MUSEUM EDUCATION COORDINATOR

SUMMARY
In an effort to provide enhanced services to the public, the Library & Museum Services
Department would like to update the classification specification for the Museum Education
Coordinator and increase hours from 30 hours to 40 hours per week.
DISCUSSION
The Museum Education Coordinator classification was last revised in 2013 and the
Library & Museum Services Department is recommending changes to more accurately
reflect the duties of the position and increase the hours from 30 hours to 40 hours per
week. This position has continued to grow and is fully responsible for school class visits,
scout visits, programming, and volunteers. During the first three months of this calendar
year, there have been more than nine requests to do school programs on site and two
assemblies off-site. This past month, five classes requested visits to the Museum for a
history lesson and tour. This position also regularly conducts scout programs throughout
the year. This past year, the Museum Education Coordinator has had to turn away both
class visits and scout troops because there were not enough additional hours during the
week to schedule them as well as prepare for those visits.
In addition to school and scout visits, the Museum Education Coordinator is also with
engaging with the community at large in a variety of ways. This position also recruits,
trains, and oversees the teen and adult volunteer program with more than 45 volunteers
who have contributed more than 2,000 volunteer hours this past calendar year. The
Museum Education Coordinator is fully responsible for training volunteers and providing
meaningful volunteer opportunities at the Museum, as well as providing team building,
volunteer appreciation, and recognition for these volunteers.
This position contributes to the Museum Commission Curator’s Report, takes Minutes for
the Museum Commission meetings, and provides content for the Peacock Buzz, Hot

Sheet, social media, and participates in Arcadia Unified School District events, including
PTA Council meetings.
In order to accommodate the growing demand for the position’s responsibilities, the
Library & Museum Services Department is requesting to update the work schedule from
30 hours per week to 40 hours per week. Adding the additional 10 hours per week would
provide a positive service impact to the community by providing an additional 10 hours
per week to plan and implement class visits, engage with volunteers, and plan and
prepare educational materials.
The recommended changes have been discussed with the Arcadia City Employees’
Association, and they have agreed to the proposed changed. In addition, the proposed
changes were approved by the Human Resources Commission in April 2022.
ENVIRONMENTAL ANALYSIS
The proposed action does not constitute a project under the California Environmental
Quality Act (“CEQA”), and it can be seen with certainty that it will have no impact on the
environment. Thus, this matter is exempt under CEQA.
FISCAL IMPACT
This updated classification specification will cost an additional annual $12,852 in salary
and $6,432 in benefits annually. This takes into consideration current STEP 46-G
($24.70/hour). This increase has been contemplated in the budget that was adopted for
Fiscal Year 2022-23.
RECOMMENDATION
It is recommended that the City Council determine that this action does not constitute a
project and is therefore, exempt under, the California Environmental Quality Act
(“CEQA”); and approve the revised classification specification and hours for Museum
Education Coordinator.

MUSEUM EDUCATION COORDINATOR
DEFINITION
Under supervision of the Museum Curator, to plan and implement interpretive programs for the
Arcadia Museum, addressing historic and cultural topics for various audiences with an emphasis on
educational services for school children and teachers; and oversee docent, intern and volunteer
recruiting, training and scheduling.
SUPERVISION EXERCISED
May exercise supervision over docents, interns, and volunteers.
EXAMPLES OF IMPORTANT AND ESSENTIAL DUTIES
Work with the Curator on direction and priorities for educational programs.
Create public relations information flyers and manage social media platforms, including but not
limited to Facebook Twitter, Instagram, and YouTube.
Responsible for educational programming content and promotional materials.
Actively build relationships with teachers and promote the Museum in the community.
Greet Museum visitors and lead tours of the Museum’s exhibits for the general public.
Coordinate the supervision, training, evaluation, recruitment, and management of volunteers, interns
and docents.
Coordinate with area schools to establish and maintain integrated curriculums.
Plan, organize, supervise and participate in museum programs and educational events for adults and
children.
Attend community meetings when necessary.
Serve as school liaison for scheduling and giving tours on site and in-person school visits.
Develop resource materials that support exhibitions and compliment school curricula.
Coordinate outreach programs for schools and retirement homes.
Conduct local history research for programs.

May participate on various employee committees.

Minimum Qualifications:

Two years of experience organizing and coordinating museum, educational and
interpretive programs.
Training:
Equivalent to the completion of the twelfth grade.
Bachelor’s degree in Education or Liberal Arts with education emphasis is desirable.
Early Childhood Education units and Teaching Certificate is desirable.
Knowledge in the field of the history of California and the West is desirable.
License or Certificate:
Possession of, or ability to obtain, an appropriate, valid driver's license.
Special Requirements:
Essential duties require the following physical skills and work environment:
Ability to work a flexible schedule including weekends.
Ability to work in a standard office and museum environment.
Ability to travel to local sites and locations.
Ability to sit, stand, walk, kneel, crouch, stoop, crawl, twist, lift, and carry 30 lbs.,
push and pull 100-120 lbs.
