with the Night: A Memoir by Beryl Markham. Two sessions were hosted, one in the evening and one the next morning. Attendance for the book discussion group is increasing after a transition to a virtual format. January Activity Front Door Pick-Ups: 2,690 Physical Items Checked Out: 10,995 eBooks/Audiobooks/Magazines Downloaded: 4,432 Virtual Programs/Attendance: 20/787 Passports Issued: 86 2 Teen Programing: Make-it or Bake-it aired on January 21 and over 160 views were recorded on Instagram, Facebook, and You Tube. Teen volunteers demonstrated how to make hand warmers and craft kits were provided so participants could follow along. Children’s Programming and Services: The new Read to Grow Storytime Kits were launched and made available to patrons to check out. Each of the 21 themed kits includes a special tote and includes five or six hardcover picture books, a DVD or music CD, and a resource binder with suggested activities and early literacy information. The kits are funded by a Library Services and Technology Act grant from the California State Library. Children’s staff hosted Funology Live!, a hands-on crafting program for third to eighth graders, and demonstrated how to make bags from used t- shirts. Staff also presented a Pete the Cat Virtual Book Party in which attendees listened to Pete the Cat stories, took part in online as well as physical activities, and made a themed craft. In partnership with the Assistance League of Arcadia, two Virtual Book Buddies programs were offered on Zoom and teen volunteers read stories aloud to 27 children throughout the month. A parent whose child attended a past Virtual Book Buddies program expressed her appreciation for the teens “taking the time to help and to be good role models”. Customer Services: Tax forms, both individual and employer forms, began arriving in January and were made available to patrons. Library customers were extremely appreciative of the continued effort to make these forms available. Account Services staff processed almost 8,000 requested items in January. On one day alone 1,114 items requested by customers were pulled from the shelves. Shelving Management staff continue to help in all phases of the Library’s front door pick-up service, in particular greeting customers at the door and bringing them their requested items. Information Services aides are helping with calling patrons to make appointments to pick up their requested items. They are also pulling requested items, working on children’s crafts, answering chat questions, and 3D printing. Passport Services completed its annual recertification at the end of the month. Collections: Cataloging and Acquisitions continued working on such on-going projects as updating and improving how magazines are cataloged, maintaining Library databases, and keeping Kanopy up to date. Staff also finished work on Children’s new Storytime Kits. A library book that was checked out 45 years ago was returned with a note from the family and a small donation. That donation was used to purchase a more modern copy of the book Marjorie Morningstar, by Herman Wouk. The most popular item in the Adult collection this month was A Promised Land, by Barack Obama. The most popular title in the Children’s collection again this month was the latest book in the “Keeper of the Lost Cities” series, Unlocked, by Shannon Messenger. For teens, the top title was One Piece, by Eiichiro Oda. RBDigital, the Library’s digital magazine platform, merged with Overdrive in late January. Patrons can now access digital magazines from one, easy-to-use app.   Facilities and Technology: The Library is in the final steps of adding curbside printing with the Printer-On software by Envisionware. This will allow patrons to send their print jobs to the library 3 online, then pay and pick up the job at the front door. Information Services staff are checking the library website pages to conform with the city standards for a compact design. The Library’s online credit card system successfully processed 2,000 transactions in the last six months of 2020, representing 92% of credit card payments for fines and fees during that time. Staff and Training: Following City and County policy, staff who have been exposed to COVID- 19 are required to quarantine for 10 days. In January, three staff were quarantined for possible exposures, but all tested negative and returned to work in a timely manner. Library staff are required to observe all the mandatory procedures for COVID safety in the workplace, including wearing masks in public areas, keeping social distancing, washing hands frequently, taking temperatures on entering the building, and so on. The full-time Library Technician I recruitment opened on January 29. This will fill one of the vacant positions in Account Services. Community Outreach/Collaboration/Volunteers: Children’s Services staff partnered with Arcadia Unified School District to produce an informational video highlighting Library services and resources for middle school students. The video supports a student wellness conference to be hosted by the District in February 2021 and will be featured on a resource webpage with other community partners. Children’s staff also hosted virtual class visits for 78 first grade students from Longley Way Elementary School and shared winter stories written by children’s author, Jan Brett. They met in January with Pacific Clinics to discuss possible future programming. The Library Director gave a presentation to the Arcadia Chamber of Commerce, attended a meeting of the Arcadia Historical Society, helped move forward a History Lives Here sign for the Le Meridian Hotel site, attended the Friends of the Gilb Museum meeting, and helped honor June Coleman as Senior of the Year for 2020. Staff attended the Arcadia Chamber of Commerce virtual Annual Installation Dinner and met with representatives from the City of Hope to discuss programming opportunities and partnering. Staff also attended the Coordinating Council meeting. During the closure, the Library has hosted two blood drives: this month, both City of Hope and the Red Cross reached out to discuss scheduling future blood drives. Marketing and Publicity: A survey was shared with patrons through social media and chat. Preliminary results from the 25 responders indicated consensus in the use of eBooks and an appreciation for Adult Recess. The Library continues to grow its social media presence: as of the end of January, there are 1,455 followers on Facebook, 563 on Twitter, 991 on Instagram, and 74 subscribers on YouTube. The loss of the Library’s subscription to the graphics-design program Canva meant that staff had to review, select, and learn to work with a new program, Crello, for creating publicity including social media posts and flyers. Arcadia Public Library • Jerry Broadwell Children’s Room 20 West Duarte Road ~ 626-821-5566 www.ArcadiaCA.gov/Library Arcadia History Room Featured Historical Picture  Photograph courtesy of the Arcadia History Collection, Arcadia Public Library.  ID#474  (Feb‐Mar 2021)    WILLIAM PARKER LYON ROCKS AT THE PONY EXPRESS MUSEUM  Have you ever seen an adult‐sized rocking horse? In this 1940s photograph, owner, curator and  millionaire William Parker Lyon is shown on one just at the main entrance of his Pony Express Museum,  a museum dedicated to the pioneers who rode the Pony Express. The museum came to Arcadia in 1935,  to a 6‐acre lot on Huntington Drive at Colorado Place. Its address was 130 W. Huntington Drive. William  Parker Lyon had amassed a fascinating collection of old west relics, including a bullet‐scarred frontier  saloon, a fully equipped Wells Fargo and Company office, stagecoaches, guns, chamber pots,  horseshoes, rare postage stamps, and gold dust scales. He even operated a narrow‐gauge locomotive on  a 240‐foot long railroad that was built by a Union Pacific crew. Admission was 25‐cents. Lyon died in  1949 and in 1955, the museum collection was sold to Harrah’s of Reno, Nevada, and then later to  firearms collector Greg Martin. Sadly, the collection would stay intact only until 1986, when it was  auctioned off by Butterfield and Butterfield.    After the Pony Express Museum ended its stay in 1955, the site was occupied by the Flamingo  Hotel/Ramada (1955‐c.1984). Then it reopened as Santa Anita Inn on February 8, 1986. Le Meridien,  part of the Marriott hotel chain, broke ground in June 2018 and will be opening this year.     If you are interested in Arcadia’s rich history, visit either the Arcadia History Room located at the Arcadia  Public Library or the Gilb Museum of Arcadia Heritage. The Arcadia History Room is shown by  appointment only. Call 626‐821‐5569 for more information on the Library’s collection or 626‐574‐5440  for more information about the Museum’s collection.       5 - 6 Hardcover Picture Books A DVD or Music CD A Guide with Suggested Activities and Literacy Information The Arcadia Public Library now offers storytime kits for check out! CALL TO ORDER – Chair Barbara Delphey called the meeting to order at 4:36 p.m. PLEDGE OF ALLEGIANCE – Chair Barbara Delphey ROLL CALL: Chair Barbara Delphey, Trustees Miriam Carter, Janet HasBrouck, Elizabeth Renfrew, and Alice Wang; Director of Library & Museum Services Darlene Bradley (Secretary); Library Services Managers Roger Hiles and Pat Smith. PUBLIC COMMENTS – None REPORTS FROM LIBRARY TRUSTEES / LIAISONS Trustee Carter stated that she is enjoying the Library’s front-door pickup service. Trustee Wang reported that the Arcadia Chinese Association’s Installation Gala will be held on February 6, and that the Board was invited. Chair Delphey and Trustee Carter expressed an interest in attending, and Director Bradley stated she would forward them the invitation. Trustee Wang added that the Library could give her a wish list for items needing financial support from the ACA again this year. Trustee Renfrew announced that the Friends had been able to hold “pop-up” book sales outside the library for a few weeks, but that the heightened epidemic restrictions had suspended them, and added that she was looking forward to re-opening the sales soon. Chair Delphey reported that book store volunteer June Colman had been honored by the City as Senior Citizen of the Year, and Trustee HasBrouck added that an article about June had appeared in the Friend’s newsletter. REPORTS FROM THE DIRECTOR Announcements/Statements/Reports Director’s Update: Director Bradley shared part of a PowerPoint presentation she had prepared for the Arcadia Chamber of Commerce which outlined many activities of the Library during the COVID-19 lockdown. Chair Delphey thanked her and added that the Library had been busy. Director Bradley reported that staff is currently preparing for a mid-year budget review as well as the new budget for the next fiscal year. Monthly Statistical Report: November/December 2020: Director Bradley stated that circulation numbers are hovering at about the same each month as this service is directly tied to staff and labor involved to pull and ready holds for patrons. She added that circulation of Chinese language eBooks had risen 200%. Chair Delphey commented that it was good to see passport services starting up again and asked if there had been any feedback from schools about the class visits mentioned in the report. Director Bradley stated that Principal Librarian Petra Morris had done six virtual class visited in January. Trustee HasBrouck congratulated staff on doing a good job. Monthly Report Narrative: November/December 2020: Chair Delphey stated that the number of programs was impressive. Trustee HasBrouck congratulated staff on getting the State Library grant for scanning local history resources. Director Bradley stated that some fragile Polk’s Directories were being digitized. Trustee Renfrew asked what the “Micro-lessons” mentioned in the report were, and Manager Smith stated they were high interest parts of learning labs that were recorded and made available separately. Trustee Renfrew complemented Director Bradley and the Library staff for the COVID precautions described in the report and that the Library had gone nine months without exposures within the building. Financial Report: November 2020: Director Bradley reported that the report dated back to November, but that the Library’s current spending was on track for the year. COVID-19 Update: Director Bradley reported that staff was back at work following the exposure incident in December. Staff Update: Director Bradley reported that recruitment of a Library Technician had been approved to help with critical staff shortages in the Account Services, and the recruitment was under way, with potential interviews possible in mid-March. Gilb Museum of Arcadia Heritage: Director Bradley reported that a virtual volunteer game night was being planned. A virtual exhibit highlighting what the public collects is planned for March. Flyers/Articles/Posters/Attachments: Chair Delphey commented that she liked the consolidated calendars for Children’s and Adult programs, rather than separate ones. Trustee Carter asked if the Children’s Winter Activity kits were still being offered at the front door, and Manager Smith stated that while that program had ended, a Spring program was being prepared. Director Bradley added that a virtual “Art of Reading Aloud” program was being offered to parents on January 25. CONSENT CALENDAR a. Approve the Regular Meeting Minutes of November 19, 2020 Recommended action: Approve The motion to approve the consent calendar was moved by Trustee Renfrew, seconded by Trustee HasBrouck, and carried on a voice vote.
