Account Services provided 144 free replacement Library Cards. Children and their families celebrated the occasion by taking part in various activities offered in the Children’s Room, including a scavenger hunt to find hidden Library Cards, a game to guesstimate the number of children’s materials checked out last year, and sharing their written ideas about the “Best Thing about Having a Library Card”. In response to the prompt, one child wrote, “The best thing about having a Library Card is to be able to get the amazing books in this Library.” There were also 150 Library Card Sign-Up Month Activity Kits distributed to families and included information about the significance of Library Card Sign-Up Month, a bookmark craft, and recommended reading list. A total of 64 living Veterans signed up for the City of Arcadia’s Military Banner Program. The banner templates with Veteran names will be submitted in mid-October and the banners will be displayed at the beginning of November. PROGRAMMING The Friends of the Library hosted a fall classical and jazz concert featuring students from the Arcadia High School Band and Alumni Band. English Conversation Class resumed in September and provided a space for adult tutors and students to gather and review pronunciation drills, discuss the Easy English News, and engage in conversations to improve their skills. The Beaded Bracelet program encouraged 32 adult patrons to tap into their creative side and craft personalized beaded bracelets. The International Film Program provided a screening of the Chinese documentary film 24 City and the Bookish book club discussed Roman Stories written by Pulitzer Prize winning author Jhumpa Lahiri. Smart Squad volunteers provided thirteen patrons with computer and mobile device assistance. Teen Zone provided a space for 983 students to gather and socialize after school. Teens also enjoyed taking part in a Cream Soda Paint and Sip program in which they listened September Activity Visitors: 34,653 Holds Processed: 2,407 Physical Items Checked Out: 39,125 eBooks/Audiobooks/Magazines Downloaded/Streaming: 7,325 Programs/Attendance: 62 | 2,943 Passports Issued/Photos Issued/Questions Answered: 102| 51 | 109 to pop music from the 80s and 90s, painted, and enjoyed ice cream drinks from a do-it-yourself soda bar. 38 teens attended the program. Children’s Services staff hosted a Mid-Autumn Festival Shadow Puppet show. The 91 attendees learned about the origin of the Moon Festival through shadow puppetry. There was also a book reading, group activity, and craft. The early Fall storytime session began and 470 children and their caregivers took part in the early literacy programs being offered throughout the month. Middle school students participated in a variety of Library activities in September. 43 middle schoolers spent one of their minimum school days at “Game Day Unplugged”, playing board and card games with friends. Three students also participated in the Youth Gaming Tournament where they competed against each other in a game of Mario-Kart using the Library’s newly acquired gaming equipment. OUTREACH AND ENGAGEMENT Staff tended a booth at the Moon Festival event and handed out Library flyers and informational brochures. The Friends of the Arcadia Public Library also provided an assortment of gently used children’s paperback books that staff distributed at the event. Administrative staff attended a groundbreaking ceremony for the construction of Sierra Madre Public Library’s new building. Children’s Services staff attended the first Arcadia Unified School District PTA Council Meeting of the new school year and shared about upcoming programs for children and their families. The Local History Librarian attended the monthly Arcadia Historical Society meeting. Holly Avenue Elementary School first grade students visited the Library. The 122 students listened to read alouds and participated in activities relating to Fall. Staff provided a tour of the building to a Fellow from the Young Southeast Asian Leaders Initiative as well as a local official from New Zealand. COLLECTIONS Items in the non-circulating Reference Collection were carefully assessed by staff. Some materials were updated and others relocated to make them more accessible to patrons. TECHNOLOGY Information Systems staff is working with City IT staff on the new DUP two factor authentication system. There were 4,697 visits to the Library’s online catalog, local web documents, and online databases with 2,400 being unique visitors. There were 6,054 public Wi-Fi users and a total of 6.2TB of data was downloaded and uploaded during the month. Free 3-D printing services continued to be offered to patrons. STAFFING Three new Shelving Aides, Alexis A., Brianna S., and Tracy N. as well as new Passport Clerk Irene G. began working at the Library this month. Desk Aide Esmerelda A.’s last working day was September 14. Second interviews were conducted for the Children’s Services Principal Librarian position and a conditional job offer was extended to a candidate. The City provided a New Employee Orientation for new employees, including Principal Librarian Andres G. TRAININGS A mandatory “Professionalism in the Workplace Training” was provided for Library staff by SkillsCamp and focused on soft skills training related to communication styles, intergenerational workplaces, and professionalism. Staff also attended “Unlocking the Future: AI Innovations in Libraries”. This was a two-day virtual conference hosted by ByWater Solutions and featured presentations on a range of AI related topics, including “Misinformation and AI: The Role of Libraries”, “Guardians of Data: Ethical AI Practices for Librarians”, “AI Literacy Made Easy: A Practical Toolkit for Public Libraries” and more. The Community Memory Lab volunteer provided Adult Services staff members with instruction on how to use the Lab’s video and audio transfer stations. Library Technician, Maxine M., took part in a “Foundations of Library Services” course which outlined the Library Bill of Rights, the ALA Code of ethics, reference and information services, collection development, and customer service. Administrative staff attended an introductory training for Oracle, the City’s new finance system. SAFETY Staff continued to enforce a safe and enjoyable environment for Library patrons. At the onset of the month there was a heat wave in which staff responded by opening the Auditorium and Imagination Theater, on September 6, to accommodate the high volume of patrons seeking a cool space. William Parker Lyon, Sr., curator of old west artifacts and owner of the Pony Express Museum (1935-1955) in Arcadia, said, “The movies get all their California historical props from me because they have to—I own ‘em all.” He rented his Wells Fargo gold scale to Paramount Pictures for $75, for use as a prop in the 1937 film “Wells Fargo,” which starred Joel McCrea and Robert Cummings. This picture was taken on June 5, 1975 and shows Andy Griffith (left), William Parker Lyon, Jr. (center), and an unknown person. This appears to have been taken when Harrah's in Reno, NV, auctioned off items that formerly had been on display at the Pony Express Museum. He stated that the Library was one of the few libraries that was open during the pandemic and that it made the community feel stable. City Council member Chang discussed that AFFA and ACEA union contracts did not pass at Tuesday’s Council meeting. He shared that there is an issue with compaction for the upper management positions. Management salaries have not increased in 16 years and are not paid overtime. Council has said that they must deal with compaction because unfortunately, staff is being poached by other cities. REPORTS FROM THE DIRECTOR Announcements / Statements / Future Agenda Items: The Library Board photo has been postponed until next month since not all members were present. The Library had over 1,700 participants for the Summer Reading Program. Administration staff attended the groundbreaking for the Sierra Madre Library on September 17. Library staff attended the Moon Festival event at City Hall on September 14. Monthly Statistical Report: July and August 2024: Trustee Chen noted that the digital collection numbers are not accurate on both reports. Totals do not include the total circulation numbers. Circulation numbers should include digital and print because it’s not comparable otherwise. Trustee Delphey inquired about online passports and what the impact might be. We are not worried, since it is currently only for passport renewals. Trustee Chen inquired about how many Passport Clerks the Library has and indicated that the organizational chart shows four and whether it should be two Clerks. Trustee Akalamkam mentioned that the revenue for passports is lower compared to the revenue in July 2022 which was $7,930. Director Bradley explained that there is currently only one Clerk. Manager Alba added that we should see an increase closer to the holiday season and once we have the other Clerks onboard. Monthly Narrative Report: July and August 2024: Trustee Akalamkam inquired about 3D printing and asked if the service is up and going and if it is a free service. Director Bradley responded 3D printing is a free service to the public. Trustee Delphey mentioned she is impressed with Children’s Services programming. Additionally, she inquired about a staff member being dismissed. A brief discussion followed. Financial Report: July and August 2024: Board members inquired about the accuracy of the financial reporting. Even though the fiscal year ended in July and the report was generated in September, it was still not up to date. Director Bradley confirmed that the report is not up to date and explained the accounting process and how there is a delay until it reflects accurate balances. She further explained that the budgets are set for the fiscal year and not a calendar year. Trustee Akalamkam added it would be helpful to see balances as a pie chart. The Director explained that we did attempt to do so last fiscal year, but it did not work out very well. Staff Update: Director Bradley reported that we lost two Library Aides this week, but four new Aides have started, and one is still undergoing the pre-employment process. The Children’s Principal Librarian candidate rejected the offer due to the City’s benefits amount. We will be recruiting for two part-time Library Technician positions, which will fill a position in Account Services and Children’s Services. Andres Garza is our new Principal Librarian for Adult and Teen Services. Stevy is not due to return until November. Policy Manual Review: Director Bradley informed the Library Board that staff reviews the policy manual every single year. Trustee Chen thanked the Director for reviewing the policy consistently. Board members reviewed the proposed policy manual changes. Trustee Chen inquired what the U.S. depository is. Director Bradley explained that the Library is a participant and a good steward of providing access to the public, which is a benefit to the community. Trustee Akalamkam inquired who maintains it, Director Bradley explained that our Adult Services Librarian Melissa Maldonado maintains it. Announcements: Trustee Delphey reported on behalf of the Friends of the Library. She submitted flyers for the Friends of the Library Paint Night fundraiser. On November 19, the Friends of the Library is sponsoring a Jazz concert featuring a saxophone group at 7pm in the Library Auditorium. The bookstore will have a half-price sale starting on September 30 through October 5. Additionally, Susan stated that the Library is a hub for connections, friendships, and fostering learning. Checks were presented to Director Bradley. REPORTS FROM LIBRARY TRUSTEES / LIAISONS: Chair Liao reported that Susan Guo and Sho Tay will serve a second term as co-presidents for the Arcadia Chinese Association. She attended the City Council reorganization on Tuesday, July 16. Additionally, ACA continues to work with the City of Arcadia and Chamber of Commerce on the Moon festival. REPORTS FROM THE DIRECTOR Announcements / Statements / Future Agenda Items: Director’s Update: The Director mentioned that the budget was passed and the Library received an additional $40,000 for materials. Monthly Statistical Report: June 2024: Director Bradley noted that this is also the Library’s end of year report. The gate count and digital collection numbers continue to increase. Self-checkout machines are being heavily used. The number of hold requests increased. There were 2,134 holds processed in the month of June. Chair Liao inquired about the number for online programs. The Director mentioned that the Library no longer offers online programs, in an effort to encourage patrons to return to the Library. Director Bradley added that we want people to physically come back into the Library. Chair Liao also inquired about offering online workshops. The Director explained that we are here to serve the community of Arcadia and to connect with them. Manager Morris added that in Children’s services they were not getting enough attendees via online programming and that was the main reason to bring back in-person programs. Trustee Delphey asked if the English Conversation Class (ECC) will return in the fall. ECC will return Monday, September 9. Monthly Narrative Report: June 2024: Over 26,000 people visited the Library in the month of June. Staff attended a live webinar on “Professionalism in the Workplace.” Trustee Chen mentioned that the summer kickoff was a hit in Children’s. She also reminded the Board that the Library offers Bilingual storytime. Director Bradley mentioned that the issue in the basement has been resolved and we are currently waiting for Public Works to start the renovation. Chair Liao asked if the Library is busy during the summer. Director Bradley replied yes, we are busy and explained that it is a different type of busy during the summer. It is more consistent, and Children are here all day or throughout the day. Manager Morris shared that as of the June report there were 1,190 registered patrons for the summer reading program. A conversation regarding the importance of storytime followed. Financial Report: June 2024: Director Bradley informed Board members that the financial report is not the final one for the year, since it was printed two weeks before the end of the fiscal year. We will be moving to a different financial system in October, which will hopefully reflect more accurate numbers. Trustee Delphey inquired about the vacancy rate. Director Bradley said that the Library still has a few vacancies. Our budget is on target. Chair Liao inquired where the donation from the Arcadia Chinese Association will be placed. Director Bradley responded that it will be reflected under gifts and grants. Staff Reports: Three purchase orders were approved by City Council. Anything over $30,000 must be approved by Council. Reports that were approved are OCLC for bibliographic services, Overdrive for digital collections, and Tsai Fong for international language materials. The Library is able to obtain popular books directly from China using the vendor Tsai Fong. Trustee Delphey asked how we knew where to purchase books in Chinese. Director Bradley mentioned that previous Library Boards requested that the Library purchase more books in Chinese and the Library inquired with other Libraries on where they purchased their Chinese materials. Staff Update: Library Aide interviews were held today. This recruitment will fill the five vacant positions. The Library Clerk recruitment closed on July 14 and interviews will take place soon. The recruitment for Principal Librarian for Children’s Services is currently open. Next Monday Andres Garza will start as the Principal Librarian for Adult and Teen Services. Gilb Museum of Arcadia Heritage: Director Bradley reported that Museum Curator Stevy Acevedo had her baby and is currently out on leave. The Summer Enrichment Programs are held on Saturdays in July. Dino Day will take place on August 24. The Director will be spending a little more time with Museum staff to assist them during the interim of Stevy’s leave. Chair Liao asked how many staff were in the Museum. There are only two City staff members, and currently two Getty interns. Volunteers also assist in the Museum. Chair Liao asked if the Museum only concentrates on Arcadia history. Director Bradley explained, yes it focuses on Arcadia history, but it also ties into regional and national history. The Museum had a display on the Arcadia Chinese Association and the impact that the association has made in Arcadia. It ties into local cultural history. Chair Liao mentioned that she moved here in 1998 and has seen the population and restaurants change over time. The Museum is a place to reflect and collect. Policy Manual: There will be no meeting in August. Director Bradley encourages Board members to review the policy manual as staff will bring forward any changes or updates in August to be included in the September meeting. This is a working policy manual that helps guide staff. Calendar of Activities for Adult and Teen Services: August 2024: Teens will have an ice cream social on Wednesday, August 14, which is the first day of school. A Scrapbooking program will take place on Thursday, August 15. The Memory Lab workshops are held on Saturdays from 10 a.m. to 2 p.m. The International Film Program attendance is growing. The film for the August showing is The Man in the Hat. Bookish will meet tonight at 7 p.m. to discuss L.A. Weather. The Library will have a booth at the Moon festival on Saturday, September 14. Trustee Liao also announced that the Arcadia Chinese Association donated $5,000 to the Arcadia Unified School District for an electric score board. The Arcadia Chinese Association will also be working with the City of Arcadia and Chamber of Commerce to provide a Moon Festival event on September 14, 2024 from 5:00 p.m. to 8:00 p.m. Trustee Carter attended the Serving with a Purpose event and was impressed by the presenters and the information provided. City Council Liaison Cao apologized for missing the May Library Board meeting due to being notified that the meeting had been cancelled. Council Liaison Cao announced that there will be a Health Seminar about prostatic hyperplasia with Dr. Mark Feng on June 26, 2024. On August 10, 2024 from 9:00 a.m. to noon there will be a Community Health Fair with screenings and consultations as well as information booths. U.S. Army Surgeon General and Commanding General, Lieutenant General Mary K. Izaguirre, will be the event’s Keynote Speaker. City Council Liaison Cao will not be able to attend the July 18 Board Meeting as there will be a special City Council meeting on that day. REPORTS FROM THE DIRECTOR Announcements / Statements / Future Agenda Items Director’s Update: Director Bradley shared that on Friday, June 14, 2024 there was an issue with sewer water and waste flooding the Library’s basement, the Friends’ storage space, and the staff lounge. On Saturday, June 15, 2024 there was a plumbing issue with the Library’s restrooms so the building closed at 5:30 p.m. On Monday, June 18, 2024, Public Works assessed the matter and building plans. They also snaked the plumbing line with a camera. It was determined that the cleanout had not been cleared for more than 30 years and the line had been clogged with grease and flushable wipes. The line would be cleared and flushed with a stream of high-powered water. Monthly Statistical Report: May 2024: There was an increase in the number of materials catalogued as ordering with the Library’s primary vendor, Baker and Taylor, ended in May. Trustee Akalamkam questioned the decrease in overdue fees. Director Bradley explained that several notifications are sent to patrons in the hopes that materials will be returned on time. This then contributes to lower overdue fines. Monthly Report Narrative: May 2024: Trustee Carter inquired about the primary materials vendor selection. Director Bradley explained that the staff considered Ingram as well as Baker and Taylor. There was concern about Ingram’s invoicing process but will still use Ingram for smaller orders as the service can provide materials with a quicker delivery time. Trustee Akalamkam added that Ingram is a big company and is more responsive. Director Bradley shared that the Library’s HVAC system has been replaced. Trustee Akalamkam asked if there had been a walkthrough to see the 3D printer and Trustee Carter confirmed there had been a walkthrough at a prior meeting. Financial Report: May 2024: Director Bradley explained that there is an increase in eBook usage and requested additional eBook and eResource funding from City Council which was approved. $10,000 will be used for adult eBooks and $9,000 will be used for children’s eBooks. Pricing for eBooks and eAudio has increased. Director Bradley had to submit the funding increase for these materials as a new program and thanked Council for the approval. Staff Update: A conditional employment offer was extended for the part-time Adult and Teen Services Principal Librarian position. Part-time Librarian, Helen Seto, began in May and Gilb Museum Education Coordinator, Lauren Porras, was also hired in the same month. Focus will now be given to filling the vacant Library Aide positions. Trustee Akalamkam inquired about Security and Director Bradley acknowledged that the new Security team has been in place for a year. The Guard is stationed at the Library entrance and sets the tone. The Security company is supportive and responsive and makes Library staff feel safe. Gilb Museum of Arcadia Heritage: Winners of the 14th Annual Photography Contest are on display at the Museum. Staff applied for and received two Getty interns for the summer. Gilb Museum staff is readying for the Summer Enrichment program series. And Dino Day will take place in August. Curator Acevedo is expecting and will go on maternity leave in July. Curator Acevedo is working with Director Bradley on a Military Banner project which will soon launch as a new program. The team is seeking a vendor for the project and surveying what other cities do. The plan is to accept up to 125 applications. The new Museum Educator Coordinator, Lauren Porras, has provided 32 class visits highlighting Arcadia history. Calendar of Activities for Adult and Teen Services: July 2024: The Walking Book Club meets every other Saturday. The International Film program continues to come together monthly. The July Bookish program will be a One Book, One County book group and will discuss L.A. Weather written by Maria Amparo Escandon. Flyers/Articles/Posters/Attachments: Director Bradley mentioned that The Covenant of Water by Abraham Verghese will be the Bookish selection discussed in September 2024 and is a fascinating read. Announcements: Director Bradley highlighted the Library’s summer reading program and encouraged Board members to participate. Library Services Manager Morris shared about outreach efforts at the Recreation Department’s Summer Concerts and Movies in the Park as well as the recruitment and assistance of summer teen volunteers. Library Services Manager Alba discussed her recent work with City contracts and upcoming team building training for staff. There was discussion about City Council Liaison Cao being misinformed that last month’s Board Meeting would not take place as there was not a quorum. Trustee Carter acknowledged that City Council Liaison Cao may not continue attending meetings as he will become the Mayor.
