The In-N-Out Cover to Cover reading program concluded with 1,423 registrants logging 17,987 books read. There were 1,026 who completed the program by reading and logging 15 book titles. Children’s Services staff distributed 3,082 reading rewards to program participants, each redeemable for one free burger. Overall program participation increased by three percent and the number of active readers increased by thirteen percent from last year. The Friends of the Library hosted a concert with musicians from the Gold Line Quartet. Concert attendees enjoyed a range of music from jazz hits to a Gregorian Chant. The Friends also held a fundraiser in partnership with Panda Express. OTHER PROGRAMMING Adult and Teens Services staff collaborated with the Department of Financial Protection and Innovation (DFPI) and hosted a program to educate the public on how to protect themselves from identity theft as well as how to identify common fraud attempts. Attendance at the “Totally Totes” program was at capacity with 16 adult participants customizing tote bags using a Cricut and Procreate app. The International Film Program provided a screening of A Close, a Belgium film that centers on two inseparable teenage best friends who are torn tragically apart. The teen book club, Book Talk, met in November to discuss the young adult novel, Dark Rise, written by C.S. Pacat. There was a lively discussion led by the Teen Librarian as well as treats and crafts. Children’s Services staff hosted the last of a three-part Math Start program for 23 kids. Participants listened to stories from the Math Start book series and did activities relating to the concept of sequencing. The Book Buddies reading program continued throughout the month with November Activity Visitors: 26,077 Holds Processed: 1,976 Physical Items Checked Out: 35,574 eBooks/Audiobooks/Magazines Downloaded/Streaming: 6,675 Programs/Attendance: 51 | 1,584 Passports Issued/Photos Issued/Questions Answered: 90 | 60 | 117 17 children being read to by teen volunteers from the Assistance League of Arcadia. Middle schoolers took part in Game Day Unplugged and a Youth Gaming Tournament in which youth competed against each other tournament-style in a game of Super Smash Brothers. There are currently 187 children registered for the 1,000 Books Before Kindergarten program with eight having completed the program. PARTNERSHIP AND COMMUNITY ENGAGEMENT Adult and Teen Services staff met with Sustainable Arcadia regarding a new teen composting program scheduled for January 2025. The meeting also entailed planning for the next year’s Arcadia Goes Green program. Holly Avenue Elementary School librarian, Iwona Engl, installed a bulletin display in the Jerry Broadwell Children’s Room showcasing re-imagined children’s book covers created by students. There were class visits from 274 Baldwin Stocker Elementary School first and third graders who walked from their campus to the Library and back. The Holly Avenue Elementary fifth grade students also visited the Library and learned about digital resources that are helpful for student research. The City set up a booth at the Library’s entrance to solicit community input for the Transit Assessment Project. Staff were pleased with the community input received. COLLECTIONS The Arcadia City Directories and the Santa Anita Rancho and Anoakia Breeding Farm Catalog are now available to view online through the California Revealed and Internet Archive. The project was funded through a California Revealed grant that the Library received in the 2020-21 grant year. The Arcadia City Directories collection feature select years from 1923-1965 and serve as an invaluable resource for genealogists, historians and those researching the history of a property, residence or business. The Santa Anita Rancho and Anoakia Breeding Farm Catalog was published in 1916 and contains the early history of the Santa Anita Rancho, describing its acreage, orchards, vineyards, winery, crops, livestock, and thoroughbred running horses. It is an important historical document that gives researchers a sense of the activities and ideals of the Santa Anita Rancho and the Anoakia Breeding Farm, which was under the management and ownership of Anita M. Baldwin, daughter of Arcadia’s city founder Elias J. "Lucky” Baldwin. The Library received a donation of two Arcadia history books from Ed Anderson, including Pot Luck and Parker Lyon-Harrah's Pony Express Museum. Pot Luck will be added to the Arcadia Local History Collection at the Adult and Teen Services Information Desk and Parker Lyon- Harrah's Pony Express Museum will circulate. Middle School Advisory Group members contributed their ideas and efforts for a new bulletin display promoting the Library’s subscription to Hoopla. A Staff Report for a second materials vendor, Ingram, went to City Council and a purchase order was opened so that materials may be purchased with the company. Baker and Taylor is the Library’s primary materials vendor but supply issues have created backlogs and materials are not being received in a timely manner. Staff met with a Baker and Taylor representative to discuss the current issues. Cataloguing and Acquisitions Services staff continued to update the Library’s online catalog to accurately reflect Library collections. These efforts to keep the catalog up-to-date, consistent, and error-free. TECHNOLOGY There were 4,876 visits to the Library Catalog, local web documents and online databases with 2,393 unique visitors. There were 5,054 unique public Wi-Fi users and a total of 4.5TB of data downloaded and uploaded during the month. STAFFING Interviews were conducted for the vacant part-time Library Technician I positions in Account Services and Children’s Services and conditional job offers were extended. Shelving and ISS Aides worked additional hours, including a Sunday, to assist with building coverage during the elections. The Friends of the Library hosted a Winter Concert with the Baldy View Brass Quintet. Musicians performed holiday classics such as “Deck the Halls,” “Away in a Manger,” and “White Christmas” for the 68 people in attendance. Friends’ members also hosted a Winter Book Sale, providing the community an opportunity to purchase well-priced and gently used books. The Friends have begun to sell books through eBay. The fall session of the English Conversation Class concluded with a Winter Holiday Party in which students and tutors socially gathered and enjoyed games and food as provided by the Library. The Winter Break Reading Challenge began this month and encouraged the 113 adult, teen, and kid registrants to read, log, and complete challenges. All participants who completed the Challenge received a free button and book for participating. For every five hours read, a snow globe cut out was added to a bulletin display in the Adult and Teen Services section. A Gingerbread Decorating program was offered and 18 adults decorated cookies to take home. Children's Services staff created and distributed 311 Winter Activity Kits. Each kit included a winter- themed craft, activity sheet, and recommended reading list. OTHER PROGRAMMING In December, fourteen adults attended the International Film Program and viewed a screening of Ilo Ilo, a film set in Singapore during the 1997 Asian financial crisis. Adult and Teen Services staff distributed twelve CraftABLE take-home kits designed for adults with developmental and cognitive disabilities. All instructions and supplies to make the craft were included in each kit. This year’s December De-Stress Fest invited 148 teens to take a break from their academic worries and enjoy sweet treats, games, photo booths, and the accompaniment of an emotional support cat. Children’s Services staff hosted a Unicorn and Dragon Book Party, attracting 96 attendees. Children created their own unicorn slime or dragon snot. The event concluded with a variety of interactive games. There were seven early literacy programs offered in December with 327 children and their caretakers in attendance. Middle School student, Brandon L. presented a financial literacy program for thirteen children and provided information about budgeting, managing finances, and the concept of needs versus wants. Middle schoolers participated in the “Making It” program and created gifts, such as painted coasters, junk journals, bracelets, and beaded keychains. A gift-wrapping station with recycled materials was also provided. PARTNERSHIPS AND COMMUNITY ENGAGEMENT There was much celebration including the City Council transition, welcoming in Councilmember David Fu and thanking former Mayor April Verlato for her eight years of service. Staff attended the City’s annual Christmas Tree Lighting ceremony at the Arcadia Transit Plaza and provided support for the Museum’s Snow Globe event, with more than 700 visitors to the Museum. In addition, there was much celebration across the city with open houses and well-wishes for a good New Year. The Library Board of Trustees participated in the annual employee holiday breakfast and each brought trays or tins of cookies each day of the week prior to Christmas for staff to enjoy. On December 12, Children’s Services staff participated in a Holly Avenue Elementary School outreach, providing information about the Library, and distributing 60 spiral art sets to students. Children’s Services staff met with the Hugo Reid Elementary School English Language Development Coordinator to discuss English Language Development resources offered by the Library and future outreach opportunities. COLLECTIONS Technical Services staff identified several adult periodicals that were no longer actively circulating. The Library has subsequently stopped subscription to these magazines. Upon reviewing the circulation statistics for the juvenile CD collection, it was decided to remove these items from the collection. Children’s Services staff also assessed use of some the materials for programming purposes. Staff also reviewed titles to be added to and removed from the children's Popular Fiction section. The collection will be renamed as the "Popular Children's Collection" and include both fiction and non-fiction titles such as Minecraft. TECHNOLOGY Adult and Teen Services staff updated the Library’s Study Room reservation system. The change from Calendly to LibCal offers a more user-friendly web interface for patrons to make study room reservations and allows patrons to book study rooms at 30-minute intervals for up to two hours. The switch to LibCal also gives staff advanced statistics on study room usage, a feature not offered on the previous application. There were 9,485 visits to the Library Catalog, local web documents and online databases. There were also 4,908 unique public Wi-Fi users and a total of 4.6TB of data was downloaded and uploaded during this month. STAFFING The Library onboarded Amy D. as the new Principal Librarian for Children’s Services and Christina J. as the new part-time Library Technician I for Account Services. Two new part-time substitute Librarians, Sandra S. and Tola L., were also onboarded during the month and will be on-call to assist at public service desks as needed. TRAININGS Library staff completed various trainings throughout the month – Fire Extinguisher, Non- Harassment, and Ethics - as mandated by the City. FACILITY Various repairs and services were carried out in the building. In November, the HVAC system was leaking and has now been repaired. The Library’s piano was tuned and readied for public recitals and concerts that regularly happen at this time of year. HCI tested the Library’s fire alarm system on December 31. Staff is working to have the building’s carpet cleaned due to heavy usage. Additionally, Spectrum’s public WiFi for the Museum and Museum Education Center was installed, providing faster connectivity than ATT. The Museum Education Center fire alarm system was late to test and no longer online due to the analog phone line. REPORTS FROM THE DIRECTOR Announcements / Statements / Future Agenda Items Director’s Update: Director Bradley reminded board members that this is the last meeting for the calendar year and wished everyone a happy holiday season. The Director reported that there have been a few incidents with teens in the teen area. Staff have been more vigilant with noise levels in the study area. Louder teens are being routed to Teen Zone in the Library Auditorium. A week and a half ago there was an incident where a student punched another student on the side of his head. Director Bradley mentioned that the room's reaction was disturbing because no one said anything. Only two girls looked up, but nothing was said or reported by them. Staff will be out on the floor a lot more to make sure everyone is behaving safely. Trustee Carter asked if Jonathan, the security guard, walks through the teen area. Director Bradley replied that Jonathan walks through every half hour, but he is not able to be stationed in one location as he patrols inside as well as outside and the responsibility falls on staff to ensure everyone is behaving appropriately throughout the Library. Trustee Carter mentioned that she walked by Teen Zone and noticed that half of the students were studying, and others were eating or sitting on the floor playing games or chatting. The Director said that it is okay for teens to do so in the Auditorium, and we are happy to accommodate that and make it a welcoming place for them. Teen Central is a study area for students who want a quieter area. Chair Liao inquired if we took any action with the student who hit the other student. Director Bradley reported that action was taken with the student who was punched. Library Services Manager Morris sat down with the student and the parent and suggested they report it to the school. The student that did the punching quickly left and has not been back. Monthly Statistical Report: October 2024: Director Bradley mentioned that “Other Questions” under Reference are higher due to the various questions asked during the elections. Passport Services numbers are down due to new staff who are still training. Monthly Report Narrative: October 2024: Over 34,000 people came through the doors in October. It was a busy month with the In-N-Out Cover to Cover reading program, which had over 1,400 participants. Trustee Delphey said she was impressed with the Sustainable Arcadia and Food Ed program. Director Bradley added that the Library has a composting station in the west parking lot and we partner with Public Works for other events such as the mulch giveaways. Trustee Delphey inquired if the Oracle system is settled in. Staff are still learning it and new internal processes are being introduced to staff to maintain the checks and balances internally. Financial Report: October 2024: Director Bradley explained the layout of the report. Each Library section is highlighted in yellow. The “Remaining_Percent” (far right column) is the remaining balance. Additionally, not everything is reflected in the financial report, such as City credit card purchases, and therefore balances are not fully accurate. Holiday Cookies: Director Bradley shared that it has been a tradition for Library Board members to bring five dozen cookies, one person per day, the week before Christmas. The Director thanked the Board for continuing with the tradition. Cookies are usually placed out at noon.  Chair Pro-Tempore Chen – Monday, December 16  Chair Liao – Tuesday, December 17  Trustee Delphey - Wednesday, December 18  Trustee Carter – Thursday, December 19  Trustee Akalamkam – Friday, December 20 Holiday Breakfast: Director Bradley invited Library Board members to the Library holiday breakfast from 8:30 a.m. to 9:30 a.m. in the Library Auditorium. There will be games, prizes, and a voluntary gift exchange with a $20 limit. The breakfast will be catered by Peacock Café. Staff Update: Amy Dang will be our new Principal Librarian for Children’s Services. She will start on December 2. Amy comes from Los Angeles County Library system with Children’s Services experience. There was a delay with her start date due to her finishing up projects at her old job. Gilb Museum of Arcadia Heritage: The Museum Curator, Stevy Acevedo is back from maternity leave. The Museum staff completed the military banner program for the City with veteran banners displayed east and west bound on Huntington Drive. Banners are for all living veterans in Arcadia. Director Bradley thanked Councilmember Cheng for continuing to provide veteran names. The program will continue next year, and another list has already been started, to add in those names that haven’t already been included. The banners will come down in the first or second week of December and stored by the vendor. They will be displayed again next year along with any new banners. Chair Liao inquired about who qualifies for the program. Director Bradley explained that anyone who is a living military veteran that lives in Arcadia. The program is free, veterans only need to fill out an application and show they had an honorable discharge. Chair Pro-Tempore Chen inquired if active military members are okay. Director Bradley responded that it is absolutely okay. Snow Globe Day is on December 7 from 9 a.m. to 11 a.m. until the snow globes are all given out. Five-hundred snow globes have been prepared. Director Bradley invited Library Board members to come out for the event. Calendar of Activities for Adult and Teen Services: December: Director Bradley reported that staff are hosting a Makerspace program tonight to make a tote. Using an iPad maker to design and the Cricut to print them. 3D printing samples were shared with Board members. The Director added that while the Library does not have a traditional makerspace room, we do have all the components for one, such as the 3D printer and Cricut. We are trying to get our community comfortable with different kinds of technology. Chair Liao inquired if 3D prints are free. Library Services Manager Alba responded, yes, 3D prints are free. Director Bradley explained that you submit your design(s) and then staff print them for you. There is a website where you can download some of the designs, which is called Thingiverse or you can design your own. De-Stress Fest for our Teens will be on December 12. Unfortunately, staff were not able to find any dogs this time, but there will be a cat present for the event. The Winter Break Reading Challenge encourages Adults and Teens to participate. This is the first time Gingerbread Decorating, a free event, has been offered for Adults and it filled up very quickly. Calendar of Activities for Children’s Services: December: We are wrapping up storytimes. They will end the second week in December. Children’s will be having a Unicorn and Dragon BookParty for ages 5 to 9 as well as Book Buddies, a read-a-loud program, in partnership with the Arcadia Assistance League. Flyers/Articles/Posters/Attachments: Director Bradley distributed additional flyers including the Bookish Book Club. January’s book is The Last Russian Doll. A historical fiction book from the early 1900’s. An adult book discussion will be held in the evenings for our younger crowd, 20s to 30s, called Bookmarked. Director Bradley mentioned that 20 and 30 something’s are looking for ways to connect to the community. They want to meet other people but in a safe environment. During the pandemic people didn’t get a chance to meet each other. Chair Pro-Tempore Chen asked if it is okay if other people who are not in this age group can join. Director Bradley explained that anyone can come to it, but Melissa is targeting that specific age group. Additionally, there will be a Teen Graphic Design Club program, Vinyl Workshop. Teens will be using the Cricut. The Friends of the Library will have another concert on Wednesday, December 4 at 7 p.m. It is free to the community and the musicians will be playing holiday music. The Friends of the Library will also be having a book sale on Friday, December 6 and 7. The fundraising from the book sales is what helps fund the Library’s Summer Reading program. REPORTS FROM LIBRARY TRUSTEES / LIAISONS: Trustee Akalamkam shared that he attends meetings relating to project management and invited other Trustees to attend. Trustee Liao announced that the Arcadia Chinese Association approved a donation to the Library of $1,500 for shelving, $500 for the English Conversation Class program, and $300 for children’s books. The Board members and Library staff thanked the Arcadia Chinese Association for the donation. Trustee Liao also announced that the Arcadia Chinese Association donated $5,000 to the Arcadia Unified School District for an electric score board. The Arcadia Chinese Association will also be working with the City of Arcadia and Chamber of Commerce to provide a Moon Festival event on September 14, 2024 from 5:00 p.m. to 8:00 p.m. Trustee Carter attended the Serving with a Purpose event and was impressed by the presenters and the information provided. City Council Liaison Cao apologized for missing the May Library Board meeting due to being notified that the meeting had been cancelled. Council Liaison Cao announced that there will be a Health Seminar about prostatic hyperplasia with Dr. Mark Feng on June 26, 2024. On August 10, 2024 from 9:00 a.m. to noon there will be a Community Health Fair with screenings and consultations as well as information booths. U.S. Army Surgeon General and Commanding General, Lieutenant General Mary K. Izaguirre, will be the event’s Keynote Speaker. City Council Liaison Cao will not be able to attend the July 18 Board Meeting as there will be a special City Council meeting on that day. REPORTS FROM THE DIRECTOR Announcements / Statements / Future Agenda Items Director’s Update: Director Bradley shared that on Friday, June 14, 2024 there was an issue with sewer water and waste flooding the Library’s basement, the Friends’ storage space, and the staff lounge. On Saturday, June 15, 2024 there was a plumbing issue with the Library’s restrooms so the building closed at 5:30 p.m. On Monday, June 18, 2024, Public Works assessed the matter and building plans. They also snaked the plumbing line with a camera. It was determined that the cleanout had not been cleared for more than 30 years and the line had been clogged with grease and flushable wipes. The line would be cleared and flushed with a stream of high-powered water. Monthly Statistical Report: May 2024: There was an increase in the number of materials catalogued as ordering with the Library’s primary vendor, Baker and Taylor, ended in May. Trustee Akalamkam questioned the decrease in overdue fees. Director Bradley explained that several notifications are sent to patrons in the hopes that materials will be returned on time. This then contributes to lower overdue fines. Monthly Report Narrative: May 2024: Trustee Carter inquired about the primary materials vendor selection. Director Bradley explained that the staff considered Ingram as well as Baker and Taylor. There was concern about Ingram’s invoicing process but will still use Ingram for smaller orders as the service can provide materials with a quicker delivery time. Trustee Akalamkam added that Ingram is a big company and is more responsive. Director Bradley shared that the Library’s HVAC system has been replaced. Trustee Akalamkam asked if there had been a walkthrough to see the 3D printer and Trustee Carter confirmed there had been a walkthrough at a prior meeting. Financial Report: May 2024: Director Bradley explained that there is an increase in eBook usage and requested additional eBook and eResource funding from City Council which was approved. $10,000 will be used for adult eBooks and $9,000 will be used for children’s eBooks. Pricing for eBooks and eAudio has increased. Director Bradley had to submit the funding increase for these materials as a new program and thanked Council for the approval. Staff Update: A conditional employment offer was extended for the part-time Adult and Teen Services Principal Librarian position. Part-time Librarian, Helen Seto, began in May and Gilb Museum Education Coordinator, Lauren Porras, was also hired in the same month. Focus will now be given to filling the vacant Library Aide positions. Trustee Akalamkam inquired about Security and Director Bradley acknowledged that the new Security team has been in place for a year. The Guard is stationed at the Library entrance and sets the tone. The Security company is supportive and responsive and makes Library staff feel safe. Gilb Museum of Arcadia Heritage: Winners of the 14th Annual Photography Contest are on display at the Museum. Staff applied for and received two Getty interns for the summer. Gilb Museum staff is readying for the Summer Enrichment program series. And Dino Day will take place in August. Curator Acevedo is expecting and will go on maternity leave in July. Curator Acevedo is working with Director Bradley on a Military Banner project which will soon launch as a new program. The team is seeking a vendor for the project and surveying what other cities do. The plan is to accept up to 125 applications. The new Museum Educator Coordinator, Lauren Porras, has provided 32 class visits highlighting Arcadia history. Calendar of Activities for Adult and Teen Services: July 2024: The Walking Book Club meets every other Saturday. The International Film program continues to come together monthly. The July Bookish program will be a One Book, One County book group and will discuss L.A. Weather written by Maria Amparo Escandon. Flyers/Articles/Posters/Attachments: Director Bradley mentioned that The Covenant of Water by Abraham Verghese will be the Bookish selection discussed in September 2024 and is a fascinating read. Announcements: Director Bradley highlighted the Library’s summer reading program and encouraged Board members to participate. Library Services Manager Morris shared about outreach efforts at the Recreation Department’s Summer Concerts and Movies in the Park as well as the recruitment and assistance of summer teen volunteers. Library Services Manager Alba discussed her recent work with City contracts and upcoming team building training for staff. There was discussion about City Council Liaison Cao being misinformed that last month’s Board Meeting would not take place as there was not a quorum. Trustee Carter acknowledged that City Council Liaison Cao may not continue attending meetings as he will become the Mayor. Council Liaison Cao expressed that he has not yet determined if he will continue attending the Board meetings. CONSENT CALENDAR a.
