PLEDGE OF ALLEGIANCE: Acting Library Services Manager Morris ROLL CALL: Chair Elizabeth Renfrew, Trustees Miriam Carter, Connie Liao; Library Services Manager Samantha Alba, Acting Library Services Manager Petra Morris ABSENT: Trustee Pardha Akalamkam; City Council Liaison Michael Cao; Director Darlene Bradley The motion to excuse Trustee Akalamkam from the May 16, 2024 meeting was moved by Trustee Liao, seconded by Trustee Carter, and carried on a unanimous voice vote. AYES: Chair Renfrew, Trustees Carter and Liao NOES: None ABSENT: Trustee Akalamkam 9J411111115*IdoI flI h14ii%IIIIII= REPORTS FROM LIBRARY TRUSTEES / LIAISONS: Chair Renfrew shared that at the next Friends of the Library meeting she plans to ask the members to participate in the Library's Summer Kick -Off event taking place on Saturday, June 15. She is also seeking other summer events where the Friends can be involved such as the "North American Wildlife" event on July 27, REPORTS FROM THE DIRECTOR Announcements / Statements / Future Agenda Items Director's Update: Director Bradley is currently on vacation. Library Services Manager Alba facilitated the meeting in Director Bradley's absence. Library Services Manager Alba announced that in an effort to keep the meeting brief, due to the City's Volunteer Dinner taking place after the Board meeting, there would not be a summer presentation. Library Services Manager Alba shared about the Library's Summer Kick -Off taking place on June 15 and invited Board Members to attend. She also encouraged Members to attend the Author Talk with Katie Gee Salisbury taking place on May 24. Monthly Statistical Report: April 2024: The gate count, juvenile circulation, and digital collection circulation are all increasing as well as Library Card registrations and holds. There is an increase in discards due to Technical Services Supervisor, Margaret Lindstrom, weeding the adult DVD and CD collections. Work is also being done with the Nolo Press and For Dummies series as well as the test preparation guides to replace older volumes with updated editions. Web site statistics have been impacted by Google Analytics, decreasing the number of visits reflected. Information Systems Supervisor, Peter Mercado, is looking into why the numbers have changed. Chair Renfrew questioned why the number of volunteer hours was significantly lower. Library Services Manager Alba indicated that she would look into this. Passport Services staffing is currently down, but the service is continuing to bring in revenue. Monthly Report Narrative: April 2024: Chair Renfrew acknowledged that 91 people attended the Classical Concert and was pleased with the Teen Book Talk and Ten to Try Spring Reading Program for kids. The Arcadia Goes Green event was a success and the Repair Cafe had a sizable turnout. Chair Renfrew questioned whether the Arcadia Chinese Association raised $2700 for the Arcadia Firefighters Foundation or something different. Trustee Liao corrected that $20,000 was raised. Financial Report: April 2024: The end of the Fiscal Year is ending and 83% of the budget should be spent. The supply budget for Information Systems reflects a negative balance due to an equipment purchase being applied to an incorrect account. A journal change will be applied to reconcile the error. Trustee Liao inquired about negative balance for water and questioned whether there was a water leak. Library Services Manager acknowledged that there was a running sprinkler issue but would not have impacted water expenses. Staff Update: An offer was made to fill the Adult and Teen Services Principal Librarian position, but the candidate declined. Two additional candidates will be interviewed on Friday. A new Children's Services part-time librarian, Helen Seto, began on May 6. On May 7 Lauren Porras began her new position as the Museum Education Coordinator. A new Passport Clerk is going through the hiring process. Gilb Museum of Arcadia Heritage: The sixth annual Summer Enrichment Program will begin in July. There will be a preservation workshop on June 1. Winners were selected forthe 14th annual Photography Contest and will be on display through July 20. Restoration of the Peacock on the Peacock Fountain at the Arcadia County Park has been completed. Calendar of Activities for Adult and Teen Services: June 2024: Adult Services will be bringing back its Walking Book Club. There will be one additional English Conversation Class taking place on June 10. The program will resume on September 10. Flyers/Articles/Posters/Attachments: Online registration for the Library's Summer Reading Program will begin Monday, June 3. Kids read and log their reading minutes to earn virtual badges, redeemable for prizes. There will also be an assortment of programs for kids throughout June and July. The next International Film program will take place on June 19. The next Bookish program will be May 28. Chair Renfrew shared that her children attended school with author Katie Gee Salisbury and requested that a digital flyer be sent to Trustee Liao to help promote the program. Chair Renfrew announced that there were three patrons signed up for the Community Memory Lab Workshop on Saturday. The program will be led by a volunteer, Brandon, who will help guide patrons through the digitization process. Announcements: Chair Renfrew announced that this would be her last meeting as she will not be able to attend next month's meeting and stated that it will need to be determined who will lead the meeting. Trustee Liao announced that the Arcadia Chinese Association approved a donation of $2300 for the Library - $1500 for two shelving units in Children's Services, $300 for children's summer programming, and $500 for the English Conversation Class program. a.
