HomeMy WebLinkAboutLibrary Minutes: 05/19/2022LIBRARY BOARD OF TRUSTEES REGULAR MEETING MINUTES THURSDAY, MAY 19y 2022 CALL TO ORDER — Chair Miriam Carter called the meeting to order at 4:33 p.m. ROLL CALL: Chair Miriam Carter, Trustees Barbara Delphey, Elizabeth Renfrew, Carlton Seaver and Alice Wang; Director of Library & Museum Services Darlene Bradley (Secretary); Library Services Managers Roger Hiles and Pat Smith. ABSENT: Councilmember Paul Cheng (City Council Liaisoffl REPORTS FROM LIBRARY TRUSTEES I LIAISONS Chair Carter reported that the Summer 2022 edition of the Friends newsletter is out and that she thought it was fantastic. Trustee Wang announced that the Arcadia Chinese Association would be promoting the governor's new program to give state -funded Medi-Cal to people regardless of immigration status. Trustee Renfrew also reported that there were new volunteers helping out in the Book Store. Trustee Renfrew reported that she and Trustee Delphey had attended the Serving With A Purpose workshop for Library Friends groups and trustees and found it interesting and helpful. Trustee Renfrew added that California State Librarian Greg Lucas asked the assembled Friends to write letters to their legislators in support of the State's multi -million dollar plans to increase state spending on libraries. She asked if Director Bradley could send out a template for a letter that the Friends could use. Director Bradley said she could, and also commented that she had applied for $130,000 from the program to add a family restroom to the Children's library. Trustee Wang asked about the cost of a new Friends Donor Board that has been discussed in the past. Manager Smith said that she would work on getting information to her soon. REPORTS FROM THE DIRECTOR Announcements/Statements/Reports Director's Update: Director Bradley stated that the Friends would be getting a new sign for the Book Store, and that there would be a ribbon -cutting ceremony to unveil it. Summer @ Your Library Presentations: Librarian Melissa Camaiore and Principal Librarian Petra Morris presented the plans for the summer reading programs for the Adult, Teen, and Children's sections. The theme this year is The Great Reading Adventure. Trustee Wang stated that she would ask the Arcadia Chinese Association for a check to support the program. Monthly Statistical Report: April 2022: Director Bradley noted that the gate count was about 20,000 for the month, and that circulation was about 60,000, so things are slowly building back up after the years of closure and limited services. Monthly Report Narrative: April 2022: Director Bradley reported that California State Library Parks Pass has been very popular and was one of the most checked -out items in the Adult collection for the month. Manager Smith added that several additional passes are on the way from the state soon. Financial Report: April 2022: Director Bradley reported that spending is on track for the fiscal year. Financial Report FYE 2020-21: Director Bradley announced that the 90% of the Library's budget was spent in the last fiscal year. She also noted that this report was very late this year, and usually comes out in the early Fall. Budget 2022-23 Ipdate: Director Bradley stated that so far this year the budget process has gone smoothly. Cay Mortenson Auditorium Agreement updated: Director Bradley reported that the requirement for liability insurance had been added to comply with a City-wide policy already in place in other Departments. RFID Update: Manager Hiles reported that some RFID tags have been received, two training sessions have been held, and the tagging process should begin soon. to Update: Director Bradley stated that four new Library Aides have been hired, and one already gave a two -week notice because he was offered a full-time job elsewhere. Two additional aides will be leaving at the end of the summer. Gil b Museum of Arcadia Heritage: Director Bradley announce that the Museum will be presenting the 12 th Annual Arcadia Juried Photography Contest & Exhibition from June 11 -- August 6. Calendar of Activities for Adult and Teen Services: May 2022: Chair Carter commented that the month was almost half over. CONSENT CALENDAR a. Approve the Regular Meeting Minutes of April 21, 2022 Ar Recommended action: Approve Trustee Seaver moved to approve the minutes, the motion was seconded by Trustee Renfrew, and carried on a voice vote. AYES: Chair Carter, Trustees Delphey, Renfrew, and Seaver NOES: None ABSENT: Trustee Wang Note that Trustee Wang left the meeting shortly before the vote due to another commitment. ADJOURNMENT Chair Carter adjourned the meeting at 5:54 p.m. to Thursday, June 16, 2022, at 4:30 p.m. in the Conference Room of the Library, 20 W. Duarte Road, Arcadia.
