ARCADIA PUBLIC LIBRARY
MONTHLY REPORT – April 2024
Highlights:
This month offered an assortment of musical, environmental, and artistic celebrations for Library
patrons to enjoy. There were 220 attendees at the “Arcadia Goes Green” event on April 20 hosted
by the Library, Sustainable Arcadia, and the Gilb Museum. The Earth Day inspired event offered
a Repair Café to help fix broken items. There was also a presentation by a Master Gardener, a
nature themed Story Corner, bird feeder crafts, and free plant offerings. The Friends of the
Arcadia Public Library hosted a Classical Kaleidoscope Concert on April 24. The 91 people in
attendance listened to “The Joy of Musical Travel – German, French, Czech, and Texarkanan”
performed by violinist Paul Stein, violinist Leticia Oaks Strong, and pianist Stephanie Lan, a local
Arcadia resident. Arcadia Unified School District coordinators and parent volunteers installed a
display throughout the building, highlighting student artwork. The display will remain in place
through May 10.
The Friends of the Arcadia Public Library held its membership meeting and highlighted the work
being done by the group to support the Library. The group also posted a weeklong half-price book
sale.
Administrative:
Staff attended meetings to review the Operating and Capital Improvement budgets for Fiscal Year
2024-2025.

Adult Programs, Classes, and Technology Literacy:
Bookish members gathered and discussed Under the Sky We Make, a nonfiction book by
Kimberly Nicols, that explores global warming. There were five in attendance at the International
Film showing of French film Anais in Love. 53 students took part in the English Conversation
Class programs throughout the month.
Twelve patrons received assistance from the Smart Squad which is composed of teen volunteers
who provide weekly technological support for those in need. Six CraftABLE paper plate rainbow
kits were distributed in April. This take and make kit is specially designed for adults with special
needs.
Teen Programing:
Eleven teens registered for the “Teen Book Talk” program and received
copies of the Korean-American young adult fantasy novel The Girl Who
Fell Beneath the Sea. Students then participated in a discussion of the
book on April 6.
Teen Advisory Group members met on April 26 to event plan for
upcoming programs (including the Teen Summer Reading Program and
De-Stress Fest) as well as to discuss upcoming breaks. With AP exams
looming, 330 students visited Teen Zone throughout the month.
Children’s Programming:
There were 70 new applicants and 30 returning teens that submitted applications for the summer
volunteer program. New applicants subsequently took part in interviews to be considered for
volunteer positions.
There were 300 bookmark entries submitted by kids, teens, and adults for the annual Bookmark
Contest. The submissions will be judged by Library staff and winning entries will be professionally
printed and distributed to patrons throughout the summer months.
There were 99 children and their family members that celebrated
National Library Week by participating in storytime series featuring
fun animal stories, activities, snacks, and crafts. Ninth grade
student, Simran Subramian, led a “Let’s Dance” class for ten
children, guiding them through a two-minute choreographed routine
inspired by Spring. Aaron Chu returned for another “Conquer the
Cube” event attended by 38 kids and adults. Thirteen participants
celebrated the I Survived adventure book series by crafting
miniature erupting volcanoes, designing unsinkable boats made of
tin foil, and working in teams to play a round of trivia. 24 middle
schoolers participated in an escape room inspired board game
activity hosted by the Middle School Advisory Group.
The 10 to Try Spring Reading Program concluded with a 167% increase in participation. The 460
children that participated in this year’s program read 2,417 books
of different genres/categories.
Collections:
Administrative staff completed
the Request for Proposal
process for a primary materials
vendor and selected Baker and
Taylor. This will move to City
Council for final approval in
May.
Cataloguing and Acquisition
Services catalogued 1,317 items to be added to Library collections. Division staff are currently
working on various projects, including cataloguing the Gilb Museum’s adult book collection,
updating the juvenile graphic novel collection, and processing hiking resources, received as a
grant from the State Library.
Children’s Services staff began assessing picture books and juvenile science materials. Worn
and dated materials were withdrawn.
Shelving Aides relocated the folktale and fairytale collection back to the shelves after being
temporarily housed on book carts for several months due to a roofing leak. Books were shifted
and new shelves installed to make space for an incoming selection of new manga materials for
kids.
Technology:
The Information Systems division is working with the City’s IT department to replace staff
computers.
Data reflecting unique visits to the Library’s homepage has had noticeable changes from previous
months due to new changes to the Google Analytics website. In April there were 2,463 unique
visitors and 4,000 visits to the Library’s homepage. There were also 4,926 visits to the Library
catalog, local web documents, and online databases. 4,603 unique public Wi-fi users were
reflected and a total of 4.9TB of data downloaded and uploaded during the month.
Marketing and Publicity:
Staff promoted collections with various book displays. Adult and Teen Services provided the
following displays – Arcadia Goes Green, Personal Finance, National Gardening Month, Poetry,
and Read It In A Jiffy. Book displays in the main entry to the Children’s Room were Arcadia
Goes Green, Poetry, Spring, and Women’s History Month.
Community Outreach and Engagement:
Staff attended community meetings and events, including the retirement party for elected City
Clerk Gene Glasco, the Arcadia Historical membership and Ross Balloon Talk, Earth Day at the
Library, a Parent and Teacher Association meeting at Arcadia High School, as well as an English
Language Development parent meeting at Foothills Middle School. Staff also provided tours of
the Library for new City employees.
Staffing:
Recruitment continues for the part-time Librarian I as well as the Principal Librarian for Adult and
Teen Services. The Passport Services Clerk, Hannah, departed in April and a new Clerk, Joanna,
began.
Account Services Desk Aide, Phoebe Chen, resigned on April 5. Esmerelda Albarran moved into
a new position as a Desk Aide.
Facilities:
Work continues the HVAC system. The freezer in the Auditorium is no longer working. The unit
was purchased when the Auditorium was renovated over ten years ago. A Post Alarm technician
was called out to fix the fire panel system as it has been sounding daily. The panel has now been
fixed.

This program promotes reading as a fun activity for kids ages infant to 14 years. The “Read in Full Bloom” theme
embraces the wonders of life and inspires readers to seek out new and different types of reading that grow their
knowledge and contribute to lifelong learning and reading joy.
For younger children, the program encourages caregivers to read aloud and establish the fundamental building
blocks of reading and language. And for older kids, it helps to maintain or improve their reading skills. Come
read and bloom with us!
HOW TO PARTICIPATE
▪Beginning Monday, June 3, 2024, kids (infants to 5th grade) and youth (entering 6th to 8th grades) may

▪Read and log your reading minutes online using Beanstack. You will earn one virtual Leaf badge for
every 60 minutes logged (up to 660 minutes).
▪Stop by the Children’s Room, beginning Monday, June 10, 2024, to report and redeem your earned virtual
Leaf badge(s) for reading reward(s) of choice. Rewards available while supplies last.
▪6th to 8th grade participants may also complete up to eight botanical activities to earn a maximum of eight
virtual raffle tickets for entry into a grand prize drawing at the end of the summer program.

Arcadia Public Library Study Room Procedures
Availability
Study rooms are available during library operating hours.
All rooms are available for use by patrons with an Arcadia Public Library card. Staff
will check your library card for room access. Library cardholder must be present at
check-in.
Sign-Ups
All rooms must be vacated by 5 minutes from closing.
Patrons can register for a study room online, by phone, or in-person.
Reservations can be made 24-hours in advance, depending on room availability.
Our reservation system is very literal. If you would like to reserve a room for the
next day, then you need to wait for that time today.
Example: tomorrow at 6pm, must wait for today at 6pm.
Study room sign-ups are for 1 or 2 hours. 2 hours per day is the maximum. Only one
session per day is allowed for any person and library card number.
Reservations will be honored for 10 minutes past the requested time. Failure to arrive
within 10 minutes of the requested time will result in a forfeiture of the reserved
room. Additional time will not be added to a reservation due to a late arrival.
Rules
Paid tutoring and other commercial activities are prohibited.
Disruptive behavior and use of study room will result in immediate loss of the room
and/or library privileges. Please Library Code of Conduct for more information.
No more than six occupants allowed in each room.
Lights must stay on in study rooms.
No sitting on the floor allowed.
The person signing up for the room assumes responsibility for the room, including
damages to the room or equipment.
Technology to support collaborative work is available. Do not misuse or tamper with
equipment. Illegal or inappropriate use of equipment will result in immediate loss of
room and/or library privileges.
No food or drinks, except water, are allowed.
Do not leave personal items unattended. The Library is not responsible for personal
belongings or their loss.
Users of the study rooms are responsible for leaving the rooms in a neat and orderly
condition. Users may not move tables and chairs. The whiteboard must be erased
when the room is vacated.

REGULAR MEETING MINUTES
THURSDAY, APRIL 18, 2024
CALL TO ORDER – Chair Renfrew called the meeting to order at 4:32 p.m. in the Library’s
Conference Room.

REPORTS FROM LIBRARY TRUSTEES / LIAISONS:
Chair Renfrew announced that Trustee Carlton has resigned from the Board of Trustees. Board
members briefly discussed the future of the Library Board. Trustee Connie Liao will make a motion
for the Arcadia Chinese Association (ACA) to make a donation to the Library. If the motion is
approved Trustee Liao would like to present the check at the May Library Board meeting. She
reported that ACA would like to see Library Board members attend ACA events/meetings to show
support for one another. Trustee Liao will report ACA events at future board meetings. Upcoming
ACA events in May, a donation will be made to Arcadia High School to purchase an LED score
board. ACA is discussing with AUSD how much they will be able to contribute. The Arcadia
Chinese Association raised $20,000 for the Arcadia Firefighters Foundation through their GALA.
Additionally, the following motions were made to donate $1500 to the Museum, $1,500 Friends
of the Museum, and $1,000 to the Arcadia Woman’s Club. Trustee Carter reported that the
Assistance League has many dolls that they are trying to find good use for. Trustee Carter asked
if the Library could develop a program where dolls can be used. Director Bradley said we would
look into it, but also suggested that the Fire Department could be another option during their toy
drive. Chair Renfrew announced that there is currently a 50% off sale on everything in the
bookstore. The bookstore has extended hours on Tuesdays and Thursdays. They are now open
until 7:00 p.m. Chair Renfrew reported that the new hours have allowed the bookstore volunteers
to meet new people that would normally not have an opportunity to go into the bookstore.
Bookstore volunteers are introducing themselves to the working patrons. The Friends of the
Library membership meeting took place last Saturday, April 13, with 16 people in attendance. An
overview of what the Library does and offers the community were a few topics that were
highlighted.
REPORTS FROM THE DIRECTOR
Announcements / Statements / Future Agenda Items
Director’s Update: Dr. Cao is currently in Sacramento. Board members were invited to the
Arcadia Volunteers & Board and Commission Members dinner on May 16. The theme this year
is That 70s Party and RSVP is needed by May 3. At the last Council meeting the fines and fees
schedule was approved. The fee for photographic historical materials has dropped to $50 down
from $100. City Clerk Gene Glasco has retired, and his last day was Tuesday, April 16. A
display of Gene’s uniform can be found at the Museum. The Arcadia Historical Society had a
general meeting and talked about the Ross Field Balloon School. Additionally, department
heads met on April 17 to discuss the City’s Capital Improvement Projects.
Monthly Statistical Report: April 2024: The gate count continues to grow, and staff is kept busy.
In March 29,951 patrons visited the Library. Hold requests and reference questions continue to
increase. A brief discussion regarding the need for tutors for the English Conversation Class
(ECC). Chair Renfrew Congratulated Joanna Liang for being announced as the Senior of the
Year.
Monthly Narrative Report: April 2024: Board members reviewed the monthly narrative. Staff
continue to keep busy.
Financial Report: April 2024: The City’s new financial system, Oracle, will debut in July
2024. Chair Renfrew asked about some of the categories showing money spent for the
year, but year to date shows zero. Director Bradley explained that we recently added a
staff member to receive specialist pay and was not budgeted. Staff that receive specialist
pay are translators for the department and the City.
Staff Update: Interviews for the Principal Librarian position will take place on Monday, April 22
and on Tuesday, April 23 interviews for the Museum Education Coordinator. A new passport clerk,
Johanna Gaona, will start on Tuesday, April 23 and will start her certification training on
Wednesday, April 24. A conditional offer was also made for an additional passport clerk. There
are still six Library Aide vacancies and will recruit for these positions after we finish with the
aforementioned.
Gilb Museum of Arcadia Heritage: The Friends of the Museum will meet in May. Director
Bradley will ask board members if they would be able to fundraise for a glass archival display
case, which would help with the $12,500 purchase. The display case is needed to show the regalia
that comes with uniforms that currently cannot be displayed. The Veteran’s banners project will
be up starting in October and will be displayed until holiday decorations go up.
Calendar of Activities for Children’s Services: May 2024: Bilingual storytime is tonight and will
be led by a volunteer. Registrations for May programs begin on Saturday, May 4. The eBike
Safety program is for all ages and will take place on May 15. This program is led by the California
Highway Patrol. Summer Reading starts on June 10.
Calendar of Activities for Adult and Teen Services: April 2024: The Mental Health journaling
will be held on Thursday, May 9 in the Auditorium. The English Conversation Class is held on
Monday’s from 10:00 a.m. to 12:00 p.m. Requests for 3D printing can be submitted any time of
the week. Chair Renfrew mentioned that the Memory Lab has shown more usage now that we
have a volunteer who is assisting. Machines are available at no cost. Classes will be offered soon,
but currently it is by appointment only. On Saturday, April 20 the Library will celebrate Earth Day,
which includes Repair Café in the auditorium and other fun activities throughout the Library. De-
stress fest for Teens will be held on May 30. Teens can relax and hug therapy dogs.
The Classical Kaleidoscope concert, sponsored by the Friends of the Library, is next Wednesday,
April 24. A silent auction will also be held in the Auditorium.
Flyers/Articles/Posters/Attachments: Board members reviewed the following materials. Mental
Health Journaling, Environmental Week, De-Stress Fest, Classical Kaleidoscope Concert.
Featured Historical Photo: Pony Express Museum Chinese Joss House: The Library Board
enjoyed the historical photo and interesting facts. The joss house represented the hub of Chinese
society in towns throughout.
Announcements: A tour of the Library’s 3-D printer followed the meeting.
