Office Coordinator Shelly Polifka retired on March 3 after 23 years of service to the City and community. The Director continues to learn as much as possible about the Office Coordinator’s responsibilities so that Administration can continue to run smoothly until this position is filled. The recruitment opened this month; the first round of interviews was held on March 21 and the second round of interviews is scheduled for April. Christina Vallejo has been assisting Administration staff with some of Shelly’s duties in addition to her regular duties in Cataloging and Acquisitions. The Library welcomed Amanda Coleman, the new Children’s Librarian, and Aides Justin Davis and Edgar Perez. Library Services Manager Samantha Alba has been training Account Services staff, including the two new Aides, the acting Account Services Supervisor Angelica Marquez, and new Technician I Mariella Fajardo. A Passport Services Clerk recruitment was also held this month to fill two positions to meet the increasing demand for new passports. The operating and capital improvements budgets for both the Library and Museum have been submitted as part of the annual budget process. The Building Forward grant application for a unisex restroom was completed and the award letter was received from the California State Library. A Request for Proposal will go out in the next month or two. This will be a two-to-three-year project, with a completion date of no later than December 2025. The first Silver Circle event since 2019 is being planned: The City’s annual recognition dinner for Board members, Commissioners, and volunteers with 100 hours or more of service will be held in mid-May. The City also has started a citywide Social Media committee that meets regularly to discuss policies, procedures, and potential legal issues. March Activity Visitors: 27,627 Holds Processed: 2,127 Physical Items Checked Out: 39,138 eBooks/Audiobooks/Magazines Downloaded: Programs/Attendance: 55/1,541 Passports Issued/Questions Answered: 131/461 2 Adult Programs, Classes, Technology Literacy, and Events: Adult and Teen Services celebrated March Madness: Book Bracket with a fiction versus nonfiction tournament that drew 120 participants. The final round came down to Born a Crime for nonfiction and The Song of Achilles for fiction. The champion of the March Madness Book Bracket was The Song of Achilles. Bookish met in March to discuss Dial A for Aunties, by Jesse Q. Sutanto, at the end of the month. Smart Squad continues to support the library’s digital literacy goals by providing computer help. Patrons watched and discussed Burning, a South Korean film, at The Movies You Missed on March 15. Staff coordinated and promoted the Friends of the Library’s Classical Kaleidoscope Concert. The great History of the Tango and Vivaldi’s Winter Concerto were performed by guitarist Tengyue Zhang and violinist Paul Stein. The concert was enjoyed by 93 guests. Arcadia Woman’s Club was highlighted on social media for Women’s History Month. The photo features members of the Woman’s Club holding floral arrangements and dates to the 1920s. The Community Memory Lab saw an increase in use in March, including 48 hours of digitization. One patron, Antonio, is using the library to digitize photo slides of murals by Mexican American artists. The Library augmented their digital literacy and social resources with the addition of Connected California. Connected California is a free digital inclusion service that links library patrons with low-cost or free digital resources. Staff will refer patrons to this service when they need help accessing digital resources outside the library. In collaboration with Teen Advisory Group (TAG), staff implemented a new social media campaign for Book Face Friday. Instead of posing behind a book and completing the photo, staff duplicates the full setting found on a book cover. Teen volunteers have had a lot of fun finding great covers and there has been a lot of interaction and positive feedback on social media. 3 Teen Programing: The Teen Librarian attended the Arcadia High School PTA meeting in early March. Teen Tech Week 2.0 premiered on March 20. In partnership with TAG and the Arcadia High School’s Engineering Club, staff planned a 3D printing challenge. Two TAG members taught Tinkercad basics and challenged the 18 participants to design a peacock-themed trinket. Teens rose to the challenge and made numerous designs. There were 12 Teen Zone sessions with 250 participants in March. The Teen Advisory Group met to plan Paint and Sip, Teen Take-Out, and SAYL 2023. Children’s Programming and Services: 106 children registered for the “10 to Try” reading program which encouraged children to read and record books from 10 different genres or categories to earn reading rewards. There was a total of nine early literacy programs offered throughout the month with 360 children and their families in attendance. Children’s Services also partnered with a community volunteer to offer a Bilingual Storytime program with 33 in attendance. Children’s Services staff partnered with a high school student group to host a four-part “Kid Created: Public Speaking for Kids” workshop throughout the month. Through slide presentations and activities, the 19 participants learned vocal skills, how to address stage fright, and the basics of debate. The final program culminated in a presentation in which the participants delivered a speech before an audience of family members. Two Game Day Unplugged events were held for middle school students: 70 middle schoolers gathered for the two programs, played various board games offered by the Library, and enjoyed snacks. Eleven parents and students attended a presentation about Library volunteer opportunities available to teens during the summer and received information about the application process. Summer Teen Volunteer applications were distributed throughout the month and 60 applications were submitted for consideration. Applicants will be interviewed in April. 4 The weekly Homework Help Program continued and offered students in first to fifth grades assistance with math specific homework problems from teen volunteers. Homework Help ended at the close of the month as the teen volunteers assisting with the program prepare for end of school year. Collections: With the addition of Librarian Michele Krueper, the Cataloging and Acquisitions department is fully staffed for the first time since December 2022. As a result of having two full- time catalogers working on materials and with the end of the fiscal year push for Adult and Children’s to spend out their materials budgets, the number of items cataloged increased this month. Staff continued working on a project to catalog bound magazines as part of the RFID process. The Authority Database projects continue. A total of 55,014 MARC records from Kanopy, CreativeBug, Press Reader, and LinkedIn have been either added to and discarded from our Library Catalog this month. Facilities and Technology: Information Systems Services worked with City IT to migrate the existing 1GB line to use the 10GB connection; the next step is to upgrade the connections and remaining equipment. The RFID book-chute is in operation and being used by patrons. ISS staff met with the Website Working Group to discuss site changes, upgrades, and fixes: the group has many ideas on improvements and accessibility. The ISS team of three Computer Aides and ISS Supervisor answered more than 335 computer/technical questions from patrons; and assisted the public with 1,082 public computer sessions, 1,045 print jobs, public copiers, and the public Wi-Fi network. Staffing/Training: Aide Bonnie Tang retired on Friday, March 17. Bonnie worked at the library for nearly 15 years and will be greatly missed. The recruitment for the six Aide vacancies is ongoing: applications will be reviewed in April to fill the positions. Full-Time Library Technician Ashlin Mushinskie’s last day was Friday, March 31. Full-Time Library Technician Angelica Marquez became acting supervisor for Account Services in mid-March. The recruitment for the Account Services Supervisor is ongoing: applications will be reviewed in April and interviews will be held shortly after. Children’s Services Library Technician I Eva Luc will be on maternity leave through mid-July. Adult Services staff attended training programs on “The Librarians Guide to Homelessness” and “Going Beyond Captions: Creating Accessible Instructional Videos.” Shelving Aides continue to cross-train at the desk on a weekly basis. Staff have been assisting with showing new Aides shared tasks. A new rotation will take place in May; it was delayed due to recent staffing changes. Collaboration: Arcadia Public Library and Arcadia Historical Society joined forces to present “The San Gabriel Valley in 1877: Through the Lens of Carleton Watkins.” Ed Andersen of the Arcadia Historical Society discussed Watkins’ work and show rare images of the historic Old Mill, San Gabriel Mission, Baldwin’s Rancho Santa Anita, and more. An accompanying exhibit was on display during March at the Library. 5 Firefighters and officers from the City’s Fire and Police Departments took part in the Library’s Read Across America event, reading aloud to kids, sharing about the nature of their work, and providing an opportunity for attendees to tour their safety vehicles. The annual event was attended by 96 children and their families. Community Outreach/Volunteers: Children’s Services staff attended Hugo Reid Elementary School’s Trade and Talent Day and shared a slideshow presentation about the work of children’s librarians for second to fifth grade students. Students also had the opportunity to ask questions about the profession and received informational bags as well as giveaways. Staff also attended Highland Oak’s Elementary School’s Family Read Night and staffed a booth with an origami bookmark craft for children, as well as distributed informational crafts to parents. Over 140 second grade students from Baldwin Stocker Elementary School visited the Library. Children’s staff presented information about Library resources with a focal study on fairy tales. Holly Avenue Elementary School’s transitional kindergarten students also visited the Library twice this month. Children’s staff attended the PTA Council meeting and met with Angel Garcia regarding First Avenue Middle School Spring Community Service Project, as well as attending the Summer Reading Equity meetings. Adult Services Staff attended the Arcadia Historical Society’s March meeting, as well as the Arcadia High School PTA meeting, the PTA Council Meeting, and a City Social Media Moderators meeting. Adult Services staff attended informational meetings on Connected California and Inspiration Grants. Marketing and Publicity: Adult and Teen Services created the following displays in March: Spring Cleaning, Women’s History Month, National Crafting Month, Scientifically speaking, featuring both YA fic/NF with STEM themes, and Say Yes to the Dress and the Book. Children’s Book displays featured Notable Women in History, Poetry, Protect Our Planet, and Spring. The Library continues to have a robust social-media presence, with 1,575 followers on Facebook, 613 followers on Twitter, 1,402 followers on Instagram, and 198 subscribers on YouTube. In 1920, the Library was incorporated as a City Library and housed at City Hall. If you have ever been on Baldwin Avenue or to the city of Baldwin Park, or Baldwin Hills (in Los Angeles), you might be curious about the man who left his name on those places. He was Elias Jackson “Lucky” Baldwin, the founder of the City of Arcadia, born on April 3, 1828 in Hamilton, Ohio. He gained tremendous wealth from selling his shares in the Comstock Lode mines. He credited his shrewd business sense, not luck, for making him successful. Considered one of the more colorful and visionary men in California’s history, Mr. Baldwin proved it by bringing peafowl to Arcadia from India. He envisioned a community of homes in the foothills of the San Gabriel Mountains, so in 1875, he bought Rancho Santa Anita for $200,000 and soon started bringing water and planting trees here. Lucky Baldwin employed Mexicans, Chinese, African-Americans, and whites on his ranch. He developed the Santa Anita tract and established the City of Arcadia, which was incorporated in 1903. He served as Arcadia’s President of the Board, also known as mayor, from 1903 until his death in 1909. He lived and died in the “Hugo Reid” Adobe, on the land that is now the Los Angeles County Arboretum and Botanic Garden. The rest are unidentified. ID 971 (Apr-May23) LIBRARY BOARD OF TRUSTEES REGULAR MEETING MINUTES THURSDAY, MARCH 16, 2023 CALL TO ORDER – Chair Miriam Carter called the meeting to order at 4:31 p.m., in the Conference Room of the Library. PLEDGE OF ALLEGIANCE – Library Services Manager Smith ROLL CALL: Chair Miriam Carter; Trustees Connie Liao, Elizabeth Renfrew, Carlton Seaver, Alice Wang; Councilmember Eileen Wang (City Council Liaison); Director of Library & Museum Services Darlene Bradley (Secretary); Library Services Managers Samantha Alba, Pat Smith ABSENT – None PUBLIC COMMENTS – None REPORTS FROM LIBRARY TRUSTEES / LIAISONS: Trustee Renfrew updated the Board on the Friends of the Library. The Friends have several fundraisers planned: a Panda Express program on April 11, a Paint-Night event on April 20, and the annual spring half-price sale in the bookstore from April 22 to April 29. City Council Liaison Councilmember Eileen Wang reported that she will attend a statewide training program in Sacramento in April. She also reported on her attendance at the President’s recent visit to Monterey Park, as well as announced Congresswoman Judy Chu’s upcoming program honoring exceptional women of the San Gabriel Valley. Trustee Liao reported that the ACA had a meeting to review and discuss their mission statement and by-laws with the goal of broadening their appeal. Chair Carter discussed the Assistance League’s “Links to Learning” program, which provides books to second-grade students in the Monrovia school district. Trustee Wang noted that the ACA discussed Adult Service’s suggestion that the ACA partner with the Library on this year’s “Arcadia Eats” program. REPORTS FROM THE DIRECTOR Announcements / Statements / Future Agenda Items Director’s Update: Director Bradley reported on how Library administration is doing following Office Coordinator Shelly Polifka’s retirement: Administration staff is learning her tasks and trying to cover all her duties. Interviews will be held the week of March 21. The new employee will be starting from the ground floor meaning that there will be a new set point for Administration and Library staff. Monthly Statistical Report: February 2023: Director Bradley reviewed February’s statistics with the Board, observing that the gate count is up, as is circulation overall. Digital circulation is down, but this is not surprising given that the Library has reopened, and customers have returned to work. The Director also referenced a recent report showing that fourth and eighth graders are reading at an all-time low. She stressed the Library’s commitment to early literacy. Monthly Report Narrative: February 2023: Chair Carter noted that Library staff had been interviewing for many positions. Director Bradley reported that the RFID project is almost complete: the Smart Chute should be up and running by next Board meeting. Financial Report: February 2023: Spending is lagging in some categories because of staffing shortages, the Director reported. The Board discussed the increase in natural gas spending as well. Staff Update: Director Bradley updated the Board on the recruitment of the new Librarian for Children’s Services and for the Circulation Supervisor in Account Services. The former is going through background and medical screening; the latter is being temporarily filled by Angelica Marquez while a new recruitment is pending. Michele Krueper is now working in Cataloging and Acquisitions, although she is still working part-time in Children’s Services until her position is filled. The new substitute librarians have begun their training. The Gilb Museum is recruiting for a new Museum Education Coordinator and has hired two new substitutes. They’ve received a grant which will fund two interns. Policy Manual Updated Inserts: The Director explained that these had already been approved and just needed to be added to the trustees’ handbooks. Staff Reports: Building Forward Grant: The Director reported that the staff reports were presented to the City Council and approved at a recent meeting. This step was necessary before the grant funding could proceed. The Board discussed the need for, and issues raised by, family restrooms. Gilb Museum of Arcadia Heritage: As noted above, the Museum Education Coordinator submitted her resignation and a recruitment to fill her position is ongoing. Calendar of Activities for Children’s Services: April 2023: Trustee Seaver was impressed by how much Children’s Services is doing. He asked if children stopped using the Library as they grew older. The Director responded that with the new Teen Librarian and the new Children’s Librarian, who specializes in middle-school students, the Library has a better chance of retaining children’s interest. Calendar of activities for Adult and Teen Services: April 2023: The Director promoted the upcoming Fast Fashion event and the Board discussed “The Movies You Missed” program. Flyers/Articles/Posters/Attachments: The Board discussed the Teen Tech Week program, which will offer a workshop on 3D printing. Library Services Manager Alba explained how the Library’s 3D printing program works and showed samples of customers’ projects. Director Bradley promoted the upcoming Classical Kaleidoscope Concert and invited the Board to attend. CONSENT CALENDAR a.
