In the meantime, Christina Vallejo and Administration staff have been trying to keep up with this position’s many responsibilities, including personnel forms, work orders, processing and paying invoices, petty cash, payroll, making daily mail runs to City Hall and the Museum, and placing supply orders for Summer Reading. The budget, including the operating and capital improvement/equipment budgets, has been submitted and reviewed. The final draft will go to the City Council in May. There were more staff changes this month in Account Services. Lenise Albarran was promoted from an Aide to a part-time Technician. Ann Morrice was promoted from part-time Technician to full-time Technician. Recruitments for the Circulation Supervisor and Museum Education Coordinator positions are still under way. The City’s Emergency Operations Committee (EOC) held a drill for staff to familiarize themselves with the Emergency Operations Center’s set up, roles, and procedures. The Friends of the Library held their spring half-price book sale the last week of April. The City Council met for a second round of Goal Setting at the end of the month. Adult Programs, Classes, Technology Literacy, and Events: Bookish met in April to discuss The Book of Lost Names, by Kristin Harmel. Patrons watched and discussed Lunana: A Yak in the Classroom, a 2020 Chinese film, at The Movies You Missed. Earth Day was celebrated with a Fast Fashion event. Patrons watched the Fast Fashion: The Real Price of Low-Cost Fashion documentary and participated in a clothing swap. Radical Fashion also provided an educational presentation on the impact of fast fashion on the environment. April Activity Visitors: 23,617 Holds Processed: 1,787 Physical Items Checked Out: 36,149 eBooks/Audiobooks/Magazines Downloaded: 4,161 Programs/Attendance: 33/901 Passports Issued/Questions Answered: 107/547 2 CraftABLE, a take-home craft kit program for adults with intellectual, cognitive, and/or developmental disabilities, premiered in April. This program helps the library connect with an often-overlooked segment of our community. The kits offered patrons an opportunity to create a paper plate rainbow. So far 38 kits have been claimed. Smart Squad continues to support the library’s digital literacy goals by offering weekly computer help. Staff filmed a microlesson sharing information on GetSetUp, an eResource geared toward the senior demographic. Patrons learned how to create an account and attend a class. The microlesson has been viewed 180 times. Staff also filmed a microlesson on sharing information cookies, small pieces of data created by websites that save browsing information to track site preferences, provide localized information, and keep one signed in⁠. This microlesson was viewed 159 times. The Community Memory Lab continues to grow and enrich the lives of our community through enabling the preservation of analog materials: this month saw 40 hours of digitization. History Question Highlight: A past Arcadia Rose Court princess named Tammi Herron asked staff for Arcadia Tribune articles about the graduation of the Arcadia High School Class of 1983. Tammi is in the process of creating a scholarship for Arcadia High School students and wanted the articles and newsprint images (from microfilm). Staff were able to locate and print quality images using the library’s new microfilm machine. Teen Programing: The April 27 Teen Paint & Sip: Boba Edition was fun and delicious! Arcadia’s teens are super talented and created dreamy artworks with acrylic paint on canvas. "Boba gets the creativity flowing," one teen stated. There were nine Teen Zone sessions with 217 participants in April. The Teen Advisory Group met to plan the teen graphic design club, Teen Take-Out, and SAYL 2023. Children’s Programming and Services: The Spring Reading Program concluded with 172 participants reading and logging 1,153 books of different literary genres or categories. For every five books read and logged, readers received a bag with two small prizes. Optical Illusion Activity Kits (250) were distributed to children in tandem with Arcadia Unified School District’s Spring Break. Each kit included an optical illusion craft, activity sheet, and reading list. The Spring storytime session concluded: there were 10 early learning programs offered throughout the month with 505 children and their family members/caretakers in attendance. This was the largest storytime attendance within a given month since the Library’s re-opening. Staff hosted a four-part “Library Spirit Week” program in celebration of National Library Week. The 105 attending children and their families listened to featured read aloud stories (including 3 The Library Fish, by Alyssa Satin Capucilli, The Sour Grape, by Jory John, Creepy Crayon, by Aaron Reynolds, and The Three Little Superpigs, by Claire Evans), participated in scavenger hunts in the Children’s Room, made crafts related to each read aloud, and enjoyed snacks. Children’s Services staff met with the Assistance League Book Buddies coordinator, Theresa Antenesse, and Assisteen chairpersons, Fizzy Panza and Samantha Tong, to assess the current year’s Book Buddies program and to plan for next school year. This year’s Book Buddies offerings were well received with 90 children participating throughout this school year in comparison to the 66 children who participated last year. Children’s Services collected 333 Bookmark Contest entry forms from children ages 3 to 14 years. This is the highest number of submissions within the past 10 years. The entries will be judged by Library staff and the eight selected bookmarks will be professionally printed and distributed throughout the summer months. All entries will be displayed in the Children’s Room during summer and throughout the school year. Collections: Staff continued working on a project to catalog Bound Magazines as part of the RFID process. The Authority Database projects continue. This is part of the routine work to keep our databases/catalog up-to-date, consistent, and error-free. MARC records from Kanopy, CreativeBug, Press Reader, and LinkedIn added to and discarded from our Library Catalog this month totaled 38,881 records. Facilities and Technology: A significant water leak in the Children’s Room led to a section of the ceiling collapsing and several books being damaged by the water. Aides assisted with temporarily moving books from the Fairytale section to prevent further damage. They also shelf read the items before placing them on the shelves. Information Systems Services continues to work with City IT on server space upgrades and workstation replacements. At the end of the month, the self-check machine close to the library entrance stopped working and a blank screen was displayed. The machine was powered down, but it did not turn back on. Trouble-shooting the machine the following Monday got the machine up and running. The Children’s self-checkout station is out of service until a printer receipt part replacement is received. ISS printed three 3D models. The 3D printer is temporarily out of service due to mechanical issues. ISS continues to work on the Library’s City website adding programs and upcoming events. Staffing/Training: Adult Services Staff attended the Arcadia Historical Society meeting in mid- April. In addition to the personnel changes detailed above, Account Services currently has seven Aide vacancies. Account Services Supervisor interviews will take place in early May. Aide Justin Davis resigned on Wednesday, April 19. 4 Collaboration: The Arcadia Unified School District Art Display was installed throughout the Jerry Broadwell Children’s Room and on the bulletin board in the Adult and Teen Services area. The display highlighted the artwork of AUSD students in preschool through high school. Visiting families stopped by to view the works and take photos. The Holly Avenue school librarian, Iwona Engl, utilized the tall cases located in the Jerry Broadwell Children’s Room to display three-dimensional art pieces in celebration of Earth Day. Children’s Services staff hosted a scavenger hunt activity for nine middle school students who searched for illustrations of specific items in books throughout the Children’s Room. Fifty-nine Holly Avenue Elementary School kindergarten students and 109 first grade students visited the Library throughout the month and listened to read aloud stories relating to Spring and the Library’s celebration of National Library Week. Teen Services partnered with ACYC to present an educational program on Native American history. Community Outreach/Volunteers: The Children’s Services Principal Librarian and Senior Library Technician attended an English Learner Advisory Committee meeting to share information, in English and Mandarin, with the 16 attending parents about library resources and summer programming available for middle school students. Sixty-seven teens submitted 5 applications for summer volunteer opportunities. Applicants were interviewed and received an email letter of acceptance from Library staff. They will follow up by going through the City’s Live Scan process as well as attending an orientation and training meeting before volunteering during the summer months. Adult Services staff attended webinars on “Going Beyond Captions: Creating Accessible Instructional Videos” and “Building Community through Book Clubs.” They also attended an in-person California Revealed workshop, and met with the head of Downtown Arcadia. Staff from Administration and Adult Services participated in the EOC drill. Marketing and Publicity: Adult and Teen Services created the following displays in April: Gardening, National Poetry Month, Financial Literacy, Art Saves Lives, and Time Travel. Lucky Baldwin’s Birthday was highlighted and celebrated on the Featured Historical Photo webpage of the Library’s website. The photo and article showcased Lucky’s life and family with a 1903 photo of Lucky and his daughter, Anita M. Baldwin. The Library’s social media presence continues to do well: Facebook has 1,581 followers, Twitter has 613 followers, Instagram has 1,422 followers, and YouTube has 201 subscribers. The Friends are waiting for the check from the Panda Express fundraiser. The Paint Night fundraiser had to be cancelled because there was not enough interest. Next week, from Saturday to Saturday, the Book Store is offering 50 percent off all items. Trustee Wang reported on the Historical Society’s presentation to the Arcadia Chinese Association, and Trustee Carter said that she had attended the City Council District Five meeting and the Library’s Read Across America event. REPORTS FROM THE DIRECTOR Announcements / Statements / Future Agenda Items Director’s Update: Library Administration is in the middle of the budget process: the Director and the Library Services Managers attended the Operating and CIP budget meetings. The Library’s supplies budget was reduced; the Museum’s HVAC project was cut. The second City Council study session will be held May 2. Library Services Manager Alba will be attending the annual CLA Conference and Teen Librarian Arroyo will attend YALSA: attending conferences is part of the staff’s professional development. The administration staff is still covering Shelly’s absence and hoping to simplify procedures going forward. Christina Vallejo, from Cataloging and Acquisitions, has been very helpful. Monthly Statistical Report: March 2023: The gate count dropped in March due to the inclement weather and Spring Break for local schools. Monthly Report Narrative: March 2023: Trustee Renfrew enjoyed the March Madness program for adults and the 10 to Try program for children; she wondered if the latter would make a good program for adults as well. Aide Bonne Tang retired, and Angelica Marquez has been made acting Circulation Supervisor. Children’s Tech Eva Luc is on maternity leave. Circulation Tech Ann Morrice has been moved to full-time status. Library Service Manager Alba pointed out that Ann is a success story: with her mentoring, Ann has moved up through the organization from Aide to Tech Aide, to part-time Technician, to full-time Technician. Financial Report: March 2023: The gas budget is overspent again, probably due to recent cold weather, fuel costs, etc. Seventy percent of the budget has been spent. Staff Update: (See above under Monthly Report Narrative.) The Children’s department is now fully staffed with the addition of Children’s Librarian Amanda Colman. Account Services is now down eight part-time positions and one full-time position. The most recent resignation—a part- time aide—was apparently for financial reasons. The low hourly pay ($15.50 per hour) makes it hard to recruit. Facts about the Library FY 2021-2022: The Library Fact Sheet provides a snapshot of the Library in the immediate post-COVID period. The Director briefly reviewed the Library’s history, noting that the Library was originally part of the Los Angeles County system. She also noted the increase in circulation and explained that this was largely due to the circulation of children’s books, which are responsible 75 percent of circulation overall. Gilb Museum of Arcadia Heritage: The 13th annual Photography Contest ended on April 8; the opening exhibition is scheduled April 29 at 10:30 a.m. “Nature” is the theme of this year’s contest. Curator Acevedo is currently working on her own, relying on substitutes for the Museum Education Coordinator. The recruitment for this position is ongoing. The Director showed samples of the hugely popular educational kits, funded by the Friends, that the Museum is offering children. The kits have been assembled by the Museum’s teen volunteers, part of the 5,000 hours they have contributed. Calendar of Activities for Children’s Services: May 2023: May is a slow month for Children’s Services as the staff prepare for summer reading. The department is hosting class visits and participating in outreach efforts to promote the Summer at Your Library program. The featured program is a four-week “Mindfulness Storytime.” The recent contribution from the Friends of the Library supports SAYL and other programs. Trustee Renfrew encouraged the Board members to join. Calendar of activities for Adult and Teen Services: May 2023: Director Bradley encouraged the Board to visit Children’s and Adult Services to see the AUSD student art exhibit. Flyers/Articles/Posters/Attachments: Darlene reviewed upcoming programs, including Fast Fashion on April 22. Arcadia History Room Featured Historical Picture: The Board discussed the Baldwin family and noted that Lucky Baldwin’s descendants are still active in Arcadia. Chair Carter reported on the renovation of the Queen Anne cottage at the Arboretum and discussed Hugo Reid. CONSENT CALENDAR a.
