MONTHLY REPORT – JANUARY 2023
Highlights: This month was busy with recruitments for seven Aide positions, two full-time
Technician positions in Account Services, a Librarian I recruitment for Cataloging and
Acquisitions, and an Account Services supervisor. In addition to recruiting, interviewing, and
onboarding, Library Services Manager Samantha Alba has been spending most of her day
training Aides and other staff from other sections of the Library, including Administration, because
of the staff shortages in Account Services. There is much detail involved in working the front desk,
from processing the daily hold requests to processing new library card applications, to updating
expired library cards, to resolving overdue or lost items with patrons and even renewing items or
placing new items on hold. Staff met with Public Works to discuss the Building Forward grant for
the Family restroom and two resolutions will be moving forward in February to City Council, one
to accept the grant and the other to ask for additional appropriations. If approved, it would be a
design-build project over three years and would also replace the almost 30-year-old boys’ and
girls’ restrooms. Staff looked over the budget as part of the mid-year budget review for the Library
and Museum. There is some salary savings from the vacancies, but this may be offset with more
expensive and unforeseen building repair work for the cooling tower that needed cleaning and
baffles replaced: this will help keep the building cool during next summer as we await a new chiller
which is on backorder. Staff has begun meeting with other city departments, most notably the
City’s IT and Public Works division for budget needs in the upcoming years. The updated mission
statement has now been updated on the wall near the public computers.
Adult & Teen Services celebrated the Arcadia community
and Chinese New Year with a Chinese New Year tack wall
display and recommended books by Chinese and Chinese
American authors, and Chinese
New Year readers’ advisory
social media posts. A Chinese
calligraphy workshop was
taught in mid-January by Ms. Si
Ning, Doctor of Literature, and
was greatly appreciated by
patrons who wanted to learn or practice their calligraphy before the
New Year. Children’s Services staff hosted a Lunar New Year Craft
Market in which 37 participants received paper money to purchase
and make an assortment of Lunar New Year themed crafts.

Adult Programs, Classes, Technology Literacy, and Events: Bookish restarted in January.
Participants read The Exiles, by Christina Baker Kline, and enjoyed a lively discussion. Smart
Squad continues to support the library’s digital literacy goals through computer help. Patrons
watched and discussed The Worst Person in the World, a Norwegian film, at The Movies You
Missed on January 18. Adult Services staff filmed a microlesson sharing information on how to
use Zelle, a digital payment system. Viewers learned how to connect their bank to Zelle and safely
share money and connect with contacts.
Teen Programing: The Teen Librarian attended the High School
PTA meeting on January 12th. For January, self-love month, 54 teens
attended a Love MySelfie event, in which they decorated an extra
special photo card and shared feel-good messages with other
Arcadia High School students during Teen Zone. There were nine
Teen Zone sessions with 273 participants in January. The Teen
Advisory Group met to help plan the Love MySelfie event and they
also discussed incorporating updated social media content.
Children’s Programming and Services: To encourage increased
participation in weekly story time programs, program
registration is no longer required. Families were pleased to
learn of the change and there has been a gradual increase in
overall attendance throughout the month. Children’s Services
staff partnered with Arcadia High School student group,
Button, to host two Homework Help sessions, offering students
in first to fifth grades assistance with specific math-related
homework problems. This is a pilot program that will run on
recurring Wednesday afternoons through March 29, 2023.
Beginning November 2022, patrons were invited to fold paper
stars and contribute them to the Wish Upon a Star Community Project display in the Children’s
Room. The project surpassed its goal, collecting and displaying 2,071 stars by January 31. Eighth
grade student, Katelyn Liu, hosted two Wow! That’s STEM programs for third to eighth grade
students. In one program, Ms. Liu led a slide show presentation about chemistry and hydraulics
and showed the 18 attendees how to make their own hydraulic machines using sticks, piping, and
water. For the second program, the 21 attendees learned about the heart and how it works, then
used glass jars, balloon pieces, straws, and water to construct a pumping heart. Twenty-seven
middle school students took part in the Great Game Day Unplugged program which offered board
and card games for kids to play. A parent of an attending child expressed gratitude for the Library
providing a program that provided screen-free opportunities for middle schoolers to engage with
one another. Staff also hosted a Middle School Advisory Group meeting which invited students to
share what kinds of programming they would like the Library to provide. Trustee Carter attended
the meeting as a volunteer.

Collections: Cataloging and Acquisitions staff continued working on a project to catalog the
bound magazines in Adult Reference and the basement as part of the RFID process. The
Authority Database projects continue. This is part of the routine work to keep our
databases/catalog up-to-date, consistent, and error-free. MARC records from Kanopy,
CreativeBug, Press Reader, and Linkedin added to and discarded from our Library Catalog this
month totaled 43,946 records. More items have been discarded this month because of the yearly
weeding of the Magazine sections. Fewer items have been cataloged than usual because
Cataloging and Acquisitions Librarian I/II cataloging position is currently vacant and the Principal
Librarian is cataloging along with other administrative duties; this will continue for the next one to
two months until the department is fully staffed again. Shelving Management Aides shelved an
average of 230 items per shift, despite being understaffed. They also continued to work on tagging
the Children’s collection, packed shelves and smaller books have made the process take a bit
longer.
Customer Services: Passport Services is currently short one agent, so there were fewer
passports processed in January. Even so, over 283 phone and 51 in-person inquiries were
answered. Information Systems Services answered more than 306 computer/technical questions
from patrons; and assisted the public with 866 public computer sessions, print jobs, public copiers,
and the public Wi-Fi network. They also printed ten 3D models and continued to check library
department web pages by adding new content and fixing broken links. Account Services
processed 1,900 holds, checked out 36,706 items, and checked in 24,406 items. They answered
101 reference questions and fielded 326 general questions.
Facilities and Technology: The installation of the new study
carrells in the Teen and Adult areas is now complete, including
the accompanying new chairs. This new furniture provides
patrons a place to also power up or charge their electronic
devices. The router has been installed for the connection from
1gbps to 10gbps for the public internet; the next step is to
purchase a switch. Adult and Teen Services has continued with
the encoding project: In January, the yearbooks, reference
desk, and City collections were encoded. Staff is currently
working on encoding the items in the Basement and History
Room: The City Council meeting minutes, vital statistics, and
annual budgets have been completed. ISS staff continues to
work with the RFID vendor, FE Technologies, to finalize setup
for the book chute and credit card readers: staff is waiting for
the book chute templates and signage to make it go live. A new
sign, in three languages, has been ordered for the Smart Chute
and will be placed next to it to instruct patrons on how to use it.
A technician will also install the new credit card readers on two
self-checkout machines. There were 5,002 visits to the Library Catalog, local web documents and
online databases, as well as 2,668 unique visitors and 6,467 visits to the Library home page.
There were 3,419 unique public Wi-Fi users, and a total of 2.9TB of data downloaded and
uploaded during this month.
Staffing/Training: In addition to the ongoing recruitments and training mentioned above,
Children’s Services Library Technician I, Linda Dang, cross-trained in Account Services to learn
processes and procedures for assisting patrons at the service desk. Account Services has made
seven conditional offers to fill the seven Aide vacancies. Account services also welcomed two full-
time Technicians: Ashlin Mushinskie, whose first day was Tuesday January 17, and Aide Mariella

Fajardo, who was promoted to full-time Technician and whose first day was Tuesday, January
31. An open recruitment for the Account Services Supervisor opened this month and interviews
will take place the second week of February. Children’s Librarian II, Michele Krueper, continued
to work five hours per week in Cataloging and Acquisitions to assist with cataloguing children’s
materials. Adult Services staff attended a webinar on “The Best Things in Life Are Free.”
Community Outreach/Collaboration/Volunteers: 114 kindergarten students from Holly Avenue
Elementary School visited the Library for story times. Adult Services staff attended meetings of
City social media moderators, Arcadia High School PTSA, the Arcadia Historical Society, and the
Southern California Digital Library. Children’s staff met with Linda Colley regarding a possible
partnership with Civitan and attended a meeting of the Building Equity Based Summers
Facilitation Meeting. Administration staff attended the social media moderators’ meeting, the Gilb
Museum Commission meeting, and the Woman’s Club and Coordinating Council luncheons.
Transition Partnership Program (TPP) and Workability volunteers worked 26 hours for Account
Services in January.
Marketing and Publicity: Four student volunteers from Arcadia High
School installed a hand drawn and painted Alice in Wonderland themed
bulletin display in the Children’s Room. The bulletin board celebrates
the creative and artistic talents of high school students within the
community. The Library’s eBook and eAudio collections were
highlighted with a Book on the Go display in the Library’s New Book
area. Staff designed faux iPads and affixed a book cover to them,
highlighting the library’s electronic collection. Adult and Teen Services
created the following displays in January: New hobbies for the New
Year; New Year, New You; New Year, New Me(ow); New Year, New
Manga; and Book to Movie. The Children’s Early Literacy Computer
Wall featured “Holly Avenue Elementary School Dolphins Are Thankful
For…” The Information Bulletin board showed how to “Find Your Next
Great Read,” while the Children’s Information Desk showed how “Reading Is Snow Much Fun.”
The library’s social media presence continues to be robust: Facebook has 1,562 followers, Twitter
has 612, Instagram has 1,354 followers, while the YouTube channel has 190.

African-American workers on the Baldwin Ranch
In honor of Black History Month, we are pleased to feature this photo taken by TABER
Studio, c. 1897, which shows thirty‐one of Elias J. “Lucky” Baldwin's African‐American
employees. They were hired from the south in 1886 to come work on the Baldwin Ranch.
There seems to be only one man in photo. All others are women and children. They are
standing next to a building with a long porch and the San Gabriel Mountains can be seen in
background.

REGULAR MEETING MINUTES
THURSDAY, JANUARY 19, 2023
CALL TO ORDER – Chair Miriam Carter called the meeting to order at 4:30 p.m., in the
Conference Room of the Library.

MOTION TO EXCUSE – Trustee Renfrew moved to excuse Trustee Seaver from today’s Library
Board of Trustees’ meeting so he could be with his family for the birth of a
grandchild. Trustee Wang seconded the motion, which passed on a voice vote.

REPORTS FROM LIBRARY TRUSTEES / LIAISONS: Chair Carter welcomed Councilmember
Wang to the Library Board meeting. Councilmember Wang thanked everyone for their service
and expressed her appreciation for the library. She discussed upcoming Chinese New Year
events at the City’s Recreation Center and an event sponsored by San Gabriel Valley Chamber
of Commerce. Chair Carter recounted her visit to a book sale at the Newport Beach Public Library.
She shared her concerns about recent attempts to ban books from school libraries. Trustee
Renfrew explained her role as liaison to the Friends of the Library and promoted the upcoming
book sale. She discussed the upcoming classical guitar concert scheduled for April 12, 2023 and
a paint night event. Bookstore staff will be meeting on Saturday. Trustee Liao updated the Board
on ACA events.
REPORTS FROM THE DIRECTOR

Director’s Update: Director Bradley thanked the Board for their annual gift of cookies during the
holiday season and wished everyone a happy New Year.
Monthly Statistical Report: November 2022, December 2022: The gate count for December is
inaccurate: in preparation for new RFID gates, the security gates were removed early in the
month, so no count was available. The Director reported that circulation continues to increase,
although the statistics for December are also a bit off because the self-check stations were
unavailable due to the RFID installation. There has been a change in how the monthly total is
tallied: in-house use is no longer included as a large weeding project has been under way and
skewing this number. The monthly count should be more accurate now. The new credit-card
machines have arrived and are waiting installation by an outside vendor. Cataloging and
Acquisitions’ numbers are low this month because they are one staff member short: the vacancy
should be filled by March. Gifts and Grants’ numbers are higher because of the Friends of the
Library’s gift of $30,000, which supports Summer Reading and other programs.
Monthly Report Narrative: November/December 2022: The Director reviewed such events as
the Teen Destress Fest, the Downtown Arcadia Holiday festival, and the Winter Reading
Challenge.
Financial Report: December 2022: Administration staff is currently preparing the mid-year
budget review: so far, the Library’s spending is on target. The Director noted that 40-50% of the
budget should be spent by this point. There are salary savings due to the number of unfilled
positions.
RFID Update: The project is not fully completed. Although tagging and encoding of the circulating
collection is done, there are still some non-circulating items that still need to be completed.
Everything remaining should be finished by March 1. Staff is currently waiting on more equipment,
including the Children’s kiosk and the signage for the Smart Chute.
Staff Update: There are currently 12 vacant positions. There are on-going recruitments for aides,
library technicians, an Account Services supervisor, a Librarian I, and, later in the spring, passport
clerks. The Librarian I position opens on February 1, with outside interviews on February 21. Staff
are stepping up to help at all levels of the organization.
Policy Manual Updates: Imagination Theater Rental Policy: The Director reviewed the new
rental policy, noting that this will be the first time the Imagination Theater will be available to the
public. Children’s Services’ programming will take precedence over public rentals.
Gilb Museum of Arcadia Heritage: The Director reported that the Museum is currently hosting
a Red Envelope exhibit featuring community-created red envelopes for Chinese New Year,
games, and artifacts. There will be a photo-preservation workshop on February 4. The Museum
Education Coordinator has opted to work part-time for the immediate future.
Calendar of Activities: Children’s Services: January 2023, February 2023: Director Bradley
highlighted the Craft Market for Chinese New Year, and the Board discussed the Kid Created
series of programs, including Homework Help and STEM/STEAM. The Middle School Advisory
Group is up and running.
Calendar of activities for Adult and Teen Services: January 2023: The Director promoted the
Smart Squad, which features teen volunteers who help customers every Saturday with tech
problems. She also mentioned Bookish and the monthly film program.
Flyers/Articles/Posters/Attachments: The Board reviewed and discussed the attached flyers,
including the historical photo, and the flyers for Wish upon a Star; Kid Created, Love Myselfie,
Chinese Calligraphy, Bookish, and We Love the Library.

Recommended action: Approve
Trustee Renfrew moved that the Board of Trustees approve the Imagination Theater Rental Policy
