Curator Acevedo and Museum Education Coordinator Estrada presented at the 2023 Western Museum Association in Pasadena. COLLECTIONS AND INTERNS Intern Mr. Jonathan Ornelas is working on the Edith Hartzel Grandy letters associated with the Anthony W. Wilkinson collection. He is conducting an inventory and curation of the collection, which consists of approximately 1,300 letters, postcards, documents, and newspaper clippings. Volunteer Ms. Deborah Cordano continues to work on the Anthony W. Wilkinson Collection transcription on FromThePage.com. She has reviewed the letters on FromThePage that community members have helped transcribe since 2021. Once the collection Intern Ornelas is working on is digitized, it will be added to the FromThePage project. Intern Ms. Maria Barrios continued to work on the inventory, curation and digitization of the Santa Anita Athletic Club Collection. Intern Mr. Zackary Ostrowski continues to work on the inventory, curation and digitization of the (Sandy) Silverstein Collection. The collection consists of 91 artifacts. Mr. Ostroski is preparing to apply to graduate school. Volunteer Mr. Alick Diaz completed the inventory, curation, digitization, and cataloging of the Fannie Smith Duvall Collection, which consisted of approximately 90 items. Intern Ms. Teresa Summers-Garcia continues her internship in the Fall as part of her academic work for the University of Denver Masters of Library Science Program. She has worked on the inventory, curation, and cataloging of recent donations given to the Museum. She recently learned how to construct custom boxes and also helped and attended the Art Preservation Workshop with Curator Ms. Stevy Acevedo. She is now tasked with designing the items for the temporary exhibit at the Arcadia Public Library. Curator Acevedo has agreed to host another intern from the program in the Winter 2024. An inventory of all items donated during this time period:  Ms. Kay Davis donated her Arcadia High School Apache Princess Headdress, her First Avenue Middle School Spartan dress, a Messiah Music book from Arcadia High School, and a Messiah vinyl record. 2 EXHIBITS Curator Acevedo worked with Girl Scout Ms. Sohana Sahni on her Girl Scout Gold Award. Ms. Sahni collected oral histories from Arcadia community members of all ages, to see the impact of social media on their lives. Ms. Sahni created a temporary exhibit for the community to see in the Museum lobby with the support of Curator Acevedo. Intern Summers-Garcia also helped install the exhibit. Her project Arcadia Online: The Effects of Social Media on Mental Health can be found also on the Museums website: https://sohanasahn.wixsite.com/arcadiaonline Curator Acevedo and Intern Summers-Garcia are currently working on the temporary exhibit that will be installed and on display from November and December at the Arcadia Public Library. ADMINISTRATION On September 5, Curator Acevedo and Museum Education Coordinator Estrada attended the Arcadia PTA meeting. At the meeting, Curator Acevedo introduced everyone to the new Museum Education Coordinator Estrada. They shared what current events and programs are available to the Arcadia community, including the Preschool Program. On September 6, the Museum Staff attended the Mayor’s Breakfast. The event highlighted various upcoming events and growth in the City of Arcadia, highlighting the past, present and future. The Friends of the Arcadia Museum (FAM) conducted their September and October board meetings in the Museum Education Center. Museum staff discussed current and ongoing projects and events with the Board members. FAM prepared for the History Talk on Anita Baldwin on September 8. The Board also signed up to help the Museum staff with future programs, including the Make Your Own Snow Globe event in early December. Their next meeting will take place on November 2 in the Museum Education Center. Curator Acevedo is working on the Getty Marrow Undergraduate Internship Grant application due in November for the summer 2024. The Museum will apply to receive funds for two paid internships: Curatorial and Exhibitions internship and Education and Public Engagement internship. She will be notified if the Museum has been awarded the grant in early 2024. Staff provided a tour to the visiting members of the YSEALI Fellows from the City of Arcadia on September 14. This gave them an insight in the local history of the City of Arcadia and learn about what famous people came from Arcadia, including Michael Anthony and Stevie Nicks. Curator Acevedo continues to work on the City of Arcadia Capital Improvement Project for the 76 plaques that create the Walk of Champions on Huntington Drive. Silverlake Conservation is the company that was chosen to work on this project. The project began on October 16 and should be completed by October 23. The project is to be completed before the Breeders Cup event at Santa Anita Park on November 3 and 4. Museum Staff attended the Western Museum Association Conference from October 5 to 8 and presented “Strategies for Utilizing Teen Volunteers in Small Museums”. They had many other museums interested in the teen volunteer program developed by the Gilb Museum staff. The Museum currently has 50 volunteers, both teens and adults, assisting with a variety of projects in the Museum. 3 The Museum is currently working with Human Resources in the recruitment of new Museum Education Coordinator substitutes. Recruitment will begin in mid-October and the first round of interviews will be conducted the week of November 14. The Museum has received a request from the Japanese American National Museum for a tour in December. EDUCATION and PROGRAMMING Substitute Museum Education Coordinator Mr. Samuel Kho attended the Community Health Fair on September 1 at the Community Center. He was able to promote the Museum to attendees and invite them to visit the Museum. The Museum staff chose Ms. Corinna Yang to be the Fall Education and Public Engagement Intern at the Museum. She has been receiving guidance and techniques from Mr. Estrada on how to conduct the Preschool Program and has led three of the programs during the months of September and October. Museum Education Coordinator Estrada and Intern Ms. Corinna Yang started the Fall 2023 Preschool Program on Friday, September 1. The program is structured in three 20-minute sections; free play, Storytime, and activity. The Museum’s Preschool Program boasts an average of 25 attendees a week, including the preschoolers’ accompanying guardians. Every week is structured with a different lesson and activity ranging from moments in Arcadia’s historical timeline to emotional regulation to ocean conservation. The community has responded well to this program. The Fall Preschool Program will conclude on November 17 and resume in February 2024. Mr. Estrada conducted the last History Talk of the year on Anita Baldwin on Saturday, September 9 to over 15 attendees. The Friends of the Museum provided free coffee and treats to attendees. Mr. Estrada and Ms. Acevedo participated in the Moon Festival on Saturday, September 30 at Arcadia City Hall. The line remained consistent at the Museum’s booth where the Museum was able to offer free Educational Kits and marketing materials. The community thoroughly enjoyed spinning the prize wheel. The Insects of Arcadia educational kit became available on October 3 and has had over 100 responses for reservations. These kits were put together by both the Museum’s teen volunteers and adult volunteers with special needs. The next kit will be Birds of Arcadia, available starting November 28. The Gilb Museum has 36 school programs scheduled at various elementary schools in Arcadia Unified School District for the 2023-2024 school year. The programs offered include Tongva Time and Then vs. Now during the months of September and October. 12 of the 36 scheduled programs have been conducted so far. Curator Acevedo conducted the Then vs. Now program to 16 students from Holy Angels Elementary School on September 28 at the Museum. Education Intern Yang assisted during the program. 4 Curator Acevedo conducted the fifth Preservation Workshop for this year on October 7. The Art Preservation Workshop had 13 participants. Many were happy to learn techniques used in museums, that they too can use to preserve personal and family memorabilia. Participants also appreciated the Preservation Kits, which were generously funded by the Friends of the Arcadia Museum. The next Preservation Workshop will be on genealogy, taking place on December 16. The Preservation Workshop Series will be offered once again to the community next year. The Gilb Museum continues to provide Scout programs to local troops. Mr. Estrada is conducting Playing in the Past to a local troop on October 21. The Museum hosted Pie Day for all City employees on October 14. Staff purchased 10 different flavors of pies and had the Museum available for employees to see the new exhibits. The Gilb Museum of Arcadia Heritage will be attending Downtown Arcadia’s Halloween Haunting event on October 27. The Museum volunteers have prepared approximately 1,000 educational kits and promotional material for the event. MARKETING Museum staff continue to promote the Museum’s collection as well as events on its social media platforms. Reels on Instagram continue to be very popular and encourage patrons to visit the Museum to receive a free tote bag. The Museum’s monthly newsletter via MailChimp has been growing to over 1,200 subscribers. VOLUNTEERS Mr. Estrada is recruiting new volunteers for the Fall semester. Mr. Stuart is a newly recruited adult volunteer that is tasked with front desk duties and digitizing a portion of the American Legion Post 247 Collection. The Museum applied for the Presidential Volunteer Service Award to dedicated individuals that qualify. This year, 7 of the Museum’s teen volunteers dedicated over 100 hours and qualified for the award. Volunteers are hard at work preparing for December’s Make Your Own Snow Globe event. Over 450 snow globes are being prepared for the community. In addition, volunteers have completed 300 of the 400 decorated gingerbread giveaways. Each gingerbread is unique to its designer and has its own flair. These giveaways were requested by the Friends of the Arcadia Museum who generously donated the funds for the supplies. PLEDGE OF ALLEGIANCE – Marilyn Daleo ROLL CALL: Chairperson Marilyn Daleo, Chairpersons Ginny Blitz, Marilyn Daleo, Janalee Shimmin, Angela Yang-Ayala, Director of Library and Museum Services Darlene Bradley, Museum Curator Stevy Acevedo, and Museum Education Coordinator Daniel Estrada. Commissioner Blitz moved to excuse absentees Janalee Shimmin and Billie Tone. Chairperson Pro Tempore, Angela Ayala, seconded. Motioned passed unanimously. PUBLIC COMMENTS: None REPORTS FROM MUSEUM COMMISSION MEMBERS / LIAISONS: Mayor Pro Tempore April Verlato was absent, Director Bradley spoke on her behalf. Ms. Verlato extended an invitation to the commission to attend the next City Council meeting on Tuesday, September 19. REPORT FROM THE DIRECTOR Director Bradley mentioned the lack of storage both in the Museum and Education Center. Ms. Bradley suggested the Commission begin developing a Capital Improvement Project to possibly extend the Museum storage. REPORT FROM THE CURATOR Ms. Acevedo informed the Commission Board of newly donated inventory. Intern Kenny Woo concluded his internship and boasts the construction of the 1984 Summer Olympics exhibit at City Hall, the 120th Anniversary Exhibit at Council Chambers, and the 120th Anniversary Timeline exhibit at the Museum. Curator Acevedo continues to work with Girl Scouts Ms. Sohana Sahni and Ms. Kailani Yamashiro on their Gold Awards. Mr. Estrada and Ms. Acevedo presented “Strategies for Utilizing Teen Volunteers in Small Museums” at the Lunch and Learn webinar series for the California Association of Museums. The same presentation will be conducted for the Western Museum Association Conference in October. Museum Staff’s proposal “The Power of Adults with Special Needs as Volunteer Champions” was accepted by the California Association of Museums Conference in 2024. Curator Stevy received a request from Mr. Pete Siberell, the Director of Community Service and Special Projects, with a future project at Santa Anita Park. REPORT FROM THE MUSEUM EDUCATION CORDINATOR Museum Education Coordinator Daniel and Intern Angel completed the Summer Enrichment Program to 132 attendees. A total of 481 kits were made for all four programs: Curator of Art, Plants, Fossils, and History. Curator Acevedo conducted the Paper Preservation Workshop to 12 guests, preservation kits were funded by the Friends of the Arcadia Museum. Museum staff held its annual Dino Day event to over 120 visitors. Participants went through five different stations. The Alf Museum of Paleontology displayed fossils for guests to interact with. 13 volunteers helped with the event. Mr. Estrada and Intern Corinna conducted the first Preschool Program on September 1; parents were appreciative of the activities. The School Program request form is open once again, a total of 29 school programs have been scheduled for the 2023-24 school year. Programs currently offered are: Tongva Time: Tongva-English Dictionaries, Tongva Time: Storytelling, Then vs. Now: History Detective, and People Who Make a Difference. Two Girl Scout Programs are currently scheduled for 2023. The museum will conduct its History Talk for Anita Baldwin on Saturday, September 9. Mr. Estrada and Ms. Acevedo are continuously planning 2024 programs. Getty Intern Ge assisted in social media campaigns for Instagram and saw a 275% increase in reached accounts. Teen Volunteer, Ms. Chloe Htut, created a design full of references to iconic Arcadia landmarks. The design was printed on tote bags intended for visitors to engage with the 120th Anniversary Exhibit. Consent Calendar a.
