ARCADIA PUBLIC LIBRARY
MONTHLY REPORT – NOVEMBER 2023
Highlights:
In-N-Out Cover to Cover reading program concluded with 1,315
registrants and 15,250 books read. Each participant that read five
books received a redeemable gift card, with 2,787 given out this
year. In celebration of Diwali, 250 activity kits were made
available. Each kit contained information about the “Festival of
Lights” celebration, a reading list, and a craft.
The Library was the recipient of a ByWater Community Giveback
program, receiving $500. This money will be divided between
collection purchases and 3D printer filament colors.
A new and more modern 3 D printer
has been purchased to replace the five-
year old printer that wore out and will
be available for print jobs in January 2024.
A new WonderBook collection is now available in the Children’s
Room. These read aloud books are all-in-one read and listen to a
story.
The Library launched a new library streaming service Hoopla which
provides access to TV, movies, and comics. It has already become
very popular!
The Arcadia Public Library was in the top three choices of public libraries in Hey Southern
California newspaper.
A fun fact! Staff shelves approximately 185 items per shift, which averages one book
per minute, and the busiest day of the month was Monday, November 13 with 1,435
visitors that day.
Adult Programs, Classes, Technology Literacy, and Events:
Smart Squad, a free, drop-in program for help with technology, assisted 13 patrons with various
technological devices. The International Movie Night featured Cinema Sabaya. Encouraging

patrons to explore different parts of the collections, special book displays were set up on Native
American Heritage month, National November Writing Month, and Now That’s What I Call YA.
Mango Languages had 1,104 sessions, and Kanopy, another streaming service, had 535
sessions.
Teen Programming: Teen Advisory Group (TAG)
members are preparing for a drop-in version of Teen
Graphic Design Club in the new year. At their
monthly meeting, they also planned for upcoming
breaks, graduation, and bi-annual De-Stress Fest.
TAG member Ticha helped create the flowers and
foliage for the November bulletin board display “Leaf
a Note” which encouraged patrons to take a leaf and
write a special gratitude message. There were 48
thoughtful messages received.
Children’s Programming: There were 13 early literacy programs, with a total of 618 children
and families participating. Second graders (169) from Holly Avenue visited and learned about
children’s author Keiko Kasza. Class visits from Holly Avenue (kindergarteners) and Baldwin
Stocker (134 first graders) also visited their public library, providing an opportunity to learn more
about where and how to find library resources and how to get a library card.
Special programs included a hands-on Scratch coding program, an international based music,
rhythm, and movement program, Music Together, was also offered for ages five and under.
Twelve new families signed up for the 1000 Books Before Kindergarten, with a total of 37 families
signed up to date. Children’s staff continue to work with individual community members, including
a Girl Scout Gold Award project on birds, in which her second Birds Around Arcadia program
was presented to families. Troop 103 had 16 participate in earning their Reading Merit Badge.
The presentation provided information about the various resources at the Library and how to use
the Library’s catalog. Children’s Services highlighted books on Christmas, Hannukah, Kwanzaa,
and Thanksgiving. Book displays were also highlighted on the endcaps, enticing patrons to
explore more in the stacks. .
Collections: Cataloging and Acquisitions Librarians updated the Book Discussion collection,
weeding out older copies that are no longer circulating. With the vacancy of the Adult and Teen
Services Principal Librarian position, focus has been on continuing to purchase popular and best

seller titles in print, keeping up with demand and hold requests. Staff met with OverDrive
representatives and the Southern California Library Cooperative to get up to speed on how to
manage this collection. A special cart was created in December to catch up on popular titles for
both eBooks and eAudio books from September through December. OverDrive had over 5,088
checkouts so continues to be well-used. Staff also met with Hoopla representatives to learn more
about the product and how to manage the administrative applications. For it’s first month debut,
55 check-outs occurred, including 24 music, 10 movie, 19 comic, and 1 TV show.
Facilities and Technology: There were 4,814 visits to the Library Catalog, local web documents
and online databases. There were 5,823 unique visitors and 8,811 visits to the Library home page.
There were 4,302 unique public Wi-Fi users, and a total of 3.92TB of data downloaded and
uploaded during this month. Staff also continues to work on the Library’s website adding programs
and upcoming events. The ISS team answered more than 297 computer/technical questions from
patrons; assisted the public with 911 public computer sessions, averaging 40 minutes per session,
819 print jobs, public copiers, and the public Wi-Fi network. There was one piano recital in the
Cay Mortenson Auditorium as well as a Friends Book Sale.
Staffing/Training: Recruitment and interviews continued this month, opening up the Principal
Librarian for Adult and Teen Services and the Library Services Manager. There are three Aide
vacancies, one part-time Technician, and one part-time Librarian vacancies as well.
Community Engagement/Outreach/Volunteers: The Teen Advisory Group and the Middle
School Advisory Group both met with respective staff for input on upcoming programming at the
Library. Staff also met with students in the community that want to participate in the Kids Created
programs, including topics on Robotics, Game Day Unplugged, Game Development, and Birds
Around Us. English Conversation Class continued to add both volunteer tutors and new students
this month. The Transition Partnership Program (TPP) and Workability, both Arcadia Unified
School District programs, provided 17 hours of assistance with shelving. This program provides
an opportunity for students to work in a work environment with supervision and training.
Marketing and Publicity: The Library continues to include library programming in Peacock Buzz,
available online at City of Arcadia, CA (arcadiaca.gov) as well as highlighting Library
services in the City’s newsletter, Hot Sheet, and Library website. Social media included
1,648 Facebook followers; 356 Twitter (“X”) followers; 1,629 Instagram followers, and 212
YouTube subscribers.

Highlights:
December celebrated all things holiday. There was the How to Catch an Elf and Gingerbread Man
Party with 41participants listening to stories from How to Catch a…book series as well as a search
for candy canes made of elf hats and gingerbread snowflakes. It’s a Gingerbread Wonderland
program that was offered to middle school students, complete with gingerbread cookie decorating
and a chance to win a Domino’s Pizza gift card.
Broke Holidays Craft Night, focusing on how to create gifts with items on hand, had 11
participants, creating a punch needle coaster or Scrabble frame. Participants asked if the program
could be monthly. The Third Annual Winter Break Reading Challenge started on December 18.
For every five hours the community reads, a new piece is added to the Winter Wonderland display.
Memory Activity Kits are now available for checkout. These kits aid caregivers and families in
providing mental stimulation to members experiencing dementia or Alzheimer’s. Some of the kits
are centered around different decades and include books, music, and films from the era, helping
those with memory loss recall enjoyable times in their past. This was made possible by a grant
the Arcadia Public Library received from the California State Mental Health Initiative in 2020. The
Mental Health Initiative was funded in part by the Institute of Museum and Library Services under
the provision of a LSTA grant, administered by the California State Librarian.

There were three English Conversation Classes with 42 participants. The Leaders continue to
assist with the weekly check-ins, updating and creating spreadsheets for statistics, and assisting
with enrolling new students. Pat Smith is continuing as a volunteer to assist with this program as
well.
Fun Fact: The busiest day of the week was Monday, December 18, 2023, with 1,279 visitors.
Adult Programs, Classes, Technology Literacy, and Events:
There were 78 signed up by the end of month. Smart Squad assisted six drop-in patrons with
technology-related devices. Book displays highlighted holiday gift making, Teen Winter Romance,
and Baking. Online databases continue to be very popular with 1,446 eAudiobooks checked out,
2,112 eBooks checked out, 1,659 eMagazines checked out, included 185 in Chinese language.
Hoopla had 64 checkouts with 19 music, 16 movies, 9 TV shows, and 17 comics. Kanopy had
531 views. Mango Languages had 1,150 users of which 556 were mobile sessions. Most popular
language was learning Spanish.
Teen Programming:
Teen Zone provided a great space for teens to study this month, in preparation for their final
exams. There were 372 in attendance and teens shared that they enjoyed that this was a
“peaceful place to do homework and unwind”. The Teen Advisory Group met to discuss plans for
the De-Stress Fest by gathering supplies, reviewing layouts of the event, and distributing tasks.
They also discussed programming for January and February 2024. De-Stress Fest was held on
December 14 and met with rave reviews. There were three therapy dogs, Viking, Ray, and Cody
as well as a hot chocolate bar. De-Stress Fest Bingo and an array of crafts were also made
available. One teen advised “you should do this every week!”.
Children’s Programming:
Library volunteers prepared 600 winter activity kits, and all were distributed to children throughout
winter break. Each kit included a winter-themed craft, an activity sheet, and a reading list. Girl
Scout Troop 921 hosted a “Breaking Stereotypes” program that included read-alouds and
prompted kids to talk more about their perceptions of stereotypes. Included in the program was a
coloring book designed by the troop for children highlighting books about the importance of
breaking stereotypes. Preschool storytimes are averaging 37 in attendance, Baby Tales, 60-63 in
attendance, and Toddler Time 44-67 in attendance, all good numbers for this time of year.

Bilingual English/Mandarin storytime had 24 in attendance. The First Friday Film had 12
attendees, providing an alternative activity after school.
As a long-standing tradition, the Library Board of Trustees brought in
cookies each day the week before Christmas and the staff was very
appreciative.
Collections: There were 323 eBook and 60 eAudio purchases this
month. The Library now has all of the best sellers that came out in fall
2023, in time for holiday reading.
Facilities and Technology: Staff is currently working on purchasing management license
software for newly purchased Chromebooks that will soon be available for the public to check out.
The management license software will allow for the Chromebooks to be wiped clean between
uses. Staff are working on a customizable messaging tool that can reach out to patrons through
a third-party vendor, thus reducing the number of blocked messages by third party carriers. Two
new book bins were put into service to retrieve items returned in the outs ide bins. This replaces
the very old bins that have had their wheels and springs replaced many, many times over the
years. There were 3,897 unique Wi-Fi users and a total of 3.6TB of data downloaded and/or
uploaded this month. There were 223 computer/technical questions answered by the Computer
Aides and they also assisted the public with 848 public computer sessions, 648 print jobs, public
copiers, and public Wi-Fi.
Staffing/Training: Six new Aides have begun in Account Services and staff have completed their
NIMS/SEMS training. They are all learning how to sort and shelve materials. New Aides begin
their rotation in the Children’s Room, shelving this collection first and then after three months, will
rotate out to the Adult and Teen collections. Two Aides that have been assigned Children’s have
now rotated out to Adult and Teen Services and Account Services. The Transition Partnership
Program (TPP), a partnership program with Arcadia Unified School
District, provided 19 hours of assistance to the Library. Pat Smith
retired on December 2 after almost six years as the Library
Services Manager for Programs and Collections. There are now
two significant vacancies, a Library Services Manager and a
Principal Librarian for Adult and Teen Services as well as two part-
time Technician and Librarian positions. There are also four Aide
vacancies. This month, the new passport clerk began her duties,
providing two passport clerks at the Library. Principal Librarian
interviews were conducted with one viable job offer extended. Unfortunately, it was not accepted
so recruitment will open shortly in the new year.

Community Engagement/Outreach/Volunteers:
Children’s Services visited the Dana and First Ave. Middle Schools and met with their Library
Aides. Information was shared about the Arcadia Public Library’s collections, resources, and
programming for middle school students. Staff also was given a tour of each school library and
took opportunities to explore future partnerships.
Staff also attended community events including the Snow Festival, Snow Globe making at the
Museum, “pushing in” of the new fire truck at Station 107, the Christmas Tree Lighting ceremony
at the Transit Plaza, and the Police Chief’s Holiday Breakfast.
Marketing and Publicity: Social media included 1,662 Facebook followers; 657 Twitter (“X”)
followers; 1,652 Instagram followers, and 213 YouTube subscribers. The City Hot Sheet included
upcoming services and events at the Library as well as the Peacock Buzz for Winter.

Pick up a Discovery Kit and take it home to explore and learn more
about the accomplishments of African-American explorer,
Matthew Henson. Each kit contains an information sheet, booklist,
and craft. Kits will be available while supplies last.
CHINESE ZODIAC SCAVENGER HUNT
Monday, February 5, 2024 — Saturday, February 10, 2024
For Ages 4—14 Years
The twelve animals of the Chinese Zodiac are hidden around the
Jerry Broadwell Children’s Room. Can you find them?
Pick up a Scavenger Hunt list at the Children’s Information Desk,
then seek and find the dragon and the eleven other animals of
the Zodiac to receive a small prize.
THE MUSIC CENTER PRESENTS MELODY OF CHINA
Saturday, February 17, 2024 at 2:30 pm
For Ages 7 – 14 Years
Melody of China is a San Francisco based group composed of
professional musicians from some of the most prestigious music
conservatories in China. The musical performance will entertain
attendees with classical, folk, and contemporary music of China
and present traditional instruments, including the Chinese fiddle,
the Chinese hammer dulcimer, the table harp, the Chinese bamboo
flute, and many others. Join us for a wonderful musical
performance sponsored by The Music Center’s Arts Grown L.A.
Sign-ups begin Saturday, February 3, 2024.
10:00 am-11:00 am: In-person priority registration for Arcadia
residents. Must show proof of residency.

I Love a Parade
Happy holidays and happy new year! In 1968, USC beat Indiana 14-to-3 at the Rose Bowl and
this game marked the first time an American college football game was broadcast to Europe
via satellite television. That same year, nostalgic Arcadians entered a whimsical float called “I
Love a Parade,” pictured above, in the Pasadena Tournament of Roses Parade. The float of a
child in roller skates pulling a wagon, on which the Arcadia Rose Court rode, evokes fond
childhood memories, doesn’t it? It was 55 feet long and 17 feet high.

Room located at the Arcadia Public Library or visit the Gilb Museum of Arcadia Heritage. The

LIBRARY BOARD OF TRUSTEES
REGULAR MEETING MINUTES
THURSDAY, NOVEMBER 16, 2023
CALL TO ORDER – Chair Elizabeth Renfrew called the meeting to order at 4:35 p.m., in the
Conference Room of the Library.
PLEDGE OF ALLEGIANCE – Trustee Carter
ROLL CALL: Chair Elizabeth Renfrew; Trustees Pardha Akalamkam, Miriam Carter, Connie
Liao, Carlton Seaver; Michael Cao (City Council Liaison); Director of Library &
Museum Services Darlene Bradley (Secretary); Library Services Managers

PUBLIC COMMENTS – None
REPORTS FROM LIBRARY TRUSTEES / LIAISONS: Trustee Liao reported that the ACA co-
hosted the Moon Festival. It was very successful and well received. The ACA also hosted an
appreciation lunch for the Fire and Police Departments. Chair Renfrew reported on recent Friends
of the Library activities, include the Author Talk by the granddaughter of the Chinese doctor who
invented medical masks and helped to end a pandemic in early-20th century China. She promoted
the upcoming Friends’ Holiday book sale. City Councilmember Cao reported that he attended the
Police Department fundraiser at Le Meridien and discussed the future of the Derby from the City
Council’s perspective.
REPORTS FROM THE DIRECTOR

Director’s Update: Director Bradley noted that this would be the last Board meeting of the year:
the next meeting will be in January 2024. She wished everyone a happy holiday season. She also
mentioned that the Library will be fully open and that visitors will need to enter the parking lot off
Santa Anita and Duarte during the Festival of the Bands.
Monthly Statistical Report: October 2023: Trustee Seaver noted how much the Library does
for Teens; Chair added that being on the Board gives members opportunities to advocate for the
Library. Director Bradley discussed the revenue section of the report, focusing on the $30,000 gift
from the Friends of the Library and grants.
Monthly Narrative Report: October 2023: The members of the Board reviewed the report and
noted their approval of its coverage of Library activities and events.
Financial Report: October 2023: The Director explained the Library’s fuel costs and responded
to questions about membership dues and explained that they are paid at the beginning of the
fiscal year. She also discussed vacancy rates and how they affect the budget in response to
Trustee Carter’s question. She reviewed the current and upcoming vacancies (the Library
Services Manager, Principal Librarian for Adult and Teen Services, as well as a part-time
Technician and Librarian) and the challenges of recruiting for these positions.
Holiday Cookies: Every year the Library Board provides cookies for the staff the week before
Christmas. Each Board member picks a day to bring five dozen cookies. The cookies are dropped
off to Administration around 10 a.m. The Library Board agreed on the week of December 18 to
22 and they picked the following dates: Monday, December 18 (Trustee Carter); Tuesday,
December 19 (Trustee Seaver); Wednesday, December 20 (Chair Renfrew); Thursday,
December 21 (Trustee Liao); Friday, December 22 (Trustee Akalamkam).
Holiday Breakfast: Director Bradley invited all the Board members to the annual staff Holiday
Breakfast, scheduled this year for Tuesday, December 12, at 8:30 a.m. Library Services Manager
Alba explained that the staff will be trying something new this year—a game or team-building
activity. There may be a gift exchange or Secret Santa activity. Administration will send out more
information.
Trust Accounts: The Director explained that there are two kinds of trust accounts—gifts and
grants. The Friends’ account is an unrestricted gift; the Low gift of $102,000 is restricted to being
used to purchase only children’ books. She plans on spending approximately $1,200 a year for
10 years. There used to be a Library foundation, but it was dissolved, and their funds went to the
Friends of the Library. Individuals can donate to the Friends, but the Low fund is closed.
Staff Update: Library Services Manager Smith is retiring on December 2, opening a Library
Services Manager position. The Principal Librarian position in Adult and Teen Services has
opened and applications will be reviewed in December; the Library Services Manager recruitment
will open at the end of November, with application review beginning in January. Director Bradley
will directly supervise Adult and Teen Services; Library Services Manager Alba will oversee
Children’s Services. The Director is also responsible for Collection Development for Adult
Services. Adult Services is down a half-time librarian position, while Children’s is down a half-time
Technician position.
Gilb Museum of Arcadia Heritage: The Museum is doing well. The Curator and Museum
Education Coordinator gave a presentation at a local conference on using teen volunteers in a
museum setting. Their experience with teen volunteers is unusual—they have 54 volunteers—
and their talk was well-received. Museum volunteers make such programs as the annual Snow
Globe program possible. The Museum is hosting the Red Envelope program again this year.
Participants can pick up, decorate, and submit red envelopes to celebrate the upcoming Year of
the Dragon.
Calendar of Activities for Children’s Services: December 2023: The Library will be closed
Thursday and Friday.
Calendar of Activities for Adult and Teen Services: December 2023: Chair Renfrew noted
that Teen Zone is always filled; she also promoted Smart Squad for patrons who need help with
their personal electronics. Director Bradley will be hosting the December International Film
Program. The Winter Reading Challenge is open to everyone starting in December.
Flyers/Articles/Posters/Attachments: The Director presented the new grant-funded Memory
Care Kits to the Board. The kits check out like books and include activities for adults with varying
degrees of dementia and their caregivers. She also showed the Human Kits, small backpacks
containing snacks and personal-care items for patrons in need; these were provided by
SamariTots, a group based in South Pasadena. The Board also reviewed flyers for the Broke
Holiday program, the Destress Fest, the Winter Break Reading program, and the 1,000 Books
before Kindergarten program.

seconded by Trustee Carter, and carried on a unanimous voice vote.
