MONTHLY REPORT – MAY 2023
Highlights: This month, Administration attended the City Council budget study session, the
volunteer appreciation Silver Circle event, the Firefighter’s Association Pancake Breakfast, the
10th annual Serving with a Purpose, a conference for Board of Trustees, Friends Board members
and managers and directors, and the Southern California Library Cooperative meeting for library
directors across Southern California. The Volunteer Recognition event, formerly known as Silver
Circle, honored volunteers throughout the City for serving for 100 hours or more in 2022. The
members of the Library Board, the Museum Commission, the Friends of the Library—especially
the Book Store volunteers—and the Gilb Museum volunteers were among those honored.
The Museum Education Coordinator position was filled permanently. The Library’s Office
Coordinator position was filled, and Elizabeth Manzano began her first day on May 15. There is
much training still to come in the next three to six months. Security continues to be an issue for
the Library. The security company, Security Patrol Management, is coming in irregularly and not
at their assigned times or shifts consistently. This is causing more staff intervention with patrons
not wanting to follow the Library Code of Conduct. This contract could be ended now but we
would be with no security. Administration is currently going through the RFP process to secure a
new security company for the new fiscal year which will hopefully provide a more professional
and on-time service. The Library also had two patrons who were served exclusion letters. One
patron had spit at staff and yelled racial slurs; another stole a library book and blatantly walked
out of the building with it. Both cases involved calling the police and writing up incident reports.
Adult Programs, Classes, Technology Literacy, and Events: Adult Services offered their
usual monthly programs in May, while busily preparing for Summer at Arcadia Public Library.

Bookish met in May to discuss The Maid, by Nita Prose,
and the Movies You Missed featured Better Days, a 2020
film from Hong Kong. Adult & Teen Services celebrated
Mindfulness Month with a mindfulness challenge and a
mindfulness program. The Mindfulness Challenge
bookmark encouraged patrons to take on mindful
activities and provided a list of books and programs to
further support our community’s mindfulness goals. A
special program, “The Art of Mindfulness,” was held on
May 20. Participants learned the benefits and basics of
mindfulness, followed by a brief meditation session,
mindful walking, and a seated loving-kindness practice.
Participants left the program with the tools needed to bring
mindfulness into their day-to-day activities for a more
peaceful and present life. CraftABLE, a take-home craft
kit program for adults with intellectual, cognitive, and/or
developmental disabilities, continued to garner much love
and appreciation from the community. The May kits was
a popsicle stick flower activity; 49 kits were claimed.
Smart Squad continues to support the library’s digital
literacy goals through computer help. The Community Memory Lab continues to grow and enrich
the lives of our community through enabling the preservation of analog materials: patrons spent
40 hours digitizing materials.
Teen Programing: There were 16 Teen Zone sessions with 491 participants in May. Ten
members of the Teen Advisory Group hosted a dry run of the De-stress Fest, which is scheduled
for June 1. Staff collaborated with Girls Who Code and the Arcadia High School’s Engineer Club
to prepare for the Teen Graphic Design Club. The program, A Newbie’s Guide to Graphic Design,
is an Inspiration Grant funded program. Staff have been collaborating with local school groups to
plan, market, and build continuity- through teen graphic design instructors- into the program. The
Teen Graphic Design Club will make its debut in June!
Children’s Programming and Services: This is the first year since the onset of the pandemic
in 2020 that Arcadia Public Library will offer a full summer program with a return to a full reading
program as well as line-up of special performers, weekly storytimes, STEM and craft activities, as
well as programming for middle schoolers. Children’s Services staff partnered with First Avenue
Middle School’s ASB team to host the “Book Friends Forever” event. Prior to the program, the
Children’s Services Principal Librarian provided read aloud training for the ASB members. During
the event, the thirty ASB members read aloud and gave free books to attending children. All
books were donated by First Avenue Middle School students. Sixty-two children and their family
members took part in the program.

In celebration of Asian American and Pacific Islander Heritage Month, Children’s Services
distributed 250 activity kits to children and their families. The kits highlighted the work of Japanese
artist Yayoi Kusama and included a short biography and craft project inspired by the artist as well
as a recommended reading list and activity sheet.
The new children’s librarian, Amanda Coleman, hosted
a Mindfulness Storytime series which introduced
various breathing and grounding activities as well as
stories to children, ages four to eight years old, and
their families.
Forty children and their family members attended the “Mess Fest” event hosted by Children’s
Services staff and learned how to make play-doh, slime, and fake snow.
Collections: A highlight from the Library’s History Collection: a patron, who used to live in
Arcadia, emailed from Paris, France, where she now lives. She was interested in seeing the
panoramic photos of Camp Buckhorn from the 1970s. She thought she might be in one of them
and wanted a copy to have for personal use. These photos are not available at AndorNot, the
History Office’s database, because they have been too large to scan. Now with the Memory Lab
scanner, staff was able to scan them in two sections and edited them together to make one whole
picture for the patron. The featured Historical Photo highlighted the Library’s 1968 Summer
Reading Program. In this historical photo, dated 1968, the Children's Room at Arcadia Public
Library, at its current location, is decorated with a vertical hanging Summer Reading Club banner,
Olympic rings, flags, and emblems of various nations. The theme was the 1968 Summer
Olympics. Architectural details, such as the arched ceiling and globe pendant light, are also seen
in this photo.

Cataloging and Acquisitions staff finished cataloging and tagging Bound Magazines in the Adult
Section. Next month they will start on the bound periodicals in the basement. The Authority
Database projects continue. This is part of the routine work to keep our databases/catalog up-to-
date, consistent, and error-free.
Facilities and Technology: Information Systems received three credit card terminals for the
three remaining self-checkout machines. ISS staff are working with the vendors, FE Tech and
Comprise to install them. The Children’s self-checkout station is being converted to an accessible
kiosk for children. The 3D printer is temporarily out of service due to mechanical issues. It will be
replaced soon. There were 4,877 visits to the Library Catalog, local web documents and online
databases. There were 3,314 unique visitors and 7,657 visits to the Library home page. There
were 3,800 unique public Wi-Fi users, and a total of 3.8TB of data downloaded and uploaded
during this month. ISS staff continue to work on the Library’s City website adding programs and
upcoming events. The Summer At Your Library 2023 content is now being prepared for summer
programming. The team of three Computer Aides and ISS Supervisor answered more than 314
computer/technical questions from patrons; assisted the public with 1,132 public computer
sessions, 860 print jobs, public copiers, and the public Wi-Fi network.
Staffing/Training: Human Resources finished processing two new Passport clerks who are
expected to start in June. There are still eight Aide positions vacant in Account Services
recruitment will begin again, most likely after the new fiscal year. Interviews for the Account
Services supervisor position were once again conducted this month.
Collaboration: Children’s Services staff attended five community meetings and events to
promote the Library’s summer festivities including, Arcadia Unified School District’s last PTA
Council meeting of the school year, Arcadia Christian School’s preschool open house, a faculty
meeting at Baldwin Stocker Elementary School, Baldwin Stocker Elementary School’s student
assembly, and Camino Grove Elementary School’s Early Learning Advisory Committee (ELAC)
parent meeting. The coordinator of the ELAC parent meeting sent an email stating, “Thank you
again for your time and effort in keeping our community members connected. The resources
shared today with parents at Camino Grove were so helpful and meaningful for our families with
English [l]earners. We appreciate you!” There were also nine grade-level visits to the Library
with 15 classes and 642 students in attendance. Staff presented stories and activities tying to the
summer theme, “Discover Your Story” and shared about the upcoming reading program and
special events taking place during summer.
Community Outreach/Volunteers: The Children’s Services Senior Library Technician Denise
Tang hosted two orientations for summer teen volunteers and provided an overview of the reading
program and special events, discussed expectations for volunteers, and reviewed the scheduling
process.

Children’s, Adult and Teen Services, and Administration staff hosted a table at the Arcadia Fire
Department’s Pancake Breakfast. Over 300 Summer at Your Library flyers and Teen Graphic
Design buttons were handed out. Staff attended the Arcadia Historical Society’s Garden Party
and Annual Meeting honoring Richard Schulhof, retiring chief executive officer of the Los Angeles
County Arboretum. Adult Services Librarian Yvonne Ng was elected the Arcadia Historical
Society’s Secretary. Teen Librarian Claudia Arroyo attended a meeting of Arcadia High School
PTA. Principal Librarian Danielle Guerrero attended the City’s Social Media Moderators Meeting.
Children’s staff attended PTA Council and Equity-based Summer reading meetings.
Administration staff attended planning meetings for the Silver Circle event and the event itself,
two budget study sessions with the City Council, the Museum Commission meeting, the Serving
with a Purpose conference, and the Arcadia Coordinating Council meeting.
Marketing and Publicity: Children’s and Adult/Teen’s bulletin boards focused on the upcoming
Summer at Arcadia Library. Adult book display highlighted books on travel, sleep and dreams
Asian American, Pacific Islander month, the joys of BBQ, mental wellness, and road trips.
Children’s book displays featured books on Asian American and Pacific Islander Heritage Month,
Cinco de Mayo and Mexican Culture, and Star Wars. The Library’s social media presence
includes Facebook (with 1,585 followers), Twitter (with 617 followers), Instagram (with 1,451
followers), and YouTube (with 204 followers).

This program promotes reading as a fun activity for kids ages infant to 14 years. The “Discover
Your Story” theme empowers children to explore a broad spectrum of reading that brings
knowledge, growth, and new ways of seeing the world around them.
For younger children, the program encourages caregivers to read aloud and establish the
fundamental building blocks of reading and language. And for older kids, it helps to maintain or
improve their reading skills.
HOW TO PARTICIPATE
▪ Beginning Monday, June 5, 2023, kids (infant to 5th grade) and youth (entering 6th to 8th
grades) may register online at https://arcadiaca.beanstack.org/reader365.
▪ Visit the Arcadia Public Library and check out some great books.
▪ Read and log your reading minutes online using Beanstack.
▪ For every 60 minutes logged (up to 540 minutes), stop by the Library’s Discovery Table,
beginning Monday, June 12, 2023, to report and collect your earned reading reward(s) of
choice.
▪ 6th to 8th grade participants may also complete up to seven discovery activities to earn a
maximum of seven virtual raffle tickets for entry into a grand prize drawing at the end of
the summer program.
▪ All active participants will also be randomly entered into a “Discoverer of the Week”
drawing for fun giveaways!

Imagination Theater
Young readers choose a book and then read it aloud to a teen volunteer. This is a wonderful
opportunity for school-aged children to discover great stories and build their reading skills at the
same time. Read Aloud Club is a drop-in program and registration is not required.

REGULAR MEETING MINUTES
THURSDAY, May 18, 2023
CALL TO ORDER – Chair Miriam Carter called the meeting to order at 4:30 p.m., in the
Conference Room of the Library.

REPORTS FROM LIBRARY TRUSTEES / LIAISONS: Trustee Renfrew reported for the Friends
of the Library. The Friends were happy to receive a $188 check from the Panda Express
fundraiser and mentioned that with better publicity it would do well. The Friends also received a
$43 check from Discover Books. The Paint Night fundraiser was cancelled. The half-price book
sale did not do as well as previous sales due to insufficient publicity. Trustee Renfrew will be
meeting with the Teen Services Librarian to discuss a sale of YA books during the summer.
Bookstore volunteer June Coleman is unfortunately very ill. June has been a volunteer for many
years and is greatly missed. Friends are coordinating a jazz concert sometime in August. The
Friends of the Library will not meet during the summer months, but sub-committees will meet.
Trustee Wang reported that the Arcadia Chinese Association would be reviewing their budget
today. The ACA usually presents the library with three donations for Summer at Arcadia Public
Library, the English Conversation Class, and Children’s Services. Trustee Wang asked Library
Services Manager Smith to email her any specific needs for the library as she would like for a
motion to be approved at tonight’s meeting. Councilmember Wang reported on the recent budget
study sessions with all city departments. She attended a neighborhood watch meeting in her
district where the community discussed homelessness issues and mail theft occuring in apartment
buildings and condominiums. The Police Chief advised community members to either rent a post
office box or send only certified mail, which requires a signature to ensure delivery.
Councilmember Wang attended the Firefighters Pancake Breakfast on Saturday, May 6. She also
attended the Woman of the Year Awards with Congresswoman Judy Chu. She encouraged board
members to nominate a woman from Arcadia for the upcoming year’s nominations. Trustee Wang
was nominated five years ago. Additionally, Councilmember Wang attended the USC hospital
event and the Silver Circle volunteer recognition dinner on Thursday, May 11.
REPORTS FROM THE DIRECTOR
Announcements / Statements / Future Agenda Items
Director’s Update: Library Services Manager Smith reported that the Director could not attend
today’s meeting because her daughter is getting married. She reminded the Board that the June
meeting will be a closed session with the City Manager for the Director’s evaluation. The Library
has a new Office Coordinator, Elizabeth Manzano. Her first day was Monday, May 15. Library
and Museum staff attended the Firefighters Pancake Breakfast on Saturday, May 6. The event
had a record attendance, and it was an excellent opportunity for staff to promote Summer Reading
to our community. Budget study sessions were held on May 9 and 16. Budget adoption is
scheduled for Tuesday, June 6. Library Service Managers have been reviewing proposals for a
new security company and have received 15 bids. The Summer Reading kick off party is on
Saturday, June 10, which will include a dessert truck from 1:30 p.m. to 3 p.m. Law Day will be on
Saturday, June 24. Trustee Connie Liao noted that Law Day has been offered for 15 years and
during COVID it was offered online. Arcadia Chinese Association will provide an appreciation
lunch to the lawyers who volunteer for the event. The volunteer recognition dinner was held at Le
Meridien on Thursday, May 11. ECC (English Conversation Class) is returning later this year in
August or September. The Library is hoping to coordinate with other local organizations to ensure
classes are being offered every day of the week. Volunteer coordinators and tutors are needed.
Chair Carter suggested reaching out to the retired teachers association for volunteers. Staff from
Adult and Teen Services and Children’s Services gave an overview of Summer At Your Library
(SAYL). Staff shared programs and prizes for this year’s event and graciously thanked the Friends
of the Library for their ongoing support which makes (SAYL) possible.
Monthly Statistical Report: April 2023: Circulating and in-house numbers from April 2022 were
higher due to staff preparing for RFID, including increased weeding. Current circulation numbers
are back to normal.
Monthly Report Narrative: April 2023: Fast Fashion was a successful program. New Passport
Clerk, Michael Lutz-Paap is scheduled to start on Monday, May 22. Due to staffing, passports are
currently by appointment only, but more appointments will be offered soon.
Financial Report: April 2023: A question about stability pay and tuition reimbursement was
discussed.
Staff Update: Interviews for the Account Services Supervisor were held on May 4 and 9. The
Director and Library Services Manager Alba will be reviewing a few more applications before
making a decision. Part-time Aide interviews will take place after finalizing the the Supervisor
position. Library Services Manager Alba will be attending the California Library Association
Conference in Sacramento at the end of the month.
Gilb Museum of Arcadia Heritage: New Museum Education Coordinator Daniel Estrada’s first
day was on May 8. The Museum prepared veteran biographies and photographs for the Arcadia
Historical Society’s annual garden party, which will be held on May 20. A textile preservation
workshop will be held June 3. Two Getty interns will begin on June 13.
Calendar of Activities for Adult, Teen, and Children’s Services: June 2023: Board members
reviewed materials.
Flyers/Articles/Posters/Attachments: Library Services Manager Smith reviewed Summer At
Your Library events and programs. The Teen De-Stress Fest program on June 1 encourages
teens to enjoy ice cream floats and therapy dogs.
Motion to Excuse Trustee Liao from June 15, 2023, Meeting: Trustee Liao informed the Board
that she will be traveling on June 15, 2023, the date of the next Board of Trustees meeting.
Trustee Renfrew moved to excuse Trust Liao from the June 15, 2023, meeting. Trustee Seaver
seconded the motion, and it was passed by a unanimous voice vote.
