The Museum Staff prepares for its programs, including the 5th Annual Summer Enrichment Program in July. COLLECTIONS AND INTERNS Intern Mr. Jonathan Ornelas has finished working with the Ruth and Charles Gilb Collection. He has created a detailed inventory of the collection, while also digitizing approximately 1,800 items, which include textiles, photographs, scrapbooks, and other artifacts. Curator Ms. Stevy Acevedo is working on submitting all the work to the California Revealed Cataloging California Grant by June 30. The Curator will also be nominating the collection to the California Revealed from the California State Library online repository in July. Intern Mr. Patrick Michael has completed the inventory, curation, digitization, and cataloging of the Daughters of the American Revolution, Santa Anita Chapter Collection. He has helped Curator Acevedo with upcoming exhibit projects, including the panels for the upcoming exhibit in City Hall, near the Cashiers office. Volunteer Ms. Deborah Cordano continues to work on the Anthony W. Wilkinson Collection transcription on FromThePage.com. She has reviewed the letters on FromThePage that community members have helped transcribe since 2021. There are approximately 700 letters and postcards in the collection. Intern Ms. Maria Barrios continued to work on the inventory, curation, and digitization of the Santa Anita Athletic Club Collection. Ms. Barrios was selected for the Getty Marrow American Art Curatorial Internship at the Huntington Library, Art Museum, and Botanical Gardens for the summer. She plans to return to the Gilb Museum in the Fall. Intern Mr. Zackary Ostrowski continues to work on the inventory, curation and digitization of the (Sandy) Silverstein Collection. Mr. Alick Diaz also continues to assist at the Museum with scanning collections and updating information on the Museums’ database, CatalogIt. Mr. Ornelas helped teach other interns how to construct custom boxes for items in the Museum’s collection that are different sizes than the usual standard box size. 2 Intern Ms. Lauren Bailey has completed her internship for the Spring as part of her academic work for the University of Denver Masters of Library Science Program. She finished conducting an inventory, curation, and cataloging of the Dr. Dennis Lojeski Collection. Curator Acevedo has been asked if they would be interested in another intern from the program in the Fall. An inventory of all items donated during this time period: ➢ Ms. Judy Hermann donated books and magazines on behalf of the Assistance League related to the Pasadena Tournament of Roses. All the magazines have photographs of the rose floats created by the City of Arcadia. ➢ Mr. Roger Dieboco Jr. donated a 1977 Arcadia Fact Book and Buyers Guide, and 1996- 1997 Arcadia Business Directory. ➢ Mr. Steve Gewecle donated a Camp Fire Girls 1958 Scrapbook belonging to Lauren L. Black, and a Camp Fire Girls red scarf. ➢ Mr. Oliver Beckwith from the Monrovia Historical Museum donated two copies of the Souvenir and Program Magazine from the Ross Field Balloon School from World War I. ➢ Ms. Trina Jang donated, on behalf of her mother Ms. Judi Tsuyuki and her stepfather Mr. Joe Tsuyuki, a Holy Bible given to Mr. Tsuyuki when he was six years old at the Santa Anita Japanese Assembly Center. ➢ Mr. Samuel Kho donated the magazine Lake Tahoe, The Way It Was Then - And Now, which highlights Mr. Elias Jackson “Lucky” Baldwin. EXHIBITS The opening of the 13th Annual Arcadia Juried Photography Contest and Exhibition took place on April 29. There were 20 people in attendance, including the photographers with their family and friends. This year’s theme for the exhibit was nature, which includes 17 submissions of framed photographs by members of the community. The Museum provided a prize of REI gift cards to the 1st, 2nd, 3rd and honorable mention winners. The prizes have been graciously sponsored by the Hakka Foundation. The Museum Staff is currently preparing for its next exhibit highlighting the City of Arcadia’s 120th anniversary. The Getty Marrow Collections and Exhibitions Intern, Mr. Kenny Woo, is currently doing research on what moments in Arcadia’s history should be highlighted in the exhibit. Mr. Woo is a current undergraduate student from California State University of Long Beach and is also a local Arcadia resident. Curator Acevedo has updated the television in the Anita Baldwin Exhibit. A new television was installed with the help of Public Works, which allows The Last Tour movie to play on a loop for Museum guests to see. Previously, the Museum Staff needed to show the video via a DVD player and press play every 45 minutes. ADMINISTRATION On May 2, Curator Acevedo attended the Arcadia PTA Luncheon meeting. At the meeting, she shared what current events and programs are available to the Arcadia community. Curator Acevedo also highlighted volunteer opportunities for the summer at the Museum, as well as the 5th Annual Summer Enrichment Program. 3 The new Museum Education Coordinator Mr. Daniel Estrada started on May 9. He previously was one of the Museum Education Coordinator Substitutes at the Museum, therefore understands what is required to do his new position. The City of Arcadia had a red-carpet event celebrating Arcadia volunteers, Board, and Commission Members on May 11. The Gilb Museum had 18 volunteers that completed over 100 hours that were invited to attend. Two volunteers that were highlighted at the event included Teen Volunteers Ms. Michele Yu who completed 275 volunteer hours and Ms. Ludjenee Yan who completed 281 volunteer hours in 2022. The Friends of the Arcadia Museum (FAM) conducted their May and June board meetings in the Museum Education Center. Museum staff discussed current and ongoing projects and events with the Board members. The Board discussed the preparation for their fundraising event at Von’s in El Monte on June 9. They also prepared for the History Talk on June 10. On June 6, the FAM Board presented at the City Council Meeting their $13,900 donation to the Museum that will support current and future programs as well as archival material for the Museum’s collection. Their next meeting will take place on August 3 in the Museum Education Center. Curator Acevedo attended the Kathryn Barger Veterans Event at the Los Angeles County Park on Saturday, May 27. She was able to meet at the Vietnam Veterans Memorial where City Clerk Mr. Gene Glasco talked about how he had the idea to make the monument a reality in honor of Vietnam Veterans in the Arcadia Community. The Museum was awarded the Getty Marrow Undergraduate Internship grant to fund two paid internships: Curatorial & Exhibits and Education & Public Engagement. Interns will work 40 hours a week for 10 consecutive weeks. Curator Acevedo and Substitute Museum Coordinator Ms. Rebecca Andersen have selected Mr. Kenny Woo as the Curatorial and Exhibitions Intern, and Ms. Angel Gee as the Education and Public Engagement Intern for the summer. Intern Ge recently graduated from the University of Irvine with a bachelor’s in arts. Their start date was on June 13. Curator Acevedo and the two Getty Interns recently visited the Anderson House Museum in Monrovia on June 16. Monrovia Historical Society President Ms. Sandy Burud invited Curator Acevedo to see their Grandy Collection which has a connection to the Gilb Museum’s Anthony Wilkinson Collection which consists of letters to and from Edith Hartzell Grandy between 1860 and 1960. Ms. Burud and Curator Acevedo will continue to discuss whether the Monrovia Historical Society will donate the letters in their collection to have all the letters be together at the Gilb Museum. Curator Acevedo continues to work on the City of Arcadia Capital Improvement Project f or the restoration of the Peacock Fountain located at Los Angeles County Park on the corner of Huntington Drive and Santa Anita Ave. The Gilb Museum has chosen to work with Silverlake Conservation based on the bids given. Curator Acevedo is scheduling a start date with Silverlake Conservation at this time. The next item to be restored in the city will be the Walk of Champions plaques on Huntington Drive. Curator Acevedo continues to work with Girl Scout Ms. Sohana Sahni on her Girl Scout Gold Award. Ms. Sahni will be collecting oral histories from Arcadia community members of all ages, to see the impact of social media on their lives. The goal is then to create a temporary exhibit for the community to see at the Museum. Ms. Sohana’s project has been approved by the proposal committee and is beginning to interview individuals for her project. Once she has completed her interviews, she will work with Curator Acevedo on creating her exhibit panels. 4 Curator Acevedo also met with Mayor Pro Tem Ms. April Verlato and Girl Scout Ms. Kailani Yamashiro on June 10 to discuss her Gold Award that would include a photo journal of significant monuments in Arcadia for the Gilb Museum. Mayor Pro Tem Verlato and Curator Acevedo came up with a list of ten monuments that Ms. Yamashiro can focus on her project around the city, including the Lucky Baldwin Statue, Anita Baldwin Statue, and the Vietnam Veterans Memorial Monument. The Museum Staff attended the Museum Educators of Southern California Conference on June 5 at the USC Pacific Asia Museum in Pasadena. Staff was able to network with other educators at other Museums and build connections for future collaboration programs. Curator Acevedo was asked to participate in the Lunch and Learn webinar series with the California Association of Museums (CAM) on August 17. Ms. Acevedo and Mr. Estrada will be presenting “Strategies for Utilizing Teen Volunteers in Small Museums”. This webinar will then be available on the CAM website as a resource for other museum professionals. Museum Staff has submitted the proposal “Strategies for Utilizing Teen Volunteers in Small Museums” to the Western Museum Association Conference and was accepted. The conference will be taking place in October this year in Pasadena. Curator Acevedo and Museum Education Coordinator Estrada also submitted their proposal “The Power of Adults with Special Needs as Volunteer Champions” to the California Association of Museums Conference in 2024. Currently the Museum has five adult volunteers with special needs that volunteer on a weekly basis working on the construction of the Museum’s educational kits. Curator Acevedo recently assisted Mr. Pete Siberell, the Director of Community Service and Special Projects, with a project highlighting the Santa Anita Japanese Assembly Center at Santa Anita Park during World War II. Students from Occidental College, known as the Justice Bootcamp students, and their professors created QR codes located at Santa Anita Park that tell the various tales of how those who were held at the assembly center before going off to internment camps throughout the country. The QR code links you to some of the Gilb Museum’s video resources and website. www.santaanitadetentioncenter.com EDUCATION and PROGRAMMING The Museum was invited to participate at El Rancho Days at the Los Angeles County Arboretum on May 5. Curator Acevedo and Museum Education Coordinator Estrada attended the event and were able to give away educational kits with a lesson on Rancho Santa Anita history. The Museum participated in this year's Arcadia Firefighters Pancake Breakfast on May 6. Staff has created 300 Safety Backpack kits to give away at the event with the help of the Museum’s Teen Volunteers. Staffmember Mr. Kho and members of the Friends of the Arcadia Museum assisted at the event booth. The Gilb Museum continued to provide Scout programs to local troops. On May 13, Museum Education Coordinator Estrada conducted the Celebrating Community program and Inside Government on June 3. Teen volunteers also assisted Mr. Estrada during the programs. Curator Acevedo assisted Arcadia Historical Society President Mr. Ed Andersen in providing the local Veterans information used for the Arcadia Historical Society’s Garden Party on May 20. 5 Panels were created around the garden highlighting local Veterans for the Arcadia community, including Marine Sergeant Mr. Charles Gilb and Navy Officer Dr. Richard Cordano. The Gilb Museum conducted 21 school programs at Baldwin Stocker Elementary, Highland Oaks Elementary, and Camino Grove Elementary for programs Tongva Time and Then vs. Now during the months of May and June. In total, the Gilb Museum conducted 38 school programs for the 2022-2023 school year, reaching approximately 1,127 students. On June 1, Holly Avenue Elementary brought all four 3rd grade classes, for a total of 104 students. Museum Staff created four centers for the students, which included a Tongva Time station, Then vs. Now station, Archaeology Excavation station, and a Museum exhibit tour. All the teachers were also given pencil gift bags to give to their students when they returned back to school. Some of the Friends of the Arcadia Museum Board members volunteered that day to help with the large number of students at the museum. On June 6, the Natural History Museum of Los Angeles County brought 20 of their Educators to see the Gilb Museum's exhibits, take a look behind the scenes at the Museum’s collections, and have a discussion with staff about how the Museum approaches interpretation of local history. Mr. Estrada provided a tour of the Museum’s exhibition space while Curator Acevedo was able to share the Museum’s collection space and show where exhibits are created. Curator Acevedo conducted the third Preservation Workshop for this year on June 3. The Textile Preservation Workshop had 10 participants. Many were happy to learn techniques used in museums, that they too can use to preserve personal and family memorabilia. Participants also appreciated the Preservation Kits, which were generously funded by the Friends of the Arcadia Museum. The next Preservation Workshop will be on paper taking place on August 12. The Museum conducted the third History Talk program of the year on June 10 on Clara Baldwin- Stocker. Mr. Samuel Kho conducted the program. There were 15 people in attendance, including new visitors to the Museum. The Friends of the Museum provided coffee and treats to the guests at the event. The next History Talk will be held on September 9 on Anita Baldwin. The Museum is conducting a partnership with Button, a student-run organization at Arcadia High School. During select Wednesdays in the month of June and July, starting on June 14, the program Art-Ventures is offered for free to the community in the Museum Education Center, providing a history and art lesson about certain individuals or events in Arcadia. Museum Education Coordinator Mr. Estrada and Getty Intern of Education and Public Engagement Ms. Angel Ge are developing lesson plans for this year’s 5th Annual Summer Enrichment Program. The four programs inform students on museum curation in regards to art, plants, fossils, and history. Ms. Ge is also developing Education Kits based on these programs for community members unable to attend. These kits have a shortened version of the corresponding presentation with the same activities for residents to take on-the-go. 6 On June 23, the Gilb Museum conducted a school program at Cullen Elementary School in Glendora. The program was centered around indigenous methods of story-telling and reached over 110 students. Museum Education Coordinator Estrada and Getty Intern Ge presented the program with assistance from Staff member Mr. Kho. This was Ms. Ge’s first program, which gave her a great opportunity to learn what Summer Enrichment Program will be like since she will be conducting one of the two classes each day. MARKETING Museum staff continue to promote the Museum’s collection as well as events on its social media platforms. The Museum’s monthly newsletter via MailChimp has also been very popular with 1,150 subscribers. The Museum was able to get more subscribers from having community members sign up during the outreach programs around the city. As the Education and Public Engagement Getty Intern, Ms. Ge is working on current and future posts on social media for the Museum. Mr. Estrada and Ms. Ge will also develop a new marketing campaign via Instagram reels. The reel based on Clara-Baldwin Stocker received over 200 views, the highest views received on a reel post. VOLUNTEERS Mr. Estrada conducted the Teen Volunteer Orientation on May 27 for all new and returning volunteers for the summer. This was a great opportunity for new volunteers to meet others and learn about what programs and kits the Museum will have this summer. The Museum will be conducting a second orientation for individuals that did not attend, and for the new group of volunteers. The Museum has been very fortunate to have a lot of great and dedicated volunteers. The teen volunteers continue to construct the Museum’s Educational Kits and outreach program kits. So far this year, the Museum has created 2,250 kits and is estimated to create 5,000 kits by the end of the year. The museum has recruited five adult volunteers with special needs and further develop a safe space for diverse communities. These volunteers have assisted with constructing the June 23rd school program materials and several outreach program materials. The Museum volunteers also assisted the Arcadia Public Library in constructing the Adult and Teen Services Craftable kits for the month of June and July. Two of these volunteers, Mr. Angelo Yriarte and Ms. Danielle Yap received the opportunity to be paid for their volunteer hours through an independent living program. The Gilb Museum is training these individuals to develop communicative and administrative skills to help them in their future career endeavors. Baldwin September 9 MUSEUM COMMISSION REGULAR MEETING MINUTES WEDNESDAY, MAY 3, 2023 CALL TO ORDER – Chairperson Pro Tempore Marilyn Daleo called the meeting to order at 5:06 p.m. in the Museum Education Center. PLEDGE OF ALLEGIANCE – Chairperson Pro Tempore Daleo ROLL CALL: Chairperson Pro Tempore Marilyn Daleo; Commissioners Ginny Blitz, Janalee Shimmin, Angela Yang-Ayala; Councilmember April Verlato (City Council Liaison); Director of Library and Museum Services Darlene Bradley, Library Services Manager Pat Smith; Museum Curator Stevy Acevedo. ABSENT: Chairperson Billie Tone PUBLIC COMMENTS: None REPORTS FROM MUSEUM COMMISSION MEMBERS / LIAISONS: Commissioner Blitz reported that she helped with the special screening of “Gold Mountain” and reminded Commission members that the Friends of the Museum Board meeting is tomorrow. Commissioner Shimmin congratulated Commissioner Daleo on her selection as Arcadia’s Senior of the Year; the award was presented last night. City Council Liaison Velato reported on the previous night’s City Council meeting. She discussed the city’s current situation with homelessness, as well as issues surrounding zoning issues, services for the unhoused, and state funding. REPORT FROM THE DIRECTOR: Director Bradley reported on the Library’s new Office Coordinator, Elizabeth Manzano, who comes to the Library from the private sector. A new Museum Education Coordinator—Daniel Estrada—has been hired. The Director updated the Commission on the City budget: a City Council study session is scheduled for next week. The Library is recruiting for a new security company and is still looking to fill seven Aide positions. REPORT FROM THE CURATOR: Curator Acevedo reported that the Museum has been very busy: the substitutes have been a huge help. The Preservation Workshops have been increasingly popular and often run over their scheduled time. Over 38 school programs have been scheduled, with 18 done so far. Holly Avenue School will be bringing all 104 fourth-grade students for a special visit: the Friends of the Museum will help with the visit. Interns and volunteers have been working on special collections. The Red Envelope program was very successful and will be offered next year with a longer submission period. There were 18 entries for the annual photography contest. A wide range of ages participated and even families worked together on their entries. She also reviewed other recent programs. Two interns have been helping with programs and working with volunteers. Volunteers have been helping with the educational kits. So far, volunteers have contributed 954 hours this year. Brittani’s last day is March 4; Daniel Estrada is the new Education Coordinator. He is growing on the job: so far, he has developed an educational kit and worked on social media. The Curator attended the annual PTA luncheon. She also presented at a conference in Oakland on using volunteers in museums. She was also asked to do a Lunch and Learn talk for the California Association of Museums and a presentation at the Western History Association Conference in Pasadena. There are now 1,000 subscribers to the Museum’s newsletter. In addition to outreach efforts at local schools, Museum staff attended the City’s Pancake Breakfast and El Rancho Days at the Arboretum. Maintaining and adding Walk of Fame plaques was discussed. Councilmember Verlato discussed the history of the Walk of Fame. Director Bradley mentioned that the Museum’s recent inventory of public art has let Museum staff know what work needs to be done on them. MOTION TO EXCUSE: A motion to excuse Chairperson Tone was made by Commissioner Blitz, seconded by Commissioner Shimmin, and approved by a unanimous voice vote.
