ARCADIA PUBLIC LIBRARY
MONTHLY REPORT – OCTOBER 2023
Highlights: Halloween fun was the Library’s focus this month. The Children’s Services librarian
hosted a two-day Monster Mash event in which 300 costumed children and their accompanying
family members attended a monster-themed storytime, then trick or treated throughout the
building. Twenty teen volunteers from the Assistance League of Arcadia assisted with the
program, distributing treats to participants.
The Children’s Services Librarian also collaborated with the Middle School Advisory Group and
met on five separate occasions to plan, prepare, and host a “Not-So-Scare Fair”. The 28 middle
schoolers who attended the event played pin the brain on the zombie, stack the ghost cups, and
decorated mini pumpkins.

“Terrifying Trivia” for teens was held on October 31 in the Cay Mortenson Auditorium. Teens
arrived in various creative costumes to receive goodie bags filled with chocolate, stickers, and
bookmarks.
TAG volunteers assisted in running a Kahoot Halloween Trivia Quiz where 35 teens took on the
challenge for the grand prize: a Squish mallow plush. Two runner-up winners took manga and
books home. The space was decorated with tea lights and ghostly garlands to add to the
Halloween fun.
Library and Museum staff tended a booth at the
Downtown Arcadia Halloween Haunting event and
distributed information bags with treats to attending
families. The event provided opportunities for staff to
connect with families and share more about current
programming.
Adult Programs, Classes, Technology Literacy, and Events: Bookish met in October to
discuss Come Fly the World, by Julia Cooke. This was the last Bookish program of the year.
Smart Squad continues to support the library’s digital literacy goals by providing free computer
assistance: 11 customers were helped in October. Twelve patrons attended this month’s
International Film Program showing of “Clara Sola.” CraftABLE, the take-home craft kit program
for adults with intellectual, cognitive, and/or developmental disabilities, provided four participants
with the tools to create a spooky black cat. Patrons are now coming to the desk asking for kits
and telling their friends about them. The Estate Planning program was an interactive and
enlightening educational program where 26 patrons learned about wills and trusts. Human Kits
for unhoused patrons, which include non-perishable food and hygiene products, were made
available; two customers took advantage of this new program.
3
The Second Annual Boba Crawl, part of the Library’s annual
Arcadia Eats event, which is celebrated during National
Cookbook Month, had its first five winners within the first week
and the last five winners within the next two weeks. APL
partnered with seven different Boba Shops: Tea Brick, Quickly
Café, Bon Appetea, Tea Maru, Wushiland, Bearology, and CC
Cake. Approximately 200 participated in this unique event.
Teen Programming: Teen Zone provides a safe space for teens to meet with friends after
school, work on homework and school projects, and play games. Teen volunteers, supervised by
the Teen Librarian, oversee the gathering, providing staff with useful insights. The Teen Graphic
Design Club--Boba Edition was held on two Tuesdays in October. The second official session of
TGDC was led by two Teen Advisory Group volunteers who previously participated, provided
feedback on improving course materials, and created original artwork to be shared on our social
media. Seven teens used the Procreate drawing app and Cricut software to create original art
based on delicious food and snacks to accompany the Arcadia Eats festivities. Four TAG
members met in October to plan events and discuss upcoming breaks and graduations.
Children’s Programming: The six-week In-N-Out Cover to
Cover Club reading program kicked off this month and
encouraged children, ages four to 12 years, to read five books
and earn a gift card redeemable for one free In-N-Out burger.
By month’s end, there were 1,051 program registrants who had
read and logged 9,111 books; 965 gift cards were distributed
throughout the month. There was also an “Arcade Lab”
program in which 18 participants designed their own arcade
inspired game using simple supplies and recyclable materials.
There were 10 early literacy programs offered during the month with 507 children and their
families in attendance. The Mandarin-English bilingual storytime continues with 28 in attendance
this month. Twenty children are currently registered for the 1,000 Books Before Kindergarten
program; two families have read and logged 100 books to date.
Collections: The Cataloging and Acquisitions Librarian is re-cataloging the adult short story
collections to reflect the contents of each volume more accurately and to update the older catalog
records. Staff also continue to catalog and tag the National Geographic bound magazines in the
basement. The Department has finished cataloging the Memory Care Kits, now located next to
4
the Adult Reference Desk. The Authority Database projects continue. This is part of the routine
work to keep the databases/catalog up-to-date, consistent, and error-free. MARC records from
Kanopy, CreativeBug, Press Reader, and LinkedIn added to and discarded from our Library
Catalog this month totaled 4,801 records.
Facilities and Technology: The Revize site stats using Google Analytics were updated. The
previous settings have not all been carried over to the new system. Information Systems Service
(ISS) staff ordered a 3D printer replacement. There were 5,667 visits to the Library Catalog, local
web documents and online databases. There were 3,466 unique visitors and 7,040 visits to the
Library home page. There were 4,535 unique public Wi-Fi users, and a total of 4.7TB of data
downloaded and uploaded during this month. Staff also continues to work on the Library’s website
adding programs and upcoming events. The ISS team answered more than 352
computer/technical questions from patrons; assisted the public with 1,072 public computer
sessions, 918 print jobs, public copiers, and the public Wi-Fi network.
Staffing/Training: Adult Services Principal Librarian Danielle Guerrero left for a position at
Altadena Public Library at the beginning of the month. Six new Library Aides started on October
9. Account Services welcomed Aysha Flores, Renato Zapata, Matthew Lee, Benjamin Geiser,
Chi Chih Lin, and Helen Huang. Maxine and Shu Shu have completed their rotation with shelving
and now are front desk aides.
Collaboration: Children’s Services staff were invited to serve as judges for the Dana Middle
School Reflections Program. Staff reviewed and scored eight literary entries submitted by
students. The Children’s Services Principal Librarian attended an Arcadia Unified School District
Library Collaboration meeting and presented to attending District Librarians about Library
resources and programs available at the Arcadia Public Library. Staff visited Arcadia Christian
School and provided a library-themed storytime for its four- and five-year-old students. Forty-eight
kindergarten students from Holly Avenue Elementary School also visited the Library for a spider-
themed storytime.
Community Outreach/Volunteers: Volunteers play an
important role in Children’s Services. Button, a student
group from Arcadia High School, began its Math Homework
Help program, offering 10-minute help sessions to first to
eighth grade students in need of assistance with their math
homework. The program will run through December 19,
2023. To earn her Girl Scout Gold Award, Jolee Kuo hosted
a “Birds Around Us” program in which 14 children attended
and learned about birds in the local area through
educational activities and a craft. Children’s staff also met
with a local Girl Scout troop to discuss possible future
programming.
Marketing and Publicity: Adult and Teen Services created the following displays in October:
Must Be the Season of the Witch; Cookbooks; and Ghost Stories. The Adult Bulletin board
highlighted the Boba Crawl. Children’s main hall displays offered books on Fall, Libraries,
Hispanic Heritage Month, and Monsters. The bulletin boards focused on Back to School, The Best
Thing About Having a Library Card, and “Whooo Loves Books?” The Library’s Facebook account
has 1,647 followers; Twitter (“X”) has 648 followers; Instagram has 1,627 followers, and YouTube
has 211 subscribers.

LIBRARY BOARD OF TRUSTEES
REGULAR MEETING MINUTES
THURSDAY, OCTOBER 19, 2023
CALL TO ORDER – Chair Miriam Carter called the meeting to order at 4:31 p.m., in the
Conference Room of the Library.
PLEDGE OF ALLEGIANCE – Trustee Pardha Akalamkam
ROLL CALL: Chair Elizabeth Renfrew; Trustees Miriam Carter, Pardha Akalamkam, Carlton
Seaver; Councilmember Michael Cao; Director of Library & Museum Services
Darlene Bradley (Secretary); Library Services Manager Samantha Alba
ABSENT – Trustee Connie Liao
PUBLIC COMMENTS – None
REPORTS FROM LIBRARY TRUSTEES / LIAISONS
Trustee Carter reported that the ECC (English Conversation Class) is going very well. There are
about 15 participants. ECC takes place every Monday from 10 a.m. to 12 p.m. Tutors help
students with their daily conversational skills. She also met with the Community Outreach
Program – LACADA who work with unhoused. The Library has a caseworker on Wednesday from
10 a.m. to 12 p.m. Caseworkers can match unhouse people with services. They accept walk-ins
and appointments. Councilmember Cao added that LACADA is a county wide service
organization, every city counts how many unhoused members are in the city. Arcadia’s hard
number is 39 individuals, physical line of site count. There are transients who are in Arcadia,
Monrovia, Temple City, etc. Unhoused/homelessness is a big issue in the state of California. In
Arcadia the numbers have not gone up. LACADA’s contract was renewed in the most recent
budget. Sixty to seventy percent of unhoused/homeless are unhoused due to mental illness or
drug/alcohol addiction. The majority of the unhoused do not agree to help, it takes multiple
attempts by the caseworker. Councilmember Cao has been a cardiologist at USC Arcadia
Hospital for 12 years. He added that we have more drug addicts that use more hospitals.
Conservator court is being piloted in Orange county. The program is not going so well right now
because individuals must have a dual diagnosis to qualify for conservator court. About thirty
percent of unhoused/homeless do not want help. Case managers try to initiate contact and
connect them with their families. Case managers arrange transportation to reunite individuals with
families that are willing to help. Many of the issues we have are unique to the state of California.
A discussion followed about current situations and individuals. Trustee Akalamkam discussed
PMI-LA organization, will host a presentation on artificial intelligence. Registration fees apply, it
will be open to the public but with prior registration. He would like to use the Auditorium to make
a connection with the Library. Chair Renfrew talked about the jazz concert last month, fifty people
attended and the concert was paid for by the Friends of the Library. An author talk will take place
next month. The author, Dr. Shan Woo Liu wrote a children’s book titled Masked Hero. It is a free
event that will take place on November 4 in the Library Auditorium. The bookstore will have a
book sale November 17-18, an outside and inside sale. The flyer for the book sale was made by
a student volunteer and it will be translated to Chinese. The book sale will be the same weekend
as the Festival of Bands and a Cat show at the Masonic Temple. Panda Express fundraiser made
a little over $170. Chair Renfrew presented a check for $30,000 to the Library at the City Council
meeting on Tuesday, October 17. Not to much happened at the Friends of the Library board
meeting last month. The purpose of the Friends of the Library is to try to raise money to make
programs possible at the Library.
REPORTS FROM THE DIRECTOR
Announcements / Statements / Future Agenda Items
Director’s Update: Director Bradley reported that November 4 is the Breeders Cup. The City
will offer free transportation in town for those attending. The Third Annual Community Clean-up
Day will also take place on November 4 at the Library from 8:30 a.m. to 11 a.m.
Monthly Statistical Report: September 2023: Director Bradley reported that the Library’s gate
count continues to grow. The Library is fully back in service and you can feel it in the afternoon,
especially after school, which is busy. Trustee Akalamkam asked if we still offer 3D printing and
how do people know about it. Director Bradley mentioned that the printer is currently broken, but
a new machine has been ordered. Designs are submitted by the public but made by Library staff.
Trustee Pardha mentioned that if we had a conversion service like CVS it would be welcomed by
the community. Director Bradley mentioned that we have the Memory lab that does just that.
Monthly Report Narrative: September 2023: Chair Renfrew mentioned that the narrative is a
summary of all the things that the Library staff has done. A 1000 Books Before Kindergarten
program has started. Chair Renfrew asked if our Narrative is placed on our website. Director
Bradley added that we can add a section for Library Board on the Library’s site. Trustee
Akalamkam mentioned that Monrovia Library is doing a lot for Veterans and asked if the Library
was doing anything. Director Bradley mentioned that we have resource handout available and the
Museum is working on the banners for Veterans. Trustee Akalamkam mentioned that he has done
a cloud migration for Veteran’s and knows policies and is able to assist. The Museum will oversee
the program. Councilmember Cao mentioned that Veteran banners will be placed where the City
has the most traffic on Baldwin Ave. and Huntington Dr., for next year’s Veteran’s Day 2024.
Arcadia really has to honor our veterans. There are one-hundred registered Veteran’s that the
city is aware of to date.
Financial Report: September 2023: Director Bradley went over the financial report. She asked
the board members to look at the far-right column which shows our spending percentages. She
mentioned that we should not be at one hundred percent spent since we are early in the year.
The Director gave a brief overview of the budget process. The Library is very lucky to have the
Friends of the Library who help raise money for the Library. Director Bradley mentioned her
appreciation for Friends of the Library. Chair Renfrew mentioned that the amount of book
donations received has decreased since Covid. Also, certain subjects are lacking, and the
bookstore needs donations that are in good condition. Trustee Seaver likes the new expenditure
report.
Security Update: Library Services Manager Alba gave an update on security. The Library
currently only has one security guard, Jonathan, who is covering all open hours at this time.
Citiguard is still looking for a second guard to cover evening and Saturday hours.
Staff Update: Director Bradley announced that Pat Smith will be retiring on Dec 2. And Principal
Librarian for Adult and Teen Services Danielle Guerrero’s last day was Oct 7. She accepted a
position at the Altadena Library. Part-time Librarian II for Adult and Teen Services, Scott Gurrola
accepted a full-time position at the City of Whittier Library. Part-time Technician in Children’s
Services is also vacant.
Gilb Museum of Arcadia Heritage: The Director reported that the Curator Stevy Acevedo
oversees the Art Preservation for the City. The Walk of Champions cleaning will be completed by
next Tuesday or Wednesday just in time for the Breeders Cup. Director Bradley discussed the
Great Shake Out practice that took place today.
Flyers/Articles/Posters/Attachments: Library Board reviewed the materials. In-N-Out Cover to
Cover ends November 18. On October 24 and 25, there will be a Monster Mash event for Children.
NaNo WriMo is coming up in November. The next Library Board meeting will be held the third
week of November and there is no meeting in December.
